It's VERY easy to use and VERY powerful. Honestly feels like a big leap in productivity tools. Airtable just feels like magic and seems to address many of the weaknesses of other great tools all at once. I have started to use it across all of Operation Fistula's work, but also across my client's work too!

Unanet

As I said, Unanet is great for timekeeping and expense reporting. It's very easy to navigate and intuitive for my staff to use. On the other hand, reports are a challenge. The ones that are "canned" only come out as PDFs so I find I waste a lot of paper each month. Customized reports are better and come in Excel, but setting them up is not that easy. We've been working with Unanet just over a year. We went "live" effective 1/1/2017 and we're still avoiding the reporting functions even though that was one of the main reasons we purchased Unanet in the first place

Pros

  • One thing Airtable's power comes from is the fact that you can relate databases to each other. So you can have one table for your organizations that you work with, and another separate table for the contacts within those organizations, and then tie them together individually. After doing so it is very easy to jump between the contacts and their organizations profiles, and switch as contact to a different organization instantly. Very powerful when you have multiple contacts within single organizations, or any type of multiple data points that are linked to the same record.
  • Another thing that makes Airtable powerful is the views. You can filter, sort, and group a big table to show only the things you want to see at a particular time - but then save that view, and many other views, for later use. That way you can switch between different views of the same data on a continual basis, easily and quickly. Or different people can have different filters and sorts and different columns showing on the same table without interfering with each other.

  • The time keeping component works well. It gives a level of confidentiality we did not have in our previous home grown system.
  • We are able to set up projects based on a number of criteria, allowing us to differentiate for reporting purposes.
  • We can easily import billing information into our Financial system from Unanet, when previously we would manually enter this information.

Cons

  • I think this thing has huge potential for us to manage our photos. We take over 10,000 photos a year and Airtable has the capability of easily loading, tagging and sorting them. It even has history and you could store edited versions of each photo within each original photo's profile. However - the ability to view these photos as thumbnails of different sizes, gallery style, is very limited. So that's a big additional feature I'd like to see, some optimization to use this as a photo management system.
  • If you include numbers into a table, automagically from another table via the rollup or lookup features, then you cannot use those numbers as part of a formula in a subsequent field. This turned out to be a major limiting factor on my using it as a budget manager. (Luckily I came up with a workaround but it makes me add additional columns to the table that add a bit of otherwise unnecessary clutter.)

Sometimes, I have to wait a bit longer but I'm on a low priced option so I understand why. Generally, they're able to provide me solutions to my problems as long as I'm not in a rush.

Alternatives Considered

I don't currently have experience with other platforms that are related to AirTable, other than, perhaps, Excel. AirTable has, by far, much more adaptability and the ability to customize "smart" spreadsheets for our needs.

Unanet achieves all of our project based time management in one platform extremely well, which is what the goal was from the start. The previous platforms I have managed needed additional modules and significant resources to achieve the same result as Unanet

  • Airtable has allowed us to streamline and automate almost all of our repeatable processes, saving loads of team time.
  • Airtable has allowed us to document and store critical information on our network, then share select pieces of this information with an external audience via a shareable view link, meaning less back and forth emails to keep stakeholders updated.
  • Airtable has allowed us to embed our application form on our website and have all applicant data feed directly into our database for scoring and program planning,

  • While we acquired professional services initially to integrate with Quickbooks and then to switch to Financials, the costs were reasonable and the consultants were extremely knowledgeable and helpful. We were able to maintain DCAA compliance under both configuations.
  • Timely project financials make it easy to manage potential cost overruns.
  • We are still hoping to be able to support production jobs and are looking forward to the next Champions Conference to see what others have done to address that market as well as what potential future enhancements with Unanet will allow us to address this market.
