Agiloft Flexible Service Desk Suite

Agiloft is a fully GUI based system that requires very little or no coding. That allows for a very quick deployment of a new install and for adding new features. Therefore, it works great for companies that don't want to write a new system from the ground up.

I can speak for a mid-sized company, once prophix is implemented and users are trained (requires consultants and dedicated effort by users) it can be a very useful tool to eliminate the use of excel spreadsheets and standardize reporting, planning and forecasting. It is flexible enough for "super" users to take it into areas of analysis and reporting that may not be possible for many such products, such as human resources, capex, fixed assets, commissions, accrual analysis, etc.

  • Consulting Team. We purchased Prophix this past summer. We have spent several hours over the last 90 days building out load processes, testing/validating data, and designing reporting to complete everything before our go live date. Our Prophix consultant, Tina Yeung, has been amazing in helping us. The knowledge transfer, timing of responses in getting back to us, and commitment have been critical to the success of this.
  • Developers. We have a complex process in how we consolidate data from our ERP systems - sequel queries, flat files through text documents and Excel files, and ELIMS. We export data in a monthly and YTD value format. Because of the complexities, we could not find a software package other than Cognos Finance that would be able to support the different requirements we needed to consolidate data until we came across Prophix. This was an ideal solution not only because of cost but the features of the software that the developers (specifically, Collin Issac) were able to do in the customization (coding logic) used to keep everything dynamic. We often times have an acquisition that is on a different ERP system and we were able to create ways to setup account mappings, reports, load processes that would normally takes days to setup to just a couple hours.
  • Features. The software is very slick. There are different ways to drill into reports through Ad-Hoc Analysis, building professional format reports in Template studio, and generating reports in Report Binder to be emailed out to end users in a quick format. The Ad-Hoc tool is very appealing because of the graph function (also available in Template Studio), it allows you to create a quick visual of revenue, EBITDA, etc. and send to a non-financial end user quickly. The features in the system are visible and easy to use if your using the system properly. In the prior software we used, we didn't have that upgraded feature as Prophix where we could only send out report after report with numbers buried in them.
  • Home Screen. This allows you to show users announcements, create shortcuts to reports that you can run immediately, and create workflow task reminders for the end user to be aware of. The shortcut for reports really stands out because if your validating data, you don't want to keep going through 'Document Explorer' if you have several reports setup within your company that is layered by different departments - GL, Finance, AP, AR, etc. you can just simply click a button and run the report.

Cons

  • With flexibility comes complexity, so we have needed to use consulting time to implement some of our needs. The learning curve can be steep, but the product can accommodate nearly any scenario.
  • At one point we seemed to have some performance issues, but those seem to be in the past.
  • The text messaging integration would be nice.

  • Generic scorecards and KPI indicator formats would be helpful and save time creating from scratch.
  • The Delta Analysis function looks very useful, but I have not seen much focus on this function either via webinars or at the user conferences.

For the most part, it is an easy and intuitive system to use. There are many small things that could be improved to make the system work even easier. However, overall it is very easy to use if you have a good grasp on computer programs and using them to build things. I do not have any computer science or programming background, and I am able to use this system with few problems.

Prophix is necessarily complex because it is a very flexible tool that can be used to solve just about any data analysis or reporting need. There is always a disconnect between the initial presentation of a software product and actual implementation and use. Be sure to allocate the necessary investment in time and money for consulting help and user training.

Prophix modeling is more flexible and customer support is more responsive. End users are empowered with ease of functionality that is lacking in the bigger brands. Design is more attentive to user feedback.

We are a medium sized company, but the structure of Prophix would seemingly adapt to whatever sized organization you have. It also can be applied in any area of an enterprise that needs performance management, whether it involves financial data or not. The potential for application within the enterprise is really only limited by you imagination.

Return on Investment

  • Employee efficiency is much higher, as they aren't spending time on tasks that don't add value.
  • From a sales perspective, we have a much better view on what is in the pipeline, and what the likely conversion % is.
  • Overall, we are much more organized due to the tool, and I think mainly it is due to the increased visibility that is possible. Tracking processes, automating reminders, etc makes our operations department run much more effectively. We are looking forward to how much more we can get out of the tool in the future.

  • Significantly improved short term and long term planning decision making.
  • Significantly decreased the amount of time preparing reports, and allowed for more analysis of the reports. Roughly 1 weeks worth of work was cut down to 1-2 days. We were also able to shorten the annual planning and forecasting processes.
  • Improved organization satisfaction with the planning processes, and financial reporting packages.
  • The time saved in report preparation allowed us to provide additional analytics and insight into the numbers than in the past.
