ADP is well suited for compliance with all legal regulations. I like that as soon as any new law comes out, ADP has taken ownership of the law and usually has already provided me with a solution or work around to make sure I am in compliance. The reliability of ADP is excellent and I have never had one bad dream of ADP not being around in the future.Workforce now is not well suited if you have a workforce that has multiple work rules, pay rates, pay types, and pay additions. You will more than likely have to keep a spreadsheet externally for these numbers and manually manipulate data.

  • Responding to issues through customer service. For example, having a custom report made, having pay codes adjusted or changed.
  • Payroll - the payroll process is smooth and there are graphs to analyze the current payroll cycle and it can be compared to prior payrolls. Great reporting from payroll as well.

  • VistaHRMS' open, customizable architecture which provides ultimate flexibility and opportunities for integration. We can use our technical development skills to create any new module we may need as well as extend the base system code to handle our unique requirements, special circumstances and processes. This also aids greatly in troubleshooting and identifying issues because you can get right down to the source code.
  • VistaHRMS provides flexibility for security so that any employee in the company can have access to the HR information that is pertinent to him or her.
  • PDS staff are spectacular to work with. They provide high-quality, timely support and are always willing to spend the time to get your questions answered.
  • PDS is deeply and sincerely interested in customer feedback. This is the best way to improve the product: listen to your customers. They not only listen to the request, they actually implement many of the changes in base system. PDS is a strategic partner for our organization based on the level of service they have provided and their willingness to act on our feedback.

Cons

  • Implementation - as an administrator, make sure that you know what's happening at every point of implementation! This process can be disjointed.
  • Training - the learning curve is steep when adapting to this system. Be prepared to spend hours formally training, staying on the phone with customer service, and surfing the "Bridge" (a peer support system). Every minute you invest will be worth your time!

  • Typical of any system built for the unknown requirements of hundreds or thousands of customers with varying needs, PDS sometimes doesn't fit our processes precisely out of the box. However, this con is far outweighed by the ability to configure and customize the system.
  • The most significant pet peeve of our users is the necessity for so many clicks to navigate between different areas or the system or to review applicants. These items are being addressed based on feedback from the user community in an upcoming release.

It provided step-by-step procedures on where you would need to log in your hours as well as what you would need to highlight (i.e. regular, overtime, etc.) detailing the type of hours that were worked overall. The handout also provided some pictures of the application

Either assign more than one specialist to the implementation process, or assign less clients to the implementation specialist. The process requires attention to detail and the ability to test and re-test as well as verify the information. It also requires a lot of back and forth between the client ant the implementation specialist, so they need to be readily available during the whole implementation process.

Alternatives Considered

We used Run by ADP before Workforce Now and found it to be a much more user friendly and easy to use payroll system but it doesn't have the time and attendance functionality required under the Affordable Care Act. Workforce Now has many more features than Run but lost a lot of the user friendly and ease of use functions that Run provided. We considered Paychex but did not care for their customer service previously and ease of use as well. Workforce Now seemed to have all the features that we were looking for and they work, perhaps just not as seamlessly as it was sold to us

The open environment of our hosted system allows us to develop modules and customizations as if the system were developed in-house. With the IT staff we have, this provides great opportunities for extending PDS' capabilities. Additionally, I have never worked with a better team of support and technical staff that PDS provides. They truly want to improve the system for us as partners. It is a two-way street where we share information and ideas and they provide solutions and improvements.

Return on Investment

  • This has allowed us to have more transparency for both management and staff regarding time off balances. This has allowed us to make important management decisions regarding staffing.
  • This has streamlined our payroll process and helped get more accountability from supervisors regarding approvals and oversight.
  • The initial setup was really tough and extremely time consuming. It took months to get it set up properly and to get management staff setup on the system and using it efficiently. The out of pocket costs for set up were pricey as well.

  • Automation of many processes leading to higher efficiency and the ability to focus on core business as opposed to data processing. This includes our biweekly payroll processing, automated reporting, alert notifications based on certain activities occurring, etc.
  • Integration of separate software systems for HR, Benefits, Payroll and Recruiting into a single suite of modules that all share the same data.
  • Self-service access for employees empowers them to find, review and update information independently which enables HR staff to focus on more valuable efforts.
