Aha!

  • Aha! is the all around product management tool. You need something once you build out a product management role and grow beyond a small scrum team with one or two products. JIRA, Pivotal, and project management tools don't cut it for aligning [engineering] with product initiatives once the backlog starts to scale.
  • On the other hand, there are several unfinished features that my peers all admit to having to work around: Capacity Planning, Salesforce Integration, Roadmap Display Flexibility, User Feedback, etc. This year has been all about reporting in terms of feature releases. As Aha! grows, they will fill in these other areas, so stay tuned.

Kanban Tool

Kanban is well suited for a fast-paced working environment for larger teams who want continuous communication with users. Kanban is good for rapid development and daily meetings for updates and statuses. Kanban is less suited for smaller teams or groups who don't require collaboration and constant communication with involved users. Kanban is time-consuming and it takes additional effort outside of your regular work to maintain and manage the tool.

Pros

  • Being able to organize projects into workstreams/releases helps to show progress and priority.
  • Custom workflows are great for making Aha! work within our established processes while allowing room for growth and change.
  • The cards are really smart with being able to customize contents and color so that I can glance over the board and see what needs attention.

  • The time tracking feature is flawless.
  • The process and progress visibility is great (the task cards are small, so that it is easy to view the process without having to scroll in or out and reading the entire headings).
  • The uptime of the service is critically good. I had tested an alternative solution previously and had been often left cut off from my workflow due to service maintenance hours.

Cons

  • When I first started using Aha! I was quite overwhelmed with all of the features. This may be due to user error, but I would have liked more guidance through each step.

  • Would be nice: ability to send a notification to selected people when a card is created/opened.

Support always answered in 24 hours for any inquiry-- a reasonable timeframe for most of our requests. The PM team participated actively in supporting their features, keeping them close to the product.

Alternatives Considered

Aha! is completely different compared to the other products I've evaluated. I would compare Aha! to Atlassian/JIRA. It's great for agile teams to do weekly sprints and breakdown large features/product upgrades into individual tasks.

Kanban is superior to Scrum and AGILE because it can visually organize all your projects and data into one board. Kanban integrates with JIRA which digs deeper into the project data when it is needed. By integrating Kanban with JIRA, you don't need any other tool for project management that is effective for both the business and the development teams. Kanban is recommended for any user groups who wish to increase their efficiency to deliver products, transparency for all users and on-time productivity.

Return on Investment

  • Aha! is a relatively inexpensive investment for the ROI considering all the time it saves compared to working in spreadsheets, Jira, Pivotal, etc., to organize a product backlog and manage feedback. The time savings alone covers the investment.

  • Kanban has helped both business and technology groups to meet project deadlines more often and on time.
  • Kanban has allowed the business to visually track and receive live updates on any project whereas before they had to schedule meetings and take the time to ask and understand all the details. Kanban provides all of this information and makes it accessible to all users.
  • Kanban has given project managers to easily monitor and manage projects and quickly retrieve any data related to a particular team's work-flow process.
  • Kanban has given technical users the ability to manage their own projects while communicating their progress and updates to their users and team leads or managers.
