We haven't being using Airtable for long, so where it is best-suited for us may yet to be seen, although we are thrilled with what we have been able to do in building a CRM in such a small amount of time. I can see us quickly starting to think about a donor management base next. It appears to have a LOT of flexibility with what you can do with your data - your resources (time/$/staff) to do so may be your only limit.

Pros

  • Airtable is easy to use. It has an intuitive interface and plenty of video/help support for what is not.
  • It makes not only organizing your data efficient, but connects that data to everyone on your team in one centralized database. I love that multiple people can be editing the same records at the same time, and Airtable captures it all in real time!
  • Easy to link data between tables. This makes a lot of information available to users with just a few keystrokes - which makes the frustration of hunting down information a thing of the past.
  • Really appreciate being able to use Zapier to connect Airtable to several of our other systems that house data - MailChimp, SurveyMonkey, Quickbooks to name a few.
  • Being able to change the data views is one of the bigger fan favorites on our team, whether it is in Grid, Gallery, or Kanban, to grouping and sorting by Field Type. There is something for everyone's needs there.

Cons

  • I can see where being able to connect several bases together within one workspace would be beneficial. Currently, we've created a lot of tables within one CRM base, and in doing so has made it a bit overwhelming (visually) for some of our users. Limits flexibility a bit.
  • The app for the iPhone is solid. The Android app needs some work/an update.
  • The formula functionality between cells is a bit limited (not the depth of say, MSExcel) and not intuitive for all of our user base.
  • The ability to create charts through the "Blocks" options is a great idea, but very limited in it's initial debut. Looking for more features (pie charts, series labels, dual axes, etc.) to be able to create more dynamic charts in the future.
  • I've gotten a browser warning or two about Airtable being "resource heavy." Time will tell if that becomes an issue.

  • The expense user interface and entry is not simple to use.
  • I would like to see all entries needed by a user if multiple licensing features are purchased to be available at one screen. For example, if you have time and expense licenses in Tenrox, then the user can make entries for both features on the same screen.
  • Ability to report on time and expense on the same reports without having to pay Tenrox for a custom report. You can only report on time or on expense. To get the information on one combined report, you have to have a custom report created.

I feel like if the user interface could combine time and expense for users to be entered on one screen rather than two completely separate locations it would greatly improve usability. If the expense entry process could be improved completely, it would greatly improve the usability as well. Everything else within Tenrox, makes everything very user friendly.

Sometimes, I have to wait a bit longer but I'm on a low priced option so I understand why. Generally, they're able to provide me solutions to my problems as long as I'm not in a rush.

The support team is always very helpful and strives to ensure they have met your needs and corrected your issues in a timely manner. If they need more information or cannot recreate the issue themselves, then they will follow-up to gather the necessary data themselves. They are constantly striving to meet the needs of all users and understand so many different industries and types of environments out there, it is very impressive.

The main thing with implementation is to make sure you have taken full advantage of the "sandbox testing" site that Tenrox provides to you during development. Try out every scenario you can think of, have other people enter information if needed, so that you can make sure you have not missed any big items. If you have the opportunity, roll out implementation to small groups of users. Depending on how your company is set up, I would choose groups that are not all in the same department so that you can address questions across all areas before adding in more users in the next wave of implementation.

Alternatives Considered

I don't intend to replace Basecamp with Airtable, rather enhance my use of it, limit it to what it does best, which isn't ongoing tracking of data.Not wanting to build this in something like Access, which I've used previously, I did a search for services like Airtable that would help me build a relational database online and compared them. I selected Airtable as my first choice to test, and haven't gone further. It works well. So, I can't give comparison information here. I would say start here.

Tenrox as a system is one of my favorites, if not my favorite. I really like the system-structure and its capabilities. Previously, the only negative mark I gave Tenrox was customer service and as stated that has shown great improvement in the past months. Conversely, our other primary system (Advantage) has always provided us with excellent customer service as one of their strongest points, which made it even more frustrating to have those issues with Tenrox support. I did not select Tenrox myself, but if I were shopping around now, I would be very very likely to decide on Tenrox. I would recommend it, so long as the system fits the needs of your business and staff

  • Tenrox enabled our company to continue to grow at an extremely high rate of speed and keep up with the payroll and invoicing needs that were changing along the way. We were in a manual system for processing previously with about 75 employees total and more than doubled in 6 months which made our process very difficult.
  • Tenrox provided reporting to track charges that were not being billed that could be, allowed us to change the way employees entered billable and non-billable time, improved efficiency of administrative team and project managers.
  • Tenrox allows us to provide detailed work reports for our clients to show description of services provided by running a single report over a given amount of time without having to keep hand written files that provided the same information previously.
