I'd say if you're looking to consolidate project details across a number of functions where there's a lot of overlap, Airtable is a great choice. We've got a relatively small team of content creators and project managers, but we are often involved in a wide variety of media, content types and deliverables. So it helps to be able to put every activity on one master spreadsheet, but then be able to pull out views that pull out only select pieces of info for specific projects or strategies. The ability to search across fields means you can also use hashtags for folks who want to be able to locate their work using person-specific queues that don't need to be agreed-upon as part of the overall design of the table. I wouldn't recommend it if you're looking for a content repository specifically or a DAM. It could do that in a very limited sense, but not if you're wanting to store large graphic or video assets. Also, as far as I can tell, you can't publish directly to social accounts from Airtable. So you'll still need to port your content directly to your social accounts or a platform manager like Social Studio.

Unanet is particularly well suited to the government contracting space. It could better support businesses that build products even if it meant integrating with a third party product.

Pros

  • The ease of the relational database capabilities are key for keeping tracking of how our contacts, partners, donors, and event attendees are all related.
  • The map block feature is great for when we're on the road visiting partners.
  • The custom views are extremely helpful for viewing the most important information quickly.
  • As a nonprofit, the reduced prices are also greatly appreciated so we can put more funds towards the youth we serve rather than into infrastructure.
  • Of HUGE importance is the care and feeding I've received from customer support. I ask a question and get a response within 24 hours and the response is personalized and makes sense. The conversation with a single representative is such a relief and makes it so much easier for me to be productive.
  • I suspect that the technology integrations with other apps, using Zapier or otherwise, will become more and more important to us - we're working on getting PayPal payment completions to populate our event attendee lists right now!

  • Near real-time visibility into project financials. As soon as the employees save their time for the day, you can get a good measure of project financial performance. Work authorizations are embedded into Unanet so unintentional overruns are virtually eliminated.
  • Nice integration with the Joint Travel Regulations. It is easy to import the latest rate tables for both CONUS and OCONUS destinations.
  • Good customer support and highly responsive. Webinars on new features are free and broadcast on a regular basis. Feedback to suggestions for new features are addressed in a very timely fashion.
  • It is easy to structure Unanet to support DCAA practices to be able to get approval for cost plus jobs.
  • With exports to .csv files, it is easy to extract data for further analysis beyond the relatively rich built-in reporting features.

Cons

  • The trial period should be a bit longer. I wanted to test it before I rolled it out to my team. Just after I felt comfortable and started to share, the trial period ended.
  • Shorter videos. I think there are great resources available and I really think that is a strength, but if I had to suggest something, it would be to make more short videos to give technical how-tos.

  • We have timesheets set up on a monthly basis. Staff may work on anywhere from a few to 20 or more different projects in a month. The timesheet does not allow you to freeze columns or rows, so as the sheet takes up more than the screen it can be confusing to stay on the correct line.
  • The approval process for time and expenses is challenging. Any change initiated by one project manager requires every project manager associated with the timesheet to have to re-approve. This waste a lot of time my very busy leadership team could use elsewhere.
  • As long as timesheets are entered correctly, i.e. staff are selecting the exact right project to record their time, information flows to the customer billing process easily. If they don't changes are time consuming and cumbersome to make.
  • There were a lot of things we found out the hard way that I thought the implementation team could have warned us about. For example, we gave all our projects a 10-digit code. The number of digits was great. The fact that some of the codes then start with "0" is. When you export from Unanet you get a CSV file. CSV files drop the leading "0" from the worksheet. So if you make a change to a large group of projects that should be easy, you have to correct all those project codes by adding the "0" back or Unanet can't match it up. When I'm dealing with hundreds of lines on a worksheet that is a problem. The implementation team should have warned me about that.

Sometimes, I have to wait a bit longer but I'm on a low priced option so I understand why. Generally, they're able to provide me solutions to my problems as long as I'm not in a rush.

Alternatives Considered

Airtable is much more user-friendly and easy to navigate and update than Confluence. We still use Confluence as a wiki, but Airtable is used for all our day to day management.

I evaluated several options and narrowed my search to Unanet, Big Time, Journyx, and Harvest. I had a demonstration by all but three (one did not offfer a demonstration that fit my needs) and I made a comparison worksheet of the features, costs, implementation time, support, integration with our existing finance software, and portability. We then made a final decision by committee that Unanet was the best fit for our needs and expectations

Return on Investment

  • Airtable has helped us totally automate our complimentary pass system, saving printing costs and staff time.
  • Airtable has helped us to prototype systems and have them go live in minutes or hours.

  • It's probably too early to fairly answer this question. Exporting and Importing billing information has reduced the time spent in creating customer invoices. Which presumably leads to shorter collection time. This frees up more time during the accounting cycle for other activities. I'm hoping that as we further use Unanet's capabilities we will see a marked improvement in the billing process.
  • Once staff got comfortable with Unanet, there was an increase in job satisfaction. Staff reported the system was easy to learn and use. Staff use it to submit request PTO so the one-stop-shop works for them.
  • We're still working on reports, but this was one of the features we liked about Unanet when we made the decision to purchase it. I'm excited about real time reporting capabilities in Unanet. It will allow project managers to more effectively assign and track resources applied to individual projects, practice leaders to measure profitability by person, product line, customer, or any manner of criteria, and assist the executive team in making fully informed business decisions.
