ADP Workforce Now

Well-suited for companies with 10 or more employees. The more employees the more efficient ADP is for all aspects. Less appropriate for small companies where payroll and reporting is very manageable.

The whole point of having an ATS is to:
  • Have a place and/or database to store all potential candidates.
  • Reporting functionality - what kind of data and reporting are you able to pull to analyze talent acquisition success?
  • Judge ease of use: no one wants to spend all of their managing a clunky system.
These are the top three areas I'm looking at in determining the right solution.

Pros

  • Allows updates within HR function to link directly with payroll and deductions.
  • Manage time and attendance and use those records to pay hourly employees accordingly.
  • Create time off policies and link those policies and requests directly to employees' time sheets to help ensure proper recording of time and attendance data.
  • Utilization of one system to link all time and HR data in one place.
Erin Brouillette profile photo
  • The system is intuitive from an ATS standpoint. It is easy to review candidates in a job.
  • Customer service is available via phone or online ticketing system. It is rare that a customer representative who answers the phone can't handle the issue during the call.
  • The software streamlines our offer letter and approval process.

Cons

  • Custom reporting tool is not intuitive, particularly joins between different data, and the proprietary reporting tool is clunky and slow.
  • Effective dates are grouped within areas (e.g. employment profile) making an employee's historical record extremely difficult to discern. This bleeds into the reporting.
  • There is no test environment available for clients, nor is there one (I'm told) available for ADP support.
  • Service hold-times are long and the support is inadequate. Nearly every call for us ends with "we need to escalate this to development".
  • There is no ability to configure field dependencies (e.g. departments are only available within a specific business unit), and employee attributes are one-dimensional (not hierarchical).
  • The workflow tool for manager self-service is extremely limited and completely text-based. This, plus the lack of the test environment, makes deploying a reliable manager self-service system nearly impossible.
Christopher Carey, HRIP profile photo
  • Integrating iCIMS with other software or departments is painful. We had a scheduled 12 week integration with iCIMS & ADP last more than 15 months.
  • Not all members of the iCIMS team share the same customer service centric attitude that the help desk and our Client Relationship Representative has.
  • The onboarding product could be improved. Currently this is done through "iFORMS" which are essentially word documents with fields that can be completed. It would be nice if the system allowed the fields to be re-formatted or have a more visually appealing look.

Usability

Lack of documentation and test environment make it extremely difficult to deploy work processes through the system. While there are a handful of things throughout the system that work well, particularly from an employee's perspective, many tasks, which would be simple for practitioner users in other systems, require these users to ask for administrator support.Additionally, the ghosts in the ADP machine cause established process (e.g. automated report delivery) to stop working with no notice and no error report.

I don't use every function so I don't know what I don't know. Perhaps, the fact that I don't use every function is a veiled way of saying that it seems a bit overwhelming to master.

We never experience outages that impact our usage. I also can't remember any recent time where there has been an error within the system that has prevented us from using the application as needed on a regular basis. If there are ever any issues, iCIMS has a customer service department that is very easy to reach.

Online Training

ADP Workforce Now8.4
Based on 5 answers
The instructions from the recruiting agency on how to use the system was pretty straightforward. It provided step-by-step procedures on where you would need to log in your hours as well as what you would need to highlight (i.e. regular, overtime, etc.) detailing the type of hours that were worked overall. The handout also provided some pictures of the application

Implementation

Either assign more than one specialist to the implementation process, or assign less clients to the implementation specialist. The process requires attention to detail and the ability to test and re-test as well as verify the information. It also requires a lot of back and forth between the client ant the implementation specialist, so they need to be readily available during the whole implementation process.

Alternatives Considered

Microsoft Dynamics SL is the latest payroll system I used, and it was an absolute NIGHTMARE! We moved our companies out of SL into ADP in Sept of 2013, and the stress level dropped by 100 points! Microsoft SL is very inflexible and unforgiving, so not good for payroll at all. It is not user friendly for the administrator or the employee. I have used various in-house payroll systems - at least 3 with different employers. I prefer ADP.

I have seen and used a variety of other products, and as I said in a previous answer, there is no comparison. iCIMS is the ONLY true ATS. The others are simply modules that were slapped on to round out a HRMS system, or a small product within a very large company that doesn't care at all about the tiny little ATS line of business within their portfolio.

iCims is currently pretty good and the best TAS for us at our stage of growth - but further improvement and enhancements will only help make it even better.

Return on Investment

  • Workforce Now has definitely improved our efficiency and consistency because we can pull reports into specific formats for importing into our databases. This means less hand-keying of simple things like address changes or new employee data, which makes our team more efficient and accurate.
  • Often our Accounting Team really struggles with understanding ADP's specific lingo, which can make it a challenge for our Payroll/Benefits Team and Accounting Team to interact. It's taken time to understand, for example, that "Business Unit" means "Account Code".

  • Major time savings. There is no reason to be doing recruiting manually today. This product will be a life saver in terms of saving time and organizing your candidate pools. It's also a great way to take notes in the candidate records so you can always remember as the years go on the reasons you passed on a candidate. Just great for organization.
  • It has allowed us to communicate with candidates. It's a fact that 77% of job seekers get absolutely ZERO communication from employers when they apply for a job. iCIMS allows for immediate and automatic communication which is essential for candidate experience and employment brand.
  • It allows us to work faster, respond to candidates and hiring managers faster, as well as easy end-of-year AAP reporting.
  • The ROI is difficult to calculate because it the benefit is time, efficiency, speed and saved trees - i consider an ATS a basic necessity for any organization that has a need to fill jobs. ...it is not a question of whether to purchase an ATS, but which one to purchase.
