It's VERY easy to use and VERY powerful. Honestly feels like a big leap in productivity tools. Airtable just feels like magic and seems to address many of the weaknesses of other great tools all at once. I have started to use it across all of Operation Fistula's work, but also across my client's work too!

Forecast

Forecast is well suited for tracking schedules, especially if it is only being controlled by a single department. When it comes to using Forecast in a larger ecosystem with more "cooks in the kitchen" it would be helpful to have the software more easily integrated with other software.

Pros

  • Airtable is easy to use. It has an intuitive interface and plenty of video/help support for what is not.
  • It makes not only organizing your data efficient, but connects that data to everyone on your team in one centralized database. I love that multiple people can be editing the same records at the same time, and Airtable captures it all in real time!
  • Easy to link data between tables. This makes a lot of information available to users with just a few keystrokes - which makes the frustration of hunting down information a thing of the past.
  • Really appreciate being able to use Zapier to connect Airtable to several of our other systems that house data - MailChimp, SurveyMonkey, Quickbooks to name a few.
  • Being able to change the data views is one of the bigger fan favorites on our team, whether it is in Grid, Gallery, or Kanban, to grouping and sorting by Field Type. There is something for everyone's needs there.

  • Schedule visualization. Harvest makes it very easy to see how many hours of work are being assigned to each individual.
  • When used with Harvest it makes for a powerful tool for determining how much time was spent on projects in comparison to their estimates.
  • Data can easily be pulled to make future decisions on project estimates, as well as individual strengths and weaknesses.

Cons

  • I think this thing has huge potential for us to manage our photos. We take over 10,000 photos a year and Airtable has the capability of easily loading, tagging and sorting them. It even has history and you could store edited versions of each photo within each original photo's profile. However - the ability to view these photos as thumbnails of different sizes, gallery style, is very limited. So that's a big additional feature I'd like to see, some optimization to use this as a photo management system.
  • If you include numbers into a table, automagically from another table via the rollup or lookup features, then you cannot use those numbers as part of a formula in a subsequent field. This turned out to be a major limiting factor on my using it as a budget manager. (Luckily I came up with a workaround but it makes me add additional columns to the table that add a bit of otherwise unnecessary clutter.)

  • Not as intuitive as its companion software, Harvest. This software takes longer to learn when on-boarding new staff. It is also difficult to view time notes without needing to physically open them up. This could be improved by expanding the "on hover" functionality. Personally, having spent as little time in workflow software is really important, as it gives me more time to code.
  • Because we use this software to plan schedules, items often fall through the cracks. I would like to see some more sophisticated syncing with not only Harvest but also with Asana.
  • Lack of integration with Asana. It would be nice to pull data from forecast and display it in Asana. This would be helpful for understanding how much time I have to spend on a project rather than bounce back and forth between web apps.

Airtable has a plethora of features that suit our needs, although there are little things that could be improved to make it perfect. I believe Airtable is actively working to improve their product so I have every confidence that Airtable is the perfect choice for our purposes.

Sometimes, I have to wait a bit longer but I'm on a low priced option so I understand why. Generally, they're able to provide me solutions to my problems as long as I'm not in a rush.

Alternatives Considered

I have mostly set up and helped architect custom database solutions in a proprietary software, as compares directly to Airtable. I have set up and used JIRA Software extensively, and several Marketing Automation systems, and set up Oncontact CRM, and used DAM systems, and Basecamp project management. All in all setting up databases and introducing them to organizations is one of my primary skills and I have several years experience doing this within an organization and as a consultant for other organizations. This is why I love Airtable so much - I have never seen something so lightweight, so inexpensive, and so powerful. Pound for pound it whips any system I have ever used. When I think back to all the custom database solutions I've implemented, and other processes I've managed and consulted on within organizations, I can't help but wonder how many of them would have vastly better off with a simple Airtable implementation.

I have not used any other scheduling software other than Forecast. The company selected Forecast because it is used in conjunction with Harvest. The pair of web apps can be used to pull detailed data. This is very important to our agency, and making data-driven decisions is exceptionally important to our agency mission.

  • Airtable has helped us totally automate our complimentary pass system, saving printing costs and staff time.
  • Airtable has helped us to prototype systems and have them go live in minutes or hours.

  • Forecast does not integrate with other software in our workflow, and it makes it an entire extra step when it doesn't necessarily need to be. This takes extra time away from my actual job.
  • Forecast is powerful when used with Harvest, and allows for powerful data-driven decisions in hiring and project estimates. The more informed we are when making decisions and scoping, the more profitable the company can be.
  • It takes some time to onboard new Employees which can take time away from a profitability or other training.
