Airtable

As mentioned previously, I currently developing an Airtable base to track student data and other teaching resource inventory. The children create year group databases. All of which work very well. I haven't encountered any issues or unsuitability thus far.

Huddle

If you must simultaneously edit documents on a project, Huddle is not a good option. Also, if your team is not technically savvy, the learning curve can be challenging. Finally, if you need hundreds or thousands of people working on a project, Huddle might not be the right choice. I think it is better for teams under 100 people.

Pros

  • All the hard work of trying to build a solution in Excel is done for you. You can create links to simple mobile-friendly forms and datasheets and it builds input forms automatically that can then be easily customized.
  • The relationships across tables are robust and deal with changes to fields and tables without the need for intervention or maintenance (like a proper database).
  • Initial set up and use require a minimal set of IT skills. Coming with an array of pre-built templates and the ability to import your existing spreadsheet and customize and fine tune it from there into a database
  • They don't contact me every day trying to sell their product (probably because they don't have to).

  • Huddle allows users to use the native document file types. For example, Word files are still in a Word, not a "Huddle" file version.
  • Huddle workspaces are invitation-only. If someone should not be in the workspace, they will not be invited and provided access to the documents. Or, they can be removed from the workspace if needed.
  • Communication about documents is located with the documents in a discussion thread under the document preview. Thus, email inbox clutter can be limited.

Cons

  • It would be great to have multi-tiered selection options. So if I check a box-like, "Does this need social support?" I could then pick from a multi-select drop-down based on the choice.
  • It would be good if we could have a kanban view built off a selection from a multi-select since some projects might be part of multiple strategic initiatives.
  • It would be cool if forms could have some basic if/then functionality. As it is, we need to create different forms for different media requests that share 75% of the same data.

  • The approval feature could use an automated workflow/process option. It could allow approvals to be automatically sent from one reviewer to the next in a sequence.
  • It would be great if Google Docs could be uploaded into Huddle. The version I use does not allow for this capability.
  • A feature to allow simultaneous editing would be useful. Locking files should be a feature that is retained, but the users should have the ability to choose which one they want to use.

Airtable has a plethora of features that suit our needs, although there are little things that could be improved to make it perfect. I believe Airtable is actively working to improve their product so I have every confidence that Airtable is the perfect choice for our purposes.

Sometimes, I have to wait a bit longer but I'm on a low priced option so I understand why. Generally, they're able to provide me solutions to my problems as long as I'm not in a rush.

Alternatives Considered

We do use Social Studio and Sharepoint for other tasks, but for project planning across a wide variety of deliverables, there wasn't enough flexibility all the time. Asana was harder to use and get into and didn't provide an easy way to adjust views/sorts.

Huddle is quite different from Tibbr. They serve different purposes for the most part. However, they both allow colleagues to improve their communication with one another, minimize email inbox clutter, and improve processes. We use both of these in our organization. Huddle has allowed us to store documents, share communication and generally work in the cloud.

Return on Investment

  • If not for Airtable I would have had to pursue a CRM system and an asset management system, plus some sort of task management system for multiple employees, and manage my budget in Excel which is a pain when it gets complex. Airtable lets me put all this in one system, light weight, extremely powerful, and extremely efficient. Exactly what we needed. I am so happy this system exists.
  • Airtable is free and you can get quite a bit in there and use it for a while before deciding to go to the paid version. Therefore the proof of concept was quite easy to bring it into our organization. We've been using it for a few months and it's made everyone's lives easier, so moving now to the paid version is a no-brainer. I didn't have to ask everyone to take a big leap of faith in the beginning and there was no big up front resource investment either, at least relative to setting up any other software or even complex Excel workbooks.
  • Several people in our organization have commented that this system has made their lives far easier, because we can now keep track of our tasks and our events. Our key people are both saner and more efficient.
  • The paid version of Airtable is DIRT CHEAP in comparison to the systems it stands in for. I cannot emphasize this enough.

  • People across the world are able to collaborate on projects more effectively.
  • Approvals are streamlined, making the process of doing business quicker.
  • Training employees throughout the organization on the Huddle features was challenging for our large organization.
