Airtable

Airtable is best suited for any size company. Especially companies with many departments working on many projects. Airtable is also a great tool for regularly scheduled meetings to keep track of things discussed, documents used, and assignments. We use it to plan any event we hold for our company and our annual company retreat. It really keeps things organized and is very easy to access across any device. Outside of financial spreadsheets, this really replaces any spreadsheet software, including—and perhaps especially—cloud-based shared spreadsheets.

Clarizen

Clarizen is great as a supplement to solid project planning, and can be utilized to foster collaboration between remote resources or teams. However, its project financial tracking functions aren't fully fleshed out, and its 'all-in-one' modules for things like time and expense reporting are lacking compared to competitors. Clarizen also doesn't have much in the way of built-in BI or analysis tools. My organization also struggled a lot with integrating Clarizen with our CRM and accounting tools. It is definitely not a plug-and-play integration.

  • Multiple viewing options, including self (individual) view and then view by project (also called a Base).
  • Completely customized columns with the ability to easily create many different data types.
  • The templates are really, really good.

Cons

  • They only thing I can think of is being able to switch between user accounts without having to log on and off.
  • A personal request, would be to add shades of brown to the color palette. When working with the children, we color code field options for eyes and hair. The only children I can't do this for is brunettes with brown eyes. A small thing I know, but it would really help the younger children as it is a visual clue.

  • Integration – any SAAS provider has to have seamless integration in mind. They have a lot of work to do, but they are getting there. The amount of development required has been very intensive to get it to work
  • Clarizen can only accept data imports (data loads) from MS Project – because of that we couldn’t import data from Basecamp. That means we have had to continue to use Basecamp in parallel to finish those projects.
  • Only accepting MS project for imports is a huge oversight
  • Communication with 3rd parties e.g. customers – Basecamp does that much better.
  • They are based in Israel, so that presents a few challenges like you cannot access on Fridays (Saturday in Israel). They now have opened a small office in San Francisco to alleviate this problem

It fulfills our needs, is easy to use and have not had any complaints about it. Unless they raise the price of it, I don't see why we would change from Clarizen at the end of our subscription period.

Sometimes it is slow when everyone is entering their time on Fridays or Mondays but other than that we rarely see downtime and maintenance notifications are well in advance.

• We worked with a Project Manager on their side. He was very good about developing a project plan to hit our goal. I think we had weekly or twice weekly calls – very steady cadence over 3 month period.
• Their PM skills were great – kept us on task. For the last week, they sent 2 people on site and they did training for power users. After that a couple of them revisited here

Our trainer, Alex, is exceptional and knows the product really well. I swear he must have wrote the product himself! His manner with training is very easy going, gives you homework that is applicable to what you need to learn and stages it correctly for you. It was a pleasure to be trained by him.

I performed the implementation with our Clarizen provide trainer, who knew the product 100% and it went quickly and without a problem. It was a pleasurable process without the problems other software implementation often encounter. Kudos to the Clarizen team for making this a worry free process for their clients because it is worry free.

Alternatives Considered

Airtable is much more user-friendly and easy to navigate and update than Confluence. We still use Confluence as a wiki, but Airtable is used for all our day to day management.

Microsoft Project - I found Project easier to use overall just due to familiarity with Microsoft tools, being that clarizen is web based I found several occasions where you would have to refresh your browser for changes to take place. That could be frustrating from time to time

Return on Investment

  • Saved time providing updates on where tasks are up to. Anyone in the team can go in and look to see where things are up to.
  • Allowed the team to have access to the same information at the same time, saving time in people asking each other for data and information.
  • Before Airtable we had information stored in several places - Excel, Confluence, emails, on individuals' computers - now we've put it all in one place.
