Alfresco Content Services

If you have regulatory or business needs that require saving email into Alfresco and you are using Outlook for Mac, you may need to perform significant customization to make it work. Additionally, if you will have users that will be members to a large numbers of sites over time, you need to thoroughly explore what functionality will be degraded or lost and how to mitigate the impact. Other than these two scenarios, I cannot think of any scenarios where Alfresco would not be well suited to an organization's needs.

ECM XD

ECM -XD is great when you are linking documents of different types and from different sources into a single centralized location. There is no limit to the amount of information that can be retained for a specific complaint, investigation, etc. so situations where documents obtained at different times and from different personnel need to be linked to a single file are ideal.ECM -XD is less ideal for situations in which individual file information is simple with low density, or requiring a high level of customization. The user interface is likely more intuitive for novice users through other software options

Pros

Alfresco Content Services

  • Integration with other applications, namely Drupal and Moodle, was simple and works beautifully.

ECM XD

  • Great cloud integration of information. Saves a lot of space on network drives and eliminates need for local storage of critical documents.
  • Very good comprehensive repository of information. Documents of different format and file extensions are allowed for upload and easy to access.

Cons

Alfresco Content Services

  • Alfresco Process Services and Alfresco Application Development Framework integration makes for best functionality/application of ECM.
  • Use case alignment - Marketing content and documentation of specific business requirements and user stories being available as reference material/documentation.
  • Integration with multiple silos for content.

ECM XD

  • Customization could be made easier. Often times we instead have blank unused information fields for individual complaint files.
  • Record display layout could be optimized. While very comprehensive, it could be difficult to find specific information.
  • Mobile compatibility. I haven't seen any support for mobile compatibility. ECM -XD is typically only accessed on laptop and desktop machines in our organization.

As per the current market and the line of products that are available for content and document management system, Alfresco is a very good option compared to other systems in terms of features and cost. Plus the community support is great. Also since the product is open source, it can be extended or understood in a better way.

Alfresco Content Services' UI has never been its strength from the beginning. Therefore, rating it from a usability standpoint, I will not rank it high. However, Alfresco Content Services can easily be integrated with any application and leveraged as a backend CMS or DM system. With the new Angular-based UI approach, it's very much possible to create custom UI on top of it as required.

I am not big fan of Alfresco Content Services' support; it works on its own speed and sometimes it becomes challenging to achieve business needs. However, I appreciate regular delivery of security patches and updates

Customer support for ECM -XD has been very responsive and quick to resolve issues and answer inquiries. Help contact links aren't very visible within the platform, and mobile or tablet support doesn't look to be documented. Overall, support is great from a functional perspective but could be easier to find and use with improvements in layout and interface design.

Process was relatively smooth and overall, downtime minimal. MSI was very responsive to our needs and made the transition easier than it otherwise might have been.

Alternatives Considered

Alfresco Content Services

All software has some pros and some cons. Alfresco has some good pluses, and suits our environment very well. It fit perfectly in the place that we are working on. That is why we decided to go with this software. Overall, the kind of content management that needs to be done in an organization is what would determine which software to use.

Return on Investment

Alfresco Content Services

  • Instant document lookup - No paper files to mail which saves in all areas of postage, truck delivery, physical storage warehouse space, printing, etc
  • No longer losing important documents - Previously with paper files things would go missing and those could be costly reports/assessments.
  • Ability to secure documents and provide access to only those who should be allowed to see that content

ECM XD

  • Large annual cost savings ($500K+) in hardware and storage space of complaint-related documentation by moving to cloud platform.
  • Significant time savings in information retrieval and audit preparation by centralizing information for multiple users to single repository.
  • Easier GMP, ISO, and FDA regulation compliance through comprehensive linkage of documentation and customer feedback timeline.
