I think it all depends on what the client is looking for. I mean we have been using Vantage for the last 6 years and it has come a long way from where it started. The nice thing is we have been able to grow with it and configure things to how we need them to be for our business. So each business needs are going to be different and ADP Vantage can keep up with those needs.

Patriot PAY

Patriot is well suited for an office with a small staff without complicated tax issues to manage. My office had 2 employees: one full-time and one part-time. There were no 1099's issued, and no special tax exemptions or other special tax situations for employees. The owner was a sole proprietor, so she was not paid as an employee through Patriot. It was easy to quickly run simple payroll tasks on a bi-weekly basis in my situation.However, I believe a more complex situation with more employees would still be suitable for this software if there was an employee dedicated to performing payroll and human resources tasks. Information must be manually entered each payroll period and submitted before 8pm to process at the scheduled pay date, so if there was not a dedicated employee for the task, it would be easy to end up paying employees a business-day late. I know that Patriot offers add-on services for human resource tasks, such as time sheets and tools to manage sick days, benefits, and record employee attendance. I did not require these extra services, but I like that Patriot offers services a la carte so that there is no need to pay for tools you do not need

Pros

  • ADP Vantage HCM is nicely laid out so it is user friendly. It gives you the look and feel of what other popular apps might look like so there is a familiarity there.
  • ADP Vantage HCM being a one stop shop, makes it nice to only have to keep track of one log in and I have all of the information I need at my fingertips.
  • ADP Vantage HCM is always evolving and while at times this can be a challenge I find it to be a strength that they are always trying to improve the product.

Cons

  • Although Time and Payroll are integrated, it's not integrated enough. The data sometimes doesn't "flow over" to Time and we have to call ADP to have them push it through. When you are on an employee's record in Payroll, you can go to any other part of there profile such as Tax Withholding, Deductions, etc...which is great, but if you want to go to their timecard, you have to go into Time and do another search to find the employee then open the timecard.
  • The audit trail in the system needs to be enhanced. Currently you can run a report to get an audit trail on user activity, but not all screens are auditable. If I need to know who made a change to the Time Information screen, and when the change was made...I am out of luck.
  • Some records should not allow backdating the effective date. This causes us problems with data validity. For example, Direct Deposit, you can't change history so this screen should never allow you to enter an effective date of a closed pay period that already was paid.
  • The Time Off Request feature has lots of room for improvement. One of the biggest issues we have is that a manager will Approve a request then later realize they need to Refuse it, or the employee needs to Retract it. The system gives you the option to open the Approved request then you can Retract or Refuse it...but that action does nothing. Common sense would tell you it removes the PTO day, but it doesn't. To remove a prior Approved PTO day you have to go to a completely different area, which the average user would never find.
  • Our employees earn an annual amount of PTO based on their hire year. The system should not allow them to use more PTO than what they earn for the year, but this is not an option. We can easily put a limit on the balance, but not on the amount used.
  • Garnishment module of Vantage is not user friendly, very difficult to use. They do have a WGPS service you can purchase, but if you want to do garnishments in house without paying extra, its a struggle.

  • Apart from pre-funded, the four-day timeline for direct deposit has been the toughest part for me when small businesses want to pay their employees faster (quick turn-around times).
  • No other complaints from me. I am really impressed with Patriot PAY.

A lot of set ups vary from company to company so parts of our training we found it difficult to relate it to our processes. They have TONS of training modules available and a streamlined process for what you should complete and when. Would have been helpful to have onsite training for how much one pays for the system.

Alternatives Considered

I have used Certipay previously. I didn't see it in the list of options to choose from. Certipay had some really great reporting features and we were able to process payroll in three days instead of two but I would say ADP has been able to grow with us and is meeting most needs.

Cost is the major factor here, but the ease of use (and design of the interface) is a big advantage for Patriot PAY. Items are (ironically) more "intuitive" to find and manage in Patriot PAY than Intuit.

Patriot PAY is closer to ADP/Gusto/Paychex in how it looks and feels and operates in a full-service capacity, but it is much more affordable.

Return on Investment

  • Since we went live about four months ago, we've had several significant pay related issues. The business is extremely frustrated that what was working smoothly prior to Vantage has been disrupted.
  • Since going live, the Recruiting Management module has had issues unexpectedly pop-up like applicants not being able to complete their applications and being sent back to the job posting list. ADP has trouble identifying the root cause of why this happened leaving us with little certainty that it won't be repeated. Several other pop-up issues have happened in other modules as well. Again, they seem unable to determine root cause.
  • When we enabled managers to promote or transfer employees in Vantage, they were able to see the pay for any job in the company including the CEO. When we asked that this be fixed, we are told that it requires development to create that fix and could be several months before it's done. As a result, we had to remove our salary grades from the system.

  • Patriot PAY has increased my bottom line and helped organize payroll, especially for those small businesses that only have a couple employees.
  • I have also been able to offer clients an affordable, user-friendly option to process their own payroll if they prefer not to outsource. Their full-service payroll option is an easy recommendation.
  • The cost difference between Patriot PAY and what I would pay for another service is almost 50%. That's more money that is able to stay in my business.
