I would definitely recommend for smaller companies looking for a SaaS HRMS. It’s cost effective and flexible offering makes it ideal for smaller companies.

I would also recommend for larger companies too - role permissions, workflows, etc. can all be set and managed at a global level. Speaking of which, this system is also suitable for a global company as it allows for differentiation between locations for reporting, work calendars, on-boarding, etc.

  • Employee self-service - eliminate paperwork, give your employees power, and simplify your workflow!
  • Intranet system - share what's new with your staff, track all of your company's policy forms, and roll-out various trainings!
  • Onboarding activities (custom activity management) - eliminate all your new hire paperwork and focus cultural assimilation during those first couple of days!

  • Requesting time off- it is as easy as a click of one button to request time off within the system. It is easy to follow and syncs up with your calendar so not only you, but the rest of the company knows when people are out of the office and for what reason
  • Storing and organizing your personal employment information- It is very simple to find your employee information under the My Info tab. You can see the exact dates of promotions, job title changes, salary changes, etc. Makes it very simple to keep track of your records.
  • Storing important documents- you can easily upload specific company documents in a secure folder, where your employees can access them whenever they need to. It serves as a centralized location to store relevant information as opposed to having the documents stored in a random, unprotected folder. Very easy to navigate and find the relevant information.

Cons

  • Implementation - as an administrator, make sure that you know what's happening at every point of implementation! This process can be disjointed.
  • Training - the learning curve is steep when adapting to this system. Be prepared to spend hours formally training, staying on the phone with customer service, and surfing the "Bridge" (a peer support system). Every minute you invest will be worth your time!

  • You are unable to view the Get to Know You emails before they are sent out to all employees - to me this is a huge oversight because you definitely need to be able to view and make sure that the answers are appropriate before they send out.
  • Task list items are only for onboarding and offboarding - which limits the usability. I wish I could create tasks for anyone at anytime or have separate lists for things other than onboarding and offboarding.
  • Customer support is nice but they have gotten more lax with answers. Instead of helping with solutions they often just answer with a simple "no, you can't do that" when I would prefer to be given some ideas of a work around or solution to the issue.

Usability

Because most of the payroll piece is self explanatory. Some training may be required to learn the lingo, but they also have "help" screens available on each section. I use this function if I don't understand what is going on. The time and attendance piece is fairly easy for the employee to learn with very little training.

Support

The payroll support is excellent, but the support on the technical side is lacking. The support for the portal is especially lacking. I think they need more training to be able to serve the customer more efficiently. I have had issues with employees not being able to log in even after resetting the password, and have had to call back a couple of different times to get results. Luckily I don't have issues that I need to call them about very often.

The instructions from the recruiting agency on how to use the system was pretty straightforward. It provided step-by-step procedures on where you would need to log in your hours as well as what you would need to highlight (i.e. regular, overtime, etc.) detailing the type of hours that were worked overall. The handout also provided some pictures of the application

Implementation

Either assign more than one specialist to the implementation process, or assign less clients to the implementation specialist. The process requires attention to detail and the ability to test and re-test as well as verify the information. It also requires a lot of back and forth between the client ant the implementation specialist, so they need to be readily available during the whole implementation process.

Alternatives Considered

I did not specifically select ADP WFN. I was cautiously optimistic when it was identified as the tool the organization was going to move forward with. I've previously used Oracle's HRIS and found it to be non-intuitive, overly complex and cumbersome. I was thrilled at how easy ADP WFN was to quickly learn and immediately put into practice

Again, BambooHR is a great choice for companies with contracted or hourly employees to track but there are other, more user friendly tools like ADP.

Return on Investment

  • ADP Workforce Now has really moved our organization into a self-service model. We utilize mobile access, iPay, employee engagement via the Portal, etc.
  • The complete separate between HR and Payroll is very challenging and, to be honest, unacceptable. We have learned to work with it but it is a very poor model for Corporate America. But, ADP knows this and will no longer sell this product. Anyone converting to ADP now will have the latest and greatest which hopefully will meet the reporting/functionality of their biggest competitors.
  • The most positive area of WFN is Benefit Administration. It does it all and is very easy to use.

  • We have been able to expedite the onboarding process by having new hires receive information before their hire date.
  • Bamboo has allowed us to easily track vacation, sick, and personal days. It makes it easy to request for employees and easy for the employer to pull a report.
  • The company directory has been very helpful as we grow and learn new faces.
