ADP is well suited when you have a large workforce. We have over 450 employees and frequently have those who are hired and those who retire. It's such a great opportunity to give employees ownership of their own employee information.I think if you have a small business, it may be hard to justify the cost of ADP. However, the fact that they can take care of your payroll and taxes and such is pretty awesome.

Pros

  • The blending of all aspects of HR in ADP makes the system use very fluid. We like that we can have the employee in the system from hire to retire.
  • Allowing employees to have access to their own information is very empowering for them. We like that employees can look at their benefit enrollments, tax information and address along with their payroll history. This is very empowering from an employee standpoint.
  • From a manager standpoint I feel that the system gives the manager great power to make decisions. It can be simple things like workforce planning but also things along the lines of performance evaluations and annual reviews and pay increases.
  • Reporting abilities are AMAZING. You can get a report on basically anything you want in ADP. It can be a challenge to find out how to get that information into a report but the Customer Service help when it comes to custom reporting is great.

  • Vista HRMS is very flexible, it does everything we need for HR, benefits and payroll. It’s user-friendly and intuitive to use, when we roll out new self-service items our employees have no problems and require minimal training or documentation.
  • PDS has excellent customer service and support. We get answers to the majority of our questions and problems quickly, within the day that we call. More complex issues that may require PDS’ technical support are usually addressed within a few days. We were upgrading our production servers to Windows 2012 over a weekend and a key person in our organization was on leave. When we checked with PDS to see what cost would be involved if we needed their help, they said it was included in our regular maintenance, no extra cost.
  • The PDS User’s Conference is an excellent learning opportunity for training on everything Vista does, including using Crystal Reports for custom reporting. You also get to meet and talk to the executive and development staff and have direct input into the future product development.

Cons

  • Managers would like a link to their Outlook calendar for all of their reports' vacation time. Currently, the employee will get a link to add to their personal Outlook just not the managers.
  • Would like to see real time changes when updating any of the configurations pages. It is a pain to have to log off and log back on to see how the changes look.

  • Time entry is very manual, you have to be very specific in your time entry by inserting the colon and also the AM/PM. Military time entry will work if you're settings are set to accept military time entry. A time punch button would be a great addition to this module, or a quick drop down option of base hour or half hour entries.
  • Currently, the system allows employees to enter more leave accrual time then they have available. This error does generate on reports when payroll is run, however as a business rule we do follow up with each individual who has gone over and see if they would like those hours moved over to other available accruals or let them know that it will be unpaid if no other accrual balances exist. I believe you can configure a 'User Exit' to notify employees as soon as they enter the time in that those hours are not available, however it is not part of the base system. This would be a helpful addition and would save quite a bit of time on the follow up during payroll processing.
  • I was not here during implementation of this product, so I am not sure of the training that our administrators received at the time. However I have not had much luck in finding best practices for the system or training manuals. My knowledge has come through trial and error and calling our hosted support team to help walk me through issues. More FAQ material or even module training materials would be great for newly hired employees who need to have access to Vista HRMS in more than a basic time entry capacity.

I feel so invested in Vista HRMS that I don't really want to try other options. I know we as an organization are not using this product to it's full potential and that is just due to us lacking the resources to be able to invest the time into breaking it apart and making it work to the best ability for us. The system works great as is, but there are a lot of implementations we can put into place to help us out even more. For example, we would love to start using Workflow to create more efficiencies. I personally have a very good relationship with our hosted vendor who supports Vista HRMS and can help me with any issues and concerns, this is a big part of the reason that I would renew with this product and continue to be an advocate for Vista HRMS.

Because most of the payroll piece is self explanatory. Some training may be required to learn the lingo, but they also have "help" screens available on each section. I use this function if I don't understand what is going on. The time and attendance piece is fairly easy for the employee to learn with very little training.

ADP has gone back to the designated "team support" module for clients on the newer versions of WFN, and the introduction of "The Bridge" has just added additional resources for problem resolution. It is a blog of current users who can share ideas/solutions in real time. And open case numbers are relatively east to track, and will allow the clients to view status of specific cases in the near future. We currently have no open items!

They are quick to respond to support requests. Often they are able to address the issue without escalation. The support staff are extremely knowledgeable and willing to recruit other staff to help troubleshoot a problem. They frequently do screen sharing sessions to actually see the behavior we experience so they can better understand the problem and get it resolved. Without an exception, all of the support staff are extremely pleasant and enjoyable to be around. They truly value their customers and our success and they try to make it fun to interact with them. Support calls do not incur a support fee either. All support, excluding consulting services, is included in our annual support.

The instructions from the recruiting agency on how to use the system was pretty straightforward. It provided step-by-step procedures on where you would need to log in your hours as well as what you would need to highlight (i.e. regular, overtime, etc.) detailing the type of hours that were worked overall. The handout also provided some pictures of the application

Either assign more than one specialist to the implementation process, or assign less clients to the implementation specialist. The process requires attention to detail and the ability to test and re-test as well as verify the information. It also requires a lot of back and forth between the client ant the implementation specialist, so they need to be readily available during the whole implementation process.

Alternatives Considered

Prior to our switch to ADP in 2009, we used Abra and had to manually enter timecards and record time. The flow in ADP Workforce Now is wonderful!

I wasn't part of the implementation team for selection of Vista HRMS, but the feedback that I received was that this was the most robust, configurable product on the market for the price range we were looking to spend. No software is perfect, but Vista HRMS does suit our needs and there is always room to enhance the product when you have time, skills and some money for customs to be put in place if you are unable to do them yourself. I have had the opportunity to work with many other Payroll and HR software programs and none of them were as inclusive as Vista HRMS. We always had issues with syncs and integrations between the programs and at times we even had dedicated employees who did the exact same data entry in multiple different systems. This of course is inefficient as well as leaves quite a bit of room for human error.

Return on Investment

  • Accurate, integrated Time & Attendance is by far the #1 efficiency for the organization I implemented this system for. They went from paper time sheets to having the ability to have employees enter their time via their smart phone overnight.
  • The more robust and date effective reporting allowed us to finally be able to tear into the data and ensure people were being paid correctly.
  • The prior system was a Citrix based platform that could only be ran on one computer, whereas Workforce Now is internet based, allowing me to work whenever and however I needed to.

  • It has greatly increased our payroll processing time. We can do it all in house and prior to Vista HRMS our timekeeping was done on excel spreadsheets! No one is trying to manually calculate overtime for each employee anymore.
  • Reporting data from Vista HRMS is easily done with Crystal Reports, this has helped us improve on multiple efficiencies including posting to our general ledger, tying out our 401K files and state employment surveys. If the data requested has anything to do with fields that are used in Vista HRMS, I can definitely create a report on it!
