Airtable

I think Airtable is ideal for any medium-sized organization to manage contacts and organizations (like a CRM function), content marketing efforts, advertising and PR schedules, events, and perhaps marketing assets (still testing this on our end). I would be interested to see how it would perform managing a medium-sized product database, say a thousand products. I suspect it could do a pretty good job, however I can't speak to it's ability to connect to external systems like to feed a website. My first plan for managing my organization's needs was to install Salesforce as we can get the software for free as a non-profit. After using Airtable, I would encourage anyone to try Airtable first before trying something more complex. Two reasons: A) it's free to try and there is very little setup required before you start getting real use out of it; and B) even if you don't ultimately use it as your main system it is an ideal tool for designing what your data schema is going to look like. But I think many people will be pleasantly surprised to find that they don't need to graduate to a "bigger" system. I suppose where Airtable may not be appropriate would be with a huge organization with tens to hundreds of people managing the data. You would then want something where you can lock down and control more of the inputs on a user group level.

Pros

  • One thing Airtable's power comes from is the fact that you can relate databases to each other. So you can have one table for your organizations that you work with, and another separate table for the contacts within those organizations, and then tie them together individually. After doing so it is very easy to jump between the contacts and their organizations profiles, and switch as contact to a different organization instantly. Very powerful when you have multiple contacts within single organizations, or any type of multiple data points that are linked to the same record.
  • Another thing that makes Airtable powerful is the views. You can filter, sort, and group a big table to show only the things you want to see at a particular time - but then save that view, and many other views, for later use. That way you can switch between different views of the same data on a continual basis, easily and quickly. Or different people can have different filters and sorts and different columns showing on the same table without interfering with each other.

Cons

  • I think this thing has huge potential for us to manage our photos. We take over 10,000 photos a year and Airtable has the capability of easily loading, tagging and sorting them. It even has history and you could store edited versions of each photo within each original photo's profile. However - the ability to view these photos as thumbnails of different sizes, gallery style, is very limited. So that's a big additional feature I'd like to see, some optimization to use this as a photo management system.
  • If you include numbers into a table, automagically from another table via the rollup or lookup features, then you cannot use those numbers as part of a formula in a subsequent field. This turned out to be a major limiting factor on my using it as a budget manager. (Luckily I came up with a workaround but it makes me add additional columns to the table that add a bit of otherwise unnecessary clutter.)

With all the new features in HubSpot, the system can get a tad slow sometimes... That said, most of the time it is lightning fast and I have no problems. Because most of the integrations are API, they silently work in the background. I have not had trouble with lag due to HubSpot integration

I had a pretty serious programming issue in my onboarding period. I called and got to someone within 10 minutes. Their hold music was not elevator music, it was Andy Grammer's latest hits which made it seem like less time. They took note of the issue, tried what they knew, and then said they would work on the issue and be in touch soon. The issue was resolved within a day! And they were so pleasant to work with

I did the 2-day classroom at HubSpot's corporate office in Cambridge. First off, it was amazing to see their corporate office in general. They have such a cool office environment. But it was also great to have the ability to learn in a workshop format with other HubSpot users and meet my Account Manager/ Inbound Marketing Consultant in person.

I started the HubSpot Academy and I did the online classes to get inbound certified long before purchasing the platform. The format is pretty simple: watch videos, do some workshopping, and then take a test to become certified. The classes are very informative and generally do not take too long to complete. Also, part of your implementation fee includes an Inbound Marketing Consultant who helps set up your first campaigns.

Make use of the Inbound Marketing Consultant. This person is going to help you learn the tools and get your first campaigns/blog posts set up, and they are very valuable — especially in the beginning. Also, consider the on-site training in Cambridge, MA. Not only do you get to see the HubSpot Corporate office, but you also get a classroom-style training with the Academy team. It is well worth the investment.

Alternatives Considered

I don't intend to replace Basecamp with Airtable, rather enhance my use of it, limit it to what it does best, which isn't ongoing tracking of data.Not wanting to build this in something like Access, which I've used previously, I did a search for services like Airtable that would help me build a relational database online and compared them. I selected Airtable as my first choice to test, and haven't gone further. It works well. So, I can't give comparison information here. I would say start here.

Whilst Marketo is reasonable we didn't find it gave us the flexibility required in terms of defining our own marketing automation workflows. This is even more crucial when tailoring the product to a client as they often have wildly different requirements.

While HubSpot initially, seven years ago, seemed built for SMBs it appears they have scaled their solution for larger enterprises. I do not have experience sending out 10 million-plus emails per month so I don't know how HubSpot would handle that. However, I do know that some other marketing automation platforms have had trouble with such scale. As such, I suggest HubSpot have one of it's enterprise customers share data on the length of time it takes to send out 1 million emails. Are we talking minutes, hours or days? Then decide what's right for you based on your business needs.

  • Productivity is an easy place to start with ROI. The quickest and easiest way for us to see our ROI with Airtable is the ability to handle large processes and task very quickly and easily, and in many cases with automation. We have specifically seen this within our hiring and application process, where an applicant fills out the form on our website, and after submission, it lands in Airtable where it gets worked through the process.
  • Still on productivity, we have seen great impact on management the project plan for the launch of our founding school in Philadelphia. We have been utilizing Airtable to task plan each step of the process for launching the school from vision to building.
  • There has been a bit of negative impact due to limitations of the tool. Specifically the task planning an inability to nest task within the project. We have also had a few issues with the lack of the ability to link records between bases, which would help centralize data better.
