Deltek Ajera

Ajera is great for small firms in the AE industry. I would not use Ajera if you are not in the AE industry or if you are a very large company. It is the perfect software for those small companies that can not get the information they want from QuickBooks type softwares.

Pros

  • very intuitive and simple to use

  • editing in real time, and several viewers viewing screens from remote locations

  • Widgets are the best feature of Ajera. Designers can make tiny reports for the entire company, or for one or two individuals. These little reports are the first things that the employee sees when they log in. Viewers of the reports are able to filter, sort, group, print or export the widget without impacting the other users. Deltek has been releasing new features that allow the editing of data in widgets. You can now create new projects or edit timesheets from the widgets.
  • Credit card importing and credit card reconciliation in Ajera has greatly decreased time spent by administration. You can import credit card transactions from your credit cards. It saves on data entry, and it is easy to see what receipts you are missing when you get the statement.
  • Mobile timesheets and expense reports help engineers or other users enter their time and expenses as they are on the go. They can take pictures or receipts or submit their timesheet from home.
  • The Project Command Center is a one stop fountain of information. Everything the project manager wants to know about a project can be found here. You can also add custom fields that allow you to tract addition information.

Cons

  • A little more customisation of the forms would be fantastic. The interface is simple and helps avoid making problems for yourself, but being able to take out some of the white space and select different fonts or show basic formatting would be a good addition. But such is Airtable I am likely to find out with the right knowledge you can.
  • Not being able to connect "Bases" together. This can be addressed by building all tables you need in to one base and remembering you can always export the data out somewhere else if you need this level of integration.
  • If you are a larger or growing organisation, Airtables flexibility and ease at replacing spreadsheets needs to be managed (or you could replace your uncontrolled Excel addiction with an Airtable one).

  • The complaint I here from our employees is often that there is a lot of Data entry. However, looking at the levels of data entry we saw when shopping for software, Ajera was one of the least.
  • Custom fields in Ajera are great. But it would be nice if there was more options for how they appear on the page.
  • About once a year there is a big update to Ajera with new features. Usually right after the update, there are a few glitches in the software. However, Deltek always releases corrections very quickly.

Sometimes, I have to wait a bit longer but I'm on a low priced option so I understand why. Generally, they're able to provide me solutions to my problems as long as I'm not in a rush.

Alternatives Considered

Excel and Microsoft 365 are good for what they do but don't fill the database niche the way that Airtable does. LiveImpact looks amazing but is currently out of our price range and better suited to medium-large nonprofits. Airtable is the perfect place to start our small org and I keep finding new capabilities in it to help us manage our infrastructure as we grow.

We have used Quickbooks and Excel in the past. Ajera is the next step for the AE Industry who needs more information from their software. We were able to move all of our Excel reports into Ajera. We do still export to Excel from time to time. Ajera is a database software. If you are familiar with databases, you understand that there are some things that are simpler to do in Excel

Return on Investment

  • Airtable has definitely had a positive impact on our organization. It's helped up organize and manage our client information, keeping it current, accurate, and accessible to everyone on our team, no matter where they are. We are able to be more efficient and client-responsive because of this.
  • It's automated some of the tasks we were performing manually - capturing data that our systems like MailChimp and SurveyMonkey house - and importing it directly into our database through the use of Zapier, thus saving us time and potential data input error.
  • My only "negative impact" comment I'll put out there is that it is just really fun to use - and because of that I've personally "lost" a lot of time spent exploring and being inspired by so many new ways to house other business data!
  • All-in-all, it is keeping us in front of our data, freeing up time and resources, and giving us a better view into running our nonprofit more efficiently and effectively.
