Airtable

As mentioned previously, I currently developing an Airtable base to track student data and other teaching resource inventory. The children create year group databases. All of which work very well. I haven't encountered any issues or unsuitability thus far.

Dialpad

Dialpad is a good solution if you only plan on using it as your desktop phone line. You also would, of course, need a solid internet connection (ethernet probably recommended) and a good headset to make use of it. If you really don't need anything but a phone while you're sitting at your desk, it's perfect. If you're looking for a flexible solution that lets you jump around from mobile phone to computer, do NOT use them. I cannot recommend them for that, even though that's very much how they market themselves. Their mobile app is just terrible and if you read a lot of the reviews, you can see it's not a new thing and it hasn't changed in a long time. I had an error for probably at least the last half year we used them where it just wouldn't make a call. No matter what I did to troubleshoot, it still happened - reviews confirmed I was not alone!

Pros

  • All the hard work of trying to build a solution in Excel is done for you. You can create links to simple mobile-friendly forms and datasheets and it builds input forms automatically that can then be easily customized.
  • The relationships across tables are robust and deal with changes to fields and tables without the need for intervention or maintenance (like a proper database).
  • Initial set up and use require a minimal set of IT skills. Coming with an array of pre-built templates and the ability to import your existing spreadsheet and customize and fine tune it from there into a database
  • They don't contact me every day trying to sell their product (probably because they don't have to).

  • Allows you to easily and reliably make phone calls, send and receive text messages, and communicate with your team
  • Apps for mobile devices, as well as desktop (MacOS and PC), including the ability to handoff between your personal devices.
  • Easy to use interface that allows you to visualize different departments and team members
  • Reporting on calls made, missed, received, and abandoned

Cons

  • It would be great to have multi-tiered selection options. So if I check a box-like, "Does this need social support?" I could then pick from a multi-select drop-down based on the choice.
  • It would be good if we could have a kanban view built off a selection from a multi-select since some projects might be part of multiple strategic initiatives.
  • It would be cool if forms could have some basic if/then functionality. As it is, we need to create different forms for different media requests that share 75% of the same data.

  • Constantly needing an update (could be seen as a pro)
  • Need a STRONG internet connection for optimal results
  • Support team isn't always quickly responsive
  • All settings found on the internet instead of in-app - makes for a lot of unnecessary clicking around

Airtable has a plethora of features that suit our needs, although there are little things that could be improved to make it perfect. I believe Airtable is actively working to improve their product so I have every confidence that Airtable is the perfect choice for our purposes.

Sometimes, I have to wait a bit longer but I'm on a low priced option so I understand why. Generally, they're able to provide me solutions to my problems as long as I'm not in a rush.

Alternatives Considered

I don't think there is a comparable product. Nothing I have seen is as intuitive to use and at the same time has such broad-reaching potential. I feel confident to onboard who have never seen Airtable only because it is so easy to use. At the same time, I feel we could spend the next year exploring the current functionality. It's probably the most exciting productivity tool I've seen in 18 months - I don't say that with hyperbole. It is going to change the game for our company and anyone else who uses it.

Dialpad is leaps and bounds ahead of where Grasshopper was last time I used them (3+ years ago). Grasshopper suffered from dropped calls and terribly choppy audio, and often had phone calls or voicemails that never came in at all. The best comparison between the two platforms is in terms of reliability - Dialpad just works where Grasshopper was always a gamble.

Return on Investment

  • Airtable has definitely had a positive impact on our organization. It's helped up organize and manage our client information, keeping it current, accurate, and accessible to everyone on our team, no matter where they are. We are able to be more efficient and client-responsive because of this.
  • It's automated some of the tasks we were performing manually - capturing data that our systems like MailChimp and SurveyMonkey house - and importing it directly into our database through the use of Zapier, thus saving us time and potential data input error.
  • My only "negative impact" comment I'll put out there is that it is just really fun to use - and because of that I've personally "lost" a lot of time spent exploring and being inspired by so many new ways to house other business data!
  • All-in-all, it is keeping us in front of our data, freeing up time and resources, and giving us a better view into running our nonprofit more efficiently and effectively.

  • The call transcription and recording help you review pieces of calls you may have unclear in your notes, a great time saver.
