Agile seems suitable if you set up correctly from the get go. Once you have over 10000 contacts it's hard to clean up the list e.g tags. If you want to edit or delete them how can you?

VanillaSoft is a robust, well-executed solution for sales and marketing over the phone, multi-channel integrated marketing and tracking is also supported with their email drip feature. The option for mass emails with a third-party integration is less than spectacular in execution. The web lead form integration directly imports website visits into your CRM as prospects, but the auto-generated code is not pleasing nor does it include appropriate field functionality as assigned within VanillaSoft you'll have to figure that out by trial and error.

Pros

  • Easy to add new contacts whether manually or automatically as they fill in forms on site.
  • The banners feature is useful to flag important messages regarding certain users.
  • The email reporting is easy to see CTR open rate etc.

  • VanillaSoft provides a solid call center experience both from a management perspective and from the caller's perspective.
  • VanillaSoft's call routing is easy to understand and configure, but provides a lot of capabilities: based on the results of the call, you can schedule a callback, mark the person as finished, throw them back in the pool to not be called for a specified period or whatever you want to do.
  • It's pretty straightforward to load scripts into the system for callers to use. Segmenting those scripts and matching them up with the person being called happens almost automatically--you tie both to a single field so callers never read the wrong script. You can also customize what data callers see about the person their calling, so they have the most important data at their fingertips and can dig in to find the details they may occasionally need.

Cons

  • UI and UX - it's improving and it's 90% a joy to use. Some things are just really clunky with multiple windows opening (newsletter campaign management is a good example).
  • I have yet to see their approach to the new EU data protection regulation which would be a deal breaker and would entail us leaving them if their plans are not published soon. That said I think most tech companies are guilty of a lack of planning.
  • Ticketing feels poor compared to Zend Desk and Zoho Desk.

  • Realtime synchronization from a master list of potential prospects to call with even more elastic ability to re-/assign them to specific call lists would be great.
  • Texting functionality could be better in terms of WYSIWYG and user experience.
  • The system for de-/activating profiles is a bit cumbersome at times, with lapsed phonathon callers' profiles becoming completely hidden from the admin side.

There was a little bit of a learning curve and some bumps along the way to managing this platform, but AgileCRM appears to be responsive to any challenges that arise, which I consider to be of vital importance.

The training sessions are very helpful, because you have specialist that is available to answer any questions, guide you and coach you on how to dominate a certain feature of the platform. That being said,Whenever I have an issue that needs to be resolved, I can send email or call a support line. I usually use the support line.

Each section of the AgileCRM platform has an instructional video that describes in detail all of the features of that section. I found this to be very instructional way to learn about each section. Whenever I had more questions, I could always schedule a conference call with a tutor..

Alternatives Considered

I trialed a number of other CRMs much to the disgust of my colleagues!
  • Pipedrive was great but more sales focussed and heavy on Javascript so felt slow at times
  • OnePageCRM was good but no sales automation when we tried it
  • Highrise - wanted to love it but too basic and even though we had a free license bundled with Basecamp we didn't use it.
  • Capsule was good but basic
  • Salesforce was too complicated to learn
  • Infusionsoft and Hubspot were too hard sell (Hubspot wanted a 1 year commitment)

We assessed using VanillaSoft with inhouse management against Ruffalo Cody and Wilson Bennet's managed services. The overall cost was between half and 2/3 less than those services, even including an in-house staff member, and the ROI would be comprable. With that in mind, using VanillaSoft allowed us to improve our staffing situation while remaining equally effective.

This products Starts with a free Limited version. You can upgradeTo an affordable paid version with minimal features. There's also an enterprise version which is what I have. It's much more expensive, however it allows me to access the full range of features available.

  • It may be me but I spent a disproportionate amount of time figuring out how to derive more ROI from Agile CRM. The functionality and facilities were there but I eventually gave up as it was taking too much time and attention.
