Agiloft Custom Workflow/BPM

Agiloft is perfect for managing requisitions, linking those requisitions to their appropriate contracts (and getting the contracts directly executed via DocuSign or Adobe), notifications on upcoming renewals, spend tracking, trend analysis, contractor access management and ticket automation, audits, and much more. The tool flexible enough to integrate with other platforms but users need to be made aware of the requirements/limitations of the integrations.

SPO has replaced our need for Box for mobile works to have offline sync access by folders and files. Robust syncing keep our workers productive on the road, no need for VPN. Single sign-on with AD credentials built right in, if you are using Office 365, is great, and the integration with Office apps is very nice (though we have run into some problems when trying the simultaneous editing of office docs).

  • Granular permission access of files and folders, via AD groups or team site groups.
  • OneDrive offline sync mechanism seems robust and handles online/offline well.

Cons

  • We have a history of quick but unhelpful responses from customer support. Fortunately, we are able to work with our implementation specialist when support tickets require escalation. There is a clear eagerness to assist, but the communication from support lacks depth. You have to be extremely specific with your desired resolution.

  • SharePoint to OneDrive sync mechanism is hidden or difficult to understand for users coming from Dropbox, Box, or other cloud storage apps.
  • UI isn't really that great. SPO is a huge improvement, but is still very Microsoft-ish.
  • Uploading a new version of a file with a different name is not possible.

To me SharePoint is the most complete technology out there for business needs as it includes:- Business Intelligence- Electronic Forms- Collaboration Sites- Blogs- etc...Blogger for example may individually do blogging better than SharePoint but does not have all the other features that SharePoint has such as BI. SharePoint to me is the best choice as it does many features really well where other technology may do something specific better but is restricted to that feature only.

A lot of users can give you many great ideas how to cleverly use SharePoint's core functionality to implement almost any process you need. It is very sturdy, never crashes. Many applications and third party solutions are built for SharePoint so even customization without Microsoft programming skills is rather easy and low cost.

MS SharePoint stacks great against its competitors for a simple reason, it is perfectly integrated into Microsoft ecosystem, as it is tightly synchronized with Skype for business, Outlook, Outlook calendar and any other O365 software. The great thing about MS SharePoint is that you can synchronize all files in your KB through MS one drive and that way you can always have a local copy of your Knowledgebase.

It is extremely simple to share, within our department and even with other departments, things we have been working on. Formatting is not an issue when we are sharing and that is a big life saver.

  • In the past Capital Budget was a slow process that required lots of emails going back and forth. With the creation of the Operating Plan Portal, managers can submit their capital requests in a fast and efficient way for high management to approve/reject.
  • With the creation of our Business Intelligence portal management can look at the Scorecard & KPIs and make fast educated decisions as to which departments/indicators needs improvement.
  • In the past all of our files that require collaboration were stored on shared drives. With SharePoint that is no longer the case, each department have their own portal where they can share and controll access to the files themselves.
