For a small employer, with very little turnover and few benefit options, ADP may be too costly for the benefit. There are many affordable payroll providers available for small organizations.For large employers with many benefits options, employees in multiple locations, multiple tax jurisdictions and varied pay types (salary, hourly, commission, etc), ADP is ideal. The extended customer service hours, extensive resources for international pay, and capability for multi state taxation is crucial for an international employer.

Pros

  • The reporting in ADP is second to none. The ease of creating ad-hoc reports is far superior to any other system I have used. As an added bonus the canned reports that come standard with ADP, are usually more than enough for any company.
  • The customer service is amazing. Anytime I am experiencing issues I can call them up and expect an immediate resolution. They have an excellent ticketing system that allows them and myself to track communications and look up prior resolutions for future reference.
  • Tax Payments and Reporting are a life saver. I can always rest assured that my deposits are accurate and made on time. If I get any tax notices in the mail I can simply forward them to ADP and I do not have to worry about them again.

  • As I mentioned previously, it provides the ability for everyone to check their available time through their portal whenever they would like. Other systems I have used, employees would have to request a report for their available time / time used.
  • The layout is very streamlined and easy to navigate. When training new employees on the system, I don't spend more than 5 minutes with them and they are able to accurately login and navigate on their own.
  • The MyScreen tab is very useful. It has most everything you need to track on the same tab without having to print reports. Being able to see everyone that is currently clocked in is very beneficial. Other systems you would have to print a report to get this information.

Cons

  • The time and attendance portion could be more robust. If you have employees with multiple pay rates, pay types, and pay additions this may be a task to setup. My current company is driven by cost numbers and I we had to partner with another company that is another part of ADP called IDI in order to make things work.
  • Sometimes when working with records it is difficult to manipulate historical data. I guess maybe this is a good and bad thing because you don't want it to be easy for people to manipulate data, but if terminating an employee was a mistake I would like to easily be able to delete that record instead of rehiring.
  • The accrual setup is one of the biggest issues I have had with ADP. From the setup to execution this is a project that requires constant review even after the process has been completed.

  • Too much functionality for more basic usage. So many bells and whistles that implementing basic time and PTO tracking was more complicated than should be since everything was highly integrated.
  • PTO tracking was a little tricky. Had to manually go in an accrue PTO for employees after every pay period. Instances of PTO requests going through twice, perhaps by employee error, but not being able to easily clear out without deleting entire accrual and starting from scratch.
  • Reports did not come out cleanly. Could view them nicely within TimeForce but once exported to Excel they would lose all formatting and sometimes lose certain data columns.
  • Employee profiles needed to be set up in two different places with repeated data. Was tricky and not intuitive.

The system works, period. QQest support is extremely knowledgeable of their product. In the very few times I have contacted them (mostly for updates) I allow them to remote in and the problem is fixed or the application is upgraded within the hour.I have not run into any errors with the system, it has performed bug-free (at-least to the user) for the entire six years that I have managed the system. The only issues that we encountered and needed support where in the event of a software upgrade.One thing I might consider a negative is the cost of the Microsoft SQL Server product needed at your cost in order to run the TimeForce software (if localized). Currently we are considered using the hosted solution at our next upgrade point.We don't have to renew until we are ready to upgrade, but we always have support available which is nice.

Most of my issues can not be handled by the chat so I have to call in and usually I am on the phone for an hour or two and my problem does not always get resolved immediately or I have to wait for the next update to get resolved. When there is an update the wait time is even worse because it never fails they do an update to fix one problem and another one arises.

It provided step-by-step procedures on where you would need to log in your hours as well as what you would need to highlight (i.e. regular, overtime, etc.) detailing the type of hours that were worked overall. The handout also provided some pictures of the application

Implementation

Either assign more than one specialist to the implementation process, or assign less clients to the implementation specialist. The process requires attention to detail and the ability to test and re-test as well as verify the information. It also requires a lot of back and forth between the client ant the implementation specialist, so they need to be readily available during the whole implementation process.

Alternatives Considered

Prior to our switch to ADP in 2009, we used Abra and had to manually enter timecards and record time. The flow in ADP Workforce Now is wonderful!

We have not used other Time and Attendance software except a scheduling system called Scheduler (Custom developed for our business). I haven't had the need to research other solutions as I have always been comfortable with the product itself as well as the support that you receive from QQest. Help is literally a phone call away and maintenance contracts are well worth the purchase price, especially in the even of an upgrade.

Return on Investment

  • I handle all payroll aspects and the administration of our benefits, ESOP and 401k. Before ADP, I had an assistance who would key hours into our old system. Had so many key errors and we no longer have that since the employees clock in and out on their computer. Payroll is completed so quickly that I have more time to focus on other issues.
