ADP Workforce Now

We are a company of 100-130 (employees throughout the year) and have multiple needs within all of our departments. WFN takes care of all of those needs: from payroll management to information sharing. We are about to upgrade to a PTO system and are excited to explore the time tracking, shared calendars, and more. We currently use the system for traditional payroll/information tracking and as a global communication system. This platform has changed my life as an HR professional and I have very limited negative feedback.

PeopleMatter is well suited for location based, hourly hiring, and I would highly recommend it for onboarding in any scenario. It is not well suited today for corporate or professional recruiting. The onboarding and compliance components serve all audiences very well.

Pros

  • All in one HRIS system for small to mid-sized organizations, in a market where the options are relatively limited.
  • Quality customer service reps who have a better fundamental understanding of payroll than many other vendors I have worked with.
  • Optional Benefits Table, which greatly increases the ease and efficiency of all aspects of benefit administration.
Evan Saltzman profile photo
  • Simplifies the On-boarding process. Easy to find and sort through applicants based on the individual store needs. Ensures all onboarding is complete before moving forward with the new hire.
  • Integrations aid us in ensuring data flows through all systems based on our needs. Ensure the data is correct and duplicate entries no longer need to be made.
  • Customer service is quick to answer and solve your questions.
  • System is simple to use, our restaurant managers love the look and feel of the product.

Cons

  • Reporting. Each ADP software has a reporting tool tied to it. ADP Workforce Now happens to have the weakest reporting tool of any ADP product, but they know this and everyone is being told that the new versions (4.0+) will address current issues, like duplicate rows, fields required but cannot be pulling in a report, etc.
  • HR / Payroll Separation. Unlike almost every other version of ADP, WFN creates a gigantic divide between the HR area and Payroll area, almost competing against one another. The challenge is keeping a teamwork attitude in spite of this oversight. Payroll reports rarely match HR reports because of this problem. But once you understand what each report is pulling, you can easily determine where you report needs to come from in order to be accurate, but this is very frustrating at times.
  • Support. Again, unlike every other product, WFN decided to create separate support models for the HRB side versus the Payroll side. But neither know anything about the other, which is terribly frustrating to the client. You will need to educate yourself a lot to avoid hours on the phone with no answer. But it is rather simple to learn with the available tools, and ADP ILearn (free).
  • ADP is always behind the ball in terms of compatibility with IE/other browsers. There are work arounds but usually by the time ADP is supporting one version of IE, everyone is already on the next, and so forth.
  • No organization chart capability, no proxy manager capabilities (for performance reviews/manager changes), no ability to hand documents, etc.
Henri Pichal profile photo
  • I wish the reports had a little more customization. I know they have already improved them since we have been using them but they're just not there yet.
  • Links for the Employee's to be able to contact HR or Payroll
  • Employee Dashboard having more functionality for them.

I would definitely renew our use of PeopleMatter, because it would not be beneficial or cost effective for us to go back to doing it in house. If they are willing to listen to our needs and wants and update the program for the better on a regular basis why would you. I feel like we got in on the ground floor and we are evolving with them

Usability

ADP Workforce Now8.2
Based on 16 answers
Because most of the payroll piece is self explanatory. Some training may be required to learn the lingo, but they also have "help" screens available on each section. I use this function if I don't understand what is going on. The time and attendance piece is fairly easy for the employee to learn with very little training.

Support

ADP Workforce Now6.7

The support from ADP client service is fantastic. Most of the time, one call can resolve my question or issue. On occasion, when I have a more complex issue, there will need to be follow up or even an amendment filed. In those instances, normally ADP sends a follow up email with the case number and details. I can then continue email contact with the representative (versus calling and starting over with someone new). On occasion I have needed to escalate an issue, either for more immediate resolution or a more experienced team member involvement. However, the CR team appears well trained as to when that level of involvement is appropriate and they will not hesitate to escalate.

Online Training

The instructions from the recruiting agency on how to use the system was pretty straightforward. It provided step-by-step procedures on where you would need to log in your hours as well as what you would need to highlight (i.e. regular, overtime, etc.) detailing the type of hours that were worked overall. The handout also provided some pictures of the application

Implementation

Either assign more than one specialist to the implementation process, or assign less clients to the implementation specialist. The process requires attention to detail and the ability to test and re-test as well as verify the information. It also requires a lot of back and forth between the client ant the implementation specialist, so they need to be readily available during the whole implementation process.

I would just say make sure you really think about how you are setting up the product. Are you using the roles correctly? Can we automate any processes

Alternatives Considered

ADP Workforce Now is NOT ADP's most impressive product (previous versions like ADP Enterprise were far superior) but ADP in general is my preference. Systems I have used:Ceridian- The Payroll Tax function/reporting/filing/amendment process was not as strong as ADP. HR was an afterthought. Workday- I was not impressed with their Payroll module, or Payroll Tax Table/Setup. The HCM module was fantasticADP Enterprise- Very consistent all around. Great support model, massive Reporting capabilities, global ability (used ADP Streamline and maintained headcount for 16 countries with no issues)

Previoulsy, we did everything in house before so PeopleMatter has been a time saver. I use to spend days just checking paperwork to make sure it was complete and then to verify applicants was a nightmare. PeopleMatter has simplified all of that and completely changed my work perimeters so that I can focus on training our manager instead of scolding them for incomplete paperwork

Return on Investment

  • Reduces HR time
  • Automates PTO process

  • PeopleMatter has brought all of our employees together in one central place. It gives them easy access to available shifts and gives employees an easy way to manage their schedule.
