As mentioned previously, I currently developing an Airtable base to track student data and other teaching resource inventory. The children create year group databases. All of which work very well. I haven't encountered any issues or unsuitability thus far.

I would recommend MS SharePoint to individuals who wish to collaborate on documents, save old/previous versions of their documents, assign tasks, maintain a progress log and share with their teams, assign edit rights to others, so they can modify your documents, build workflows, create collaborative websites, and all online.

Pros

  • It's very easy to use. I was able to start from scratch and get a pretty complex workflow set up in just a couple hours.
  • The ability to create one "master table" with every piece of possible information is good for the "deep dive" members of the team, but then it's easy to create views and calendars based on just a few pieces of data that are better for one specific use or person.
  • Being able to store draft content on the system as attachments means that the review copy/image can be included in the workflow rather than as a separate email or in another tracking system.
  • The ability to quickly group, sort and filter on the master table make it easy for the power-users to work with the full set of information, but still find a specific project quickly.

  • Sharing and collaborating documents with the ability to lock documents upon final revision.
  • Implementing workflows for specific documents and teams is a plus, this allows certain approval process during a copy edit to run smoothly.
  • Project-related sites are quick and easy to deploy templates for fast moving teams or temporary teams.

Cons

  • I can see where being able to connect several bases together within one workspace would be beneficial. Currently, we've created a lot of tables within one CRM base, and in doing so has made it a bit overwhelming (visually) for some of our users. Limits flexibility a bit.
  • The app for the iPhone is solid. The Android app needs some work/an update.
  • The formula functionality between cells is a bit limited (not the depth of say, MSExcel) and not intuitive for all of our user base.
  • The ability to create charts through the "Blocks" options is a great idea, but very limited in it's initial debut. Looking for more features (pie charts, series labels, dual axes, etc.) to be able to create more dynamic charts in the future.
  • I've gotten a browser warning or two about Airtable being "resource heavy." Time will tell if that becomes an issue.

  • Sharing with others outside SharePoint. It is almost impossible to collaborate with others outside the organization
  • The tools to create "website" like experience are very outdated or hard to use. It should be easier to create for non-technical users
  • There is no seamless integration with other tools like chats or skype for business.
  • It feels like a disconnected tool from others. I have seen some improvements over the years but it still feels like it is on its own
  • There are not enough tools to create an actual community type of environment

The only drawback is the price, it's quite costly to buy and requires Microsoft professionals to run at its peak capabilities. It works very well with large quantities of employees, has powerful search capabilities and a huge community. However it might not be a good fit for smaller companies who don't handle a large number of documents and employees and who don't exert high security requirements.

A lot of users can give you many great ideas how to cleverly use SharePoint's core functionality to implement almost any process you need. It is very sturdy, never crashes. Many applications and third party solutions are built for SharePoint so even customization without Microsoft programming skills is rather easy and low cost.

Support varies by tech and by vendor. I've used Microsoft's support channel and for the most part have been successful to get my questions answered. I've also used third party vendors and have gotten some answers resolved as well, though sometimes getting them on the phone is difficult. It all depends!

Alternatives Considered

This tool has 100x the functionality/usability of Excel or Google Sheets, is much more flexible and user-friendly than Salesforce if you don't have the technical know-how on your team to customize (Salesforce does have far more advanced and intelligent CRM capabilities).

The institution tried a couple other solutions such as Alfresco, Box.com, and even Facebook for business. I believe only Alfresco was the closets to replicate most of the MS Sharepoint functionality. What it comes down to, is the requirements. For example, if you are looking for a community type of site, then something like Facebook for business is the best solution. For our institution, it came down to easy integration with other Microsoft solutions and this was the major reason to use SharePoint.

It is extremely simple to share, within our department and even with other departments, things we have been working on. Formatting is not an issue when we are sharing and that is a big life saver.

  • We are still in the early stages, but AirTable has allowed our small team of five to coordinate almost twice as many rentals of our gallery space for private events, thus providing out nonprofit with increased income that can be reinvested into improvements to our gallery and new programming.

  • In the past Capital Budget was a slow process that required lots of emails going back and forth. With the creation of the Operating Plan Portal, managers can submit their capital requests in a fast and efficient way for high management to approve/reject.
  • With the creation of our Business Intelligence portal management can look at the Scorecard & KPIs and make fast educated decisions as to which departments/indicators needs improvement.
  • In the past all of our files that require collaboration were stored on shared drives. With SharePoint that is no longer the case, each department have their own portal where they can share and controll access to the files themselves.
