Since we have been on the software, ADP has made major improvements. I've been very impressed! In fact, my company has now decided to implement more modules. The questions below are questions that would be good to ask before you implement the software. 1. Ask about the implementation phases and see if that aligns with your ideal implementation process. Personally, I would have preferred more testing phases.2. Ask about how they do their training. 3. Ask about what would happen if you had to change your go-live date (process, approximate fees, etc.)4. Ask about what fees are incurred outside of the mainstream processes. (off-cycle checks, reports that are no longer available in searches, etc.)5. Ask about the experience level of the consultants you will be assigned for the implementation.6. Ask about all of the additional service they can perform (tax filing, garnishments, benefits, etc.)7. Ask about the functionality of the ad hoc reporting tool and its ease of use

Intuit Payroll

I believe the ideal scenario is when you are already using the Intuit family of products and the payroll bolts on to your existing QuickBooks infrastructure. Payroll software products have been around a long time, and this is a very competitive niche. Most of the companies do a good job of filing taxes promptly, reporting W-2 items properly, providing good reports, etc. Where you might really get some extra efficiency and benefit is the fact that the payroll is woven into the accounting system, creating one seamless enterprise solution. Also, where it might be less appropriate is in a really simple use case such as a one person company where there aren't complex fringe benefits to deal with. In that scenario, you can set up the ACH debits directly with the state agency and the IRS and possibly file your own 941, 940, W-2/W-3 and state equivalent forms. Of course, if you're willing to do this and are good with details, you can save yourself some money.

Pros

  • The processes are simple
  • ADP always help to fix any issues that may arise.
  • It is nice to have a knowledgeable source to go to if you are in many states and the laws are different for each.
  • All of our taxes are also completed and submitted by ADP

  • The top feature for me is the 24-48 hour direct deposit turn-around. Intuit Payroll has the feature for quick payroll turn-around.
  • Once it is setup, it is easy to use. It only takes a few clicks to process a payroll.
  • There are various price points for the various Intuit Payroll products. It means Intuit offers a solution for several different types of businesses depending on the needs and how involved you want to be.

Cons

  • ADP in general LOVES to roll out new products however it is very clear the new products are not tested by people that actually would use the product. Also they tend to roll out products that are NOT ready to be rolled out. ADP Vantage in general is a great example of this. ADP wanted to be a contender in the product solutions of everything is 1 product and it is seamless. That is NOT true about ADP Vantage. ADP Vantage is not real time when it comes to benefits talking to payroll. Ben Calc still needs to run in the background and be set to payroll. ADP Vantage should have never been marketed the way it was. Unfortunately our company bought into it and we have the product we have and now have to work with what we have.
  • Another example of ADP rolling out new products before they are ready is My ADP. I tested this thoroughly before and I had to send a 17 page document to my service team to fix items that were not correct. Its frustrating to say the least.
  • ADP loves to change your service team on you. We have had it rough since day 1 with ADP.... our service team is who we rely on to get answers to issues. ADP will just switch them without any notices. Mary Ladwig was a great service rep for benefits and without notice Mary was pulled from my account and I was given a different rep. Not only did ADP do this without notice but they did it right before Open Enrollment the absolute worst time for ADP to pull a rep. We have had the most challenging Open Enrollment and it is purely because ADP decided to pull my rep and then give me a completely inexperienced rep for Open Enrollment implementation.
  • ADP Reporting is horrible. There is nothing to say other than it is not user friendly.
  • ADP loves a good release to try and fix issues. However 99.9% of the time the release causes more issues that ADP did not test for.

A lot of set ups vary from company to company so parts of our training we found it difficult to relate it to our processes. They have TONS of training modules available and a streamlined process for what you should complete and when. Would have been helpful to have onsite training for how much one pays for the system.

Alternatives Considered

We were previously on ADP but the portal was phasing out. We decided to stay with ADP because we thought it would be the easiest transition. It was hard and we are still working on this 4 years later. At this time we are not changing systems however we are not apposed to this.

Paychex is more automated and user-friendly in the day-to-day operations of the payroll. We also have a great sales rep who has helped us with the whole process.

Return on Investment

  • Our payroll process is so streamlined now, with so many less coding errors because it is entered in the field and approved by field managers.
  • We are paperless now, no more overnighting checks to the field.
  • And employees are much happier not having to cash checks.
