Agiloft Flexible Service Desk Suite

Agiloft is a fully GUI based system that requires very little or no coding. That allows for a very quick deployment of a new install and for adding new features. Therefore, it works great for companies that don't want to write a new system from the ground up.

AutoMate BPA Server

Anything where automation would be helpful, I'd recommend. If you're doing a task over and over again, Automate can likely work and do it for you. It helps to keep things running exactly the same so that when failures occur, they can easily be traced to their source.

  • Automated Workflow that facilitates constant communication keeping all parties on the same page
  • Unparalleled versatility allowing new modules to be easily activated as the company grows and expands

  • Very detailed task builder. Easy to read step by step a task's operation even if you don't have much programming knowledge.
  • Scheduling for automation jobs is very flexible. Allows us to create all kinds of job schedules as needed.
  • Organization of jobs, tasks, conditions is done well. Allows us to easily manage our items.

Cons

  • The wide range of the Agiloft software functionality can make it seem overwhelming to customize.
  • Currently, they offer a week-long, in-depth training class that would be more helpful to me if it was offered online as it is difficult to commit to being out of town for a week to attend the training.

  • AutoMate's Windows interface can be quite buggy at times. We are using the latest and final build of AutoMate 10. It took many iterations to get this most stable build, but there are still many little issues that happen when building tasks. Copying and pasting too much causes GUI errors and can crash. Things don't indent properly, success/failure arrow lines in the Job window don't flow perfectly straight, etc. There is a newer version AutoMate 11, but it's so buggy we can't even use it properly.
  • Memory management is terrible on Aut 10 and 11. Just working in the program for a little bit building tasks has memory leaks that don't resolve until you close out of the program. You'll be using several GB of ram in no time.
  • Dashboard reporting could be better. We'd like a better way to track how jobs are running, when failures occur, etc. You can do that now, but the interface is cumbersome.

For the most part, it is an easy and intuitive system to use. There are many small things that could be improved to make the system work even easier. However, overall it is very easy to use if you have a good grasp on computer programs and using them to build things. I do not have any computer science or programming background, and I am able to use this system with few problems.

N/A - Agiloft was already chosen as the tool we were going to use (by an employee that has now left the company) before I was given the assignment of working on this

At an older job we used to use SSIS as kind of an automation tool as well as it could also be used to connect to FTP sources, read files, etc. AutoMate is simply centrally designed to be true automation software. It is much more robust, can work with a variety of software (including SSIS itself) and is much quicker to integrate and troubleshoot.

Return on Investment

  • Increased efficiency on certain processes. Our time sheets were done previously in excel spreadsheets, which HR had to constantly remind everyone to do because they hated it. We created a tool for logging time sheets which is much easier and faster to do, and now employees don't dread it (as much). We also use print templates to automatically create documents to send to our clients, which previously had to be created manually. It also allows for information to be viewed at anytime, instead of waiting for someone to close a document first.
  • Linking together of information, and having one place for everything. Previously, we never had one place to store information and records. We had one place for this information, another for that information, and sometimes information went to one place and sometimes in some other place. We also used different tools for different things. Emails for this, our wiki for that, an excel spreadsheet for this other thing. Agiloft has allowed us to have one place where employees will go to do everything from requesting vacation days to doing tasks related to our product, to recognizing another employee's accomplishments.
  • Decreased efficiency on certain processes. However, there is a silver lining to this. These processes were previously as simple as you can get - logging information into a text file, which is then added to by other employees. There were no controls, no major checks, and things could easily be missed. Agiloft's system allows us to do things so that everything stands out and is seen, checked, and recorded in a much better way. The trade off for less efficiency is tough, but it will be worth it in the long run as we are more effective and accurate.

  • It's been a net positive as AutoMate requires less eyes on specific tasks so that people can focus attention elsewhere and do more analysis.
  • Less manual work also decreases the chances of mistakes and/or missed jobs. Since Automate can schedule everything, send email notifications, etc., there is less time wasted.
