Airtable

Airtable is best suited for any size company. Especially companies with many departments working on many projects. Airtable is also a great tool for regularly scheduled meetings to keep track of things discussed, documents used, and assignments. We use it to plan any event we hold for our company and our annual company retreat. It really keeps things organized and is very easy to access across any device. Outside of financial spreadsheets, this really replaces any spreadsheet software, including—and perhaps especially—cloud-based shared spreadsheets.

Dialpad

Dialpad is a good solution if you only plan on using it as your desktop phone line. You also would, of course, need a solid internet connection (ethernet probably recommended) and a good headset to make use of it. If you really don't need anything but a phone while you're sitting at your desk, it's perfect.If you're looking for a flexible solution that lets you jump around from mobile phone to computer, do NOT use them. I cannot recommend them for that, even though that's very much how they market themselves. Their mobile app is just terrible and if you read a lot of the reviews, you can see it's not a new thing and it hasn't changed in a long time. I had an error for probably at least the last half year we used them where it just wouldn't make a call. No matter what I did to troubleshoot, it still happened - reviews confirmed I was not alone!

  • The website is very well laid out. It is uncluttered, easy to navigate, and is highly visual. There are a great range of field types and add-on blocks.
  • Setting up bases is very straightforward. If you get stuck the help section and videos are excellent. You can also access Airtable Universe to see examples of how the product is used by others.
  • I have submitted a number of queries by email and in each case the staff were very helpful and responded quickly. Given that I was using a free account at the time, I was very impressed.
  • Given that I have used the product with very young children successfully, I think that it is extremely well designed.

  • They only thing I can think of is being able to switch between user accounts without having to log on and off.
  • A personal request, would be to add shades of brown to the color palette. When working with the children, we color code field options for eyes and hair. The only children I can't do this for is brunettes with brown eyes. A small thing I know, but it would really help the younger children as it is a visual clue.

  • Metrics could be improved for groups to show accurately if a call was answered vs. missed, weird bug where everyone in the group who didn't answer the call would skew the missed call stats even when the call was picked-up.
  • Call Recording can't be completely controlled by the Admin, must be managed by the user leading to compliance issues in some situations
  • Call Queue hold music option, for some reason only plays hold music if the group is already busy leaving most callers with just a ring-back tone instead of custom call music.
  • Streamlined deployment for desk-phone users, updating firmware was a manual process and poorly documented. Struggled to get common Polycom phones provisioned properly w/o high-level technical knowledge.

Almost every feature is quite easy to use and understand. The only complaint I have is with the call recording features, it should be able to be controlled by the Admin instead of just the user so it can be turned on automatically and archived centrally.

Alternatives Considered

Airtable

We do use Social Studio and Sharepoint for other tasks, but for project planning across a wide variety of deliverables, there wasn't enough flexibility all the time. Asana was harder to use and get into and didn't provide an easy way to adjust views/sorts.

Return on Investment

Airtable

  • Airtable has definitely had a positive impact on our organization. It's helped up organize and manage our client information, keeping it current, accurate, and accessible to everyone on our team, no matter where they are. We are able to be more efficient and client-responsive because of this.
  • It's automated some of the tasks we were performing manually - capturing data that our systems like MailChimp and SurveyMonkey house - and importing it directly into our database through the use of Zapier, thus saving us time and potential data input error.
  • My only "negative impact" comment I'll put out there is that it is just really fun to use - and because of that I've personally "lost" a lot of time spent exploring and being inspired by so many new ways to house other business data!
  • All-in-all, it is keeping us in front of our data, freeing up time and resources, and giving us a better view into running our nonprofit more efficiently and effectively.

  • It has made us more accessible to our customers. We can take support calls without being at our desks.
  • Ease of use. We do not spend much time maintaining the system, it just works. Therefore time can be spent on other work.
  • Dialpad's ability to send/receive SMS text messages means our users/customers can also text us instead of just calling.
