ADP Workforce Now

For a small employer, with very little turnover and few benefit options, ADP may be too costly for the benefit. There are many affordable payroll providers available for small organizations.For large employers with many benefits options, employees in multiple locations, multiple tax jurisdictions and varied pay types (salary, hourly, commission, etc), ADP is ideal. The extended customer service hours, extensive resources for international pay, and capability for multi state taxation is crucial for an international employer.

Optimum Solutions HRIS

Optimum Solutions works very well for all our payroll needs. We run payrolls weekly, semi-monthly, monthly and yearly. The end of year process is lined out very well and webinars are available to go over any new regulations required.We haven't utilized the HR part of the software as much on the iSeries but are planning on changing that once we get converted to the Windows version later this year. The main reason for this is the HR part of the software on the iSeries is separate from payroll.

Pros

  • Tax and governmental reporting. For a small business these reports are cumbersome, and time consuming
  • Direct deposit - no more printing out checks and distributing to all employees.

  • First and foremost in my opinion Optimum Solutions has great customer service. We are assigned a specialist and can work with that person for every issue or question that arises. The specialist becomes familiar with our company and processes which makes interactions with them faster.
  • Optimum Solutions knows our business and offers helpful ways for us to work with their software to achieve our goals.
  • The turn around time for any question or issues is usually 2 hours or less. If our specialist doesn't have an answer they will work diligently with other employees with the company to provide us an answer in a quick amount of time.
  • Everyone I've dealt with at Optimum Solutions is friendly and knowledgeable . You can tell they love what they do and are always willing to help. Most employees have been with the company for a long time which tells me it's a great company to work for.

Cons

  • Some of the fields are not intuitive, meaning that when filling out things like phone #s and SSN's, the cursor does not automatically move to the next field once it is completed.
  • The performance management section doesn't fit our needs like we had hoped. We do not use a rating system for reviews and the ADP system is set up to be more advanced than what we are as a company. There's no way that we can change this so far and that's unfortunate.
  • Because ADP is such a huge program it runs a lot on cookies/cache. Because of that we have employees who really struggle with their passwords and the fact that we have them punch in and out on a public computer. Previous users and multiple tries with passwords seems to impact the next person who logs in.

  • We are currently using the software designed for the iSeries but are moving to their Windows platform. We are moving to the Windows platform to gain some functionality in terms of a robust Employee Self Service module.
  • In the iSeries software the Payroll and HR functions are separate which makes it a little more difficult to see the whole picture of the employee record. In the Windows version the Payroll and HR functions work as one.
  • The security for the iSeries side is a bit cumbersome in my opinion but we hope that is not the case in the Windows version of the software. We are planning to open up parts of the Windows version to the employee supervisors.

We are happy with ADP Workforce Now. Set up is rather simple and will accommodate almost any/every need for your business in the areas of HR, Payroll., & Compliance. Support can be inconsistent but every process has an online manual with step by step instructions that make troubleshooting much easier. We rarely need to call support. Payroll tax is and tax filing are second to none and processing/importing is rather simple.

It provided step-by-step procedures on where you would need to log in your hours as well as what you would need to highlight (i.e. regular, overtime, etc.) detailing the type of hours that were worked overall. Either assign more than one specialist to the implementation process, or assign less clients to the implementation specialist. The process requires attention to detail and the ability to test and re-test as well as verify the information. It also requires a lot of back and forth between the client ant the implementation specialist, so they need to be readily available during the whole implementation process.

Alternatives Considered

The previous system I used was an old version of PeopleSoft that was so far past needing to be updated that we were not able to make the modifications that we needed. It's not really a fair comparisson because the systems are so dramatically different. ADP has an all in one opportuntiy where there was only the HR portion in PeopleSoft. We did not have any recruiting or payroll opportunties in the system. When it's available, I highly suggest you go after it and have it all in one

We evaluated some payroll services but found the ongoing cost greater than the initial cost of purchasing our own software and keeping the payroll process in house. Other payroll software was generally more expensive and we are satisfied with Optimum Solutions. I would say the main reason we stayed with Optimum Solutions, converting from their iSeries version to their Windows version, was because of their outstanding staff and support.

Return on Investment

  • We are now able to focus on other areas of our business instead of trying to build reports manually.
  • Our payroll is now in our hands. We know the process, where the money is going and how to resolve issues for our employees.
  • The organizational charts have saved our owners and all of our managers a ton of time and effort knowing what their orgs look like. We didn't have anything like that before that wasn't completely manual.

  • Optimum Solutions lets us run all our payrolls seamlessly.
  • If we have any questions or problems Optimum Solutions is just a phone call or email away. The Customer Service is the best.
  • With the purchase of the Employee Self Service module that will be implemented in January of 2019 we will be able to eliminate the printing, folding, and distribution of check stubs as they will be available through self service. Also W2 information will be available there as well so no re-issuing of lost W2s saving us time and money.
