For a small employer, with very little turnover and few benefit options, ADP may be too costly for the benefit. There are many affordable payroll providers available for small organizations.For large employers with many benefits options, employees in multiple locations, multiple tax jurisdictions and varied pay types (salary, hourly, commission, etc), ADP is ideal. The extended customer service hours, extensive resources for international pay, and capability for multi state taxation is crucial for an international employer.

Even though there are some times where it gets really slow, or it doesn't accept certain formats of resumes, it has been working to get things done the whole entire time. It has helped us get each candidate from the pre-screening process all the way through the on-boarding/hiring process - and even to the day of orientation/first day on the job. Cyber Recruiter works well for the hiring process and all four of our sectors use it.

Pros

  • Highly trained customer service representatives. When calling, wait times are usually short. All representatives have a broad base of training so most questions are resolved right away. There is an extensive 'back office' of more experienced team members to address the more complex issues and anomalies. Recent training updates including the common sharing of representative email address for ongoing follow up access.
  • Learning opportunities are available through videos, webcasts, PDFs , conferences and virtual conferences. I have found the quarter and year end videos to be especially helpful. I am appreciative of emails with links to articles with payroll relevance, saving me the time to research.
  • Reporting capabilities are extensive. There are many standard reports that provide the base report with opportunity to customize fields, sorting, etc. And they can be saved for future use, with additional edit capabilities. Also available are fully custom reports, built by the the user, with the option of guidance from an ADP report writer. My experience includes a completely custom created report that I now use on a regular basis. The personal attention and investment of time to get my report exactly as needed was much appreciated.

  • It is real easy to add candidates to the system and it is really easy to find candidates who are already in the system. Everyday I have to look up a candidate to send them an email confirming their interview is happening, or update their status to show they are moving forward or not moving forward.
  • It is also very easy to route resumes to either the recruiters or the hiring managers. All the hiring managers have to do once they get the email is look at the resume and then choose a status whether or not to bring them in for an interview, with maybe some feedback as to why they chose what they chose. It makes it very simple!
  • I really love the email templates that you can create in Cyber. It makes it much more simple rather than typing the same email that you have to send to candidates all the time. There are many emails that are the same format that I send out everyday, and Cyber really helps me not to make a small mistake by having those templates that you can create.

Cons

  • Re-Hire process is not well-defined. I have not had an easy time with any employee I have re-hired. ADP has acknowledged that there are issues with this process so hopefully they are looking into it.
  • Reports - The report name does NOT always indicate what the final report will supply. It would be very helpful to show a sample of what the report looks like when completed so we can see if it has the information needed. At this point, I have to go thru the whole process of selecting the criteria and running the report and then find out if it is what I was looking for or not.

  • One thing that would be really helpful is for Cyber to accept .pdf formats of resumes. Many candidates now have their resume as a pdf, not word, and it is a shame that I have to copy and paste their resume into their system, which ruins the candidates' formatted resume. If anything that is the big thing that could use a change: Cyber should accept both word docs and .pdfs
  • Sometimes Cyber gets a bit slow when I try saving a note, or send an email through Cyber. It is not often, and it does eventually go through in the end. I did check to see if it was the internet but everything else was running just fine, so I know it is Cyber when it happens. It gets stressful at times when you have a bunch of things to do in the day through Cyber, and it is acting very slow.

I only give it a 6 because there are small things that could use fixing. While it does get what we want done, there are things such as not letting us upload the pdf format... or getting really slow at times when it is trying to save. It's little things like that could be fixed, but overall the experience is pretty positive and it helps us get what we want done and efficiently.

The instructions from the recruiting agency on how to use the system was pretty straightforward. It provided step-by-step procedures on where you would need to log in your hours as well as what you would need to highlight (i.e. regular, overtime, etc.) detailing the type of hours that were worked overall. The handout also provided some pictures of the application

Implementation

Either assign more than one specialist to the implementation process, or assign less clients to the implementation specialist. The process requires attention to detail and the ability to test and re-test as well as verify the information. It also requires a lot of back and forth between the client ant the implementation specialist, so they need to be readily available during the whole implementation process.

Alternatives Considered

ADP does the full processing which is why we switched to them. They are good at what they do so it made sense to let the experts do the processing and reporting.

For awhile we were thinking of using iCIMS, but in the end we continued using Cyber Recruiter (we had already been using it for a time). Yet in the end we chose Cyber because of it is very simple and easy to use. While it may not look very pretty or exciting, it gets the job done, makes the hiring process flow easily, and that is what we really care about.

Return on Investment

  • We are now able to focus on other areas of our business instead of trying to build reports manually.
  • Our payroll is now in our hands. We know the process, where the money is going and how to resolve issues for our employees.
  • The organizational charts have saved our owners and all of our managers a ton of time and effort knowing what their orgs look like. We didn't have anything like that before that wasn't completely manual.

  • It has helped us have better customer service. We have been able to keep in touch with the candidates a lot easier especially using our email templates (we use that an awful lot). There are no "black holes" so to speak leaving our candidates in the dark wondering what is going on. That doesn't happen, which is great.
  • Everyone (recruiters) is on the same page. Since we can use notes when changing the status of the candidate in the system, everyone can see why that status was changed, or why we are not moving forward with a candidate. The notes are incredibly helpful for that reason.
