Alfresco Content Services
If you have regulatory or business needs that require saving email into Alfresco and you are using Outlook for Mac, you may need to perform significant customization to make it work. Additionally, if you will have users that will be members to a large numbers of sites over time, you need to thoroughly explore what functionality will be degraded or lost and how to mitigate the impact. Other than these two scenarios, I cannot think of any scenarios where Alfresco would not be well suited to an organization's needs.

Workshare Compare is well suited for professionals who review multiple versions of a document multiple times per day (or even per week). I would suggest that this is most lawyers. It is maybe less well suited if you only need to run comparisons once in a while. Word has a comparison feature built in which is so-so. I just find the Word comparisons harder to read. But if I was only running comparisons once a week on short documents then the Word version is probably fine, and Word is software that most people have anyways.

- Workshare 9 is easy to set up program that removes metadata from all word documents and all emails sent via Outlook It is a simple Add-in that is linked to one's Microsoft Outlook Program. Provides excellent security that all Metadata is removed and never available to the recipient.
- Workshare 9's document comparison program is world class in terms of speed and accuracy, creating an easily red comparison documenmt that highlights deletions from, additions to and items relocated within the document.
- It is easy to adjust the level of security that you want in your documents and in your email program
- It allows you to directly place a document in a new email.
- It allows you to convert a Word document to a PDF document (creating an Adobe PDF or if you elect a Workshare PDF

- While Workshare Compare does let you compare PDFs and does feature some optical character recognition software, this feature only works with relatively straightforward PDFs (that are either already text readable or are very short). For longer scans, you need to first use Adobe Pro to convert those scans to Word documents, and then compare the converted Word documents. It would be nice if Workshare had a more powerful engine for comparing PDFs that allowed you to skip this intermediate step.

Plus the community support is great. Also since the product is open source, it can be extended or understood in a better way.

Alfresco Content Services' UI has never been its strength from the beginning. Therefore, rating it from a usability standpoint, I will not rank it high. However, Alfresco Content Services can easily be integrated with any application and leveraged as a backend CMS or DM system. With the new Angular-based UI approach, it's very much possible to create custom UI on top of it as required.

They have done a good job of now overloading Workshare Compare with extra features it doesn't need. This does a couple of things:
- It means the interface doesn't have too many menus or too many buttons to click. Everything is straightforward and easy to use.
- It keeps the software fast.
- It makes it easy on the user to decide when you do and do not need to use this software.

I gave Workshare Compare such a high rating because I don't think I could do my job without it. It has just become so integral to my workflow, that if I were to ever change jobs I think I would have to insist my new employer to me a license. It is fast and just works 99% of the time. It is very rare that it gives me errors, and when it does it's likely because the underlying document is corrupted, not because of any issues with Workshare Compare.

All software has some pros and some cons. Alfresco has some good pluses, and suits our environment very well. It fit perfectly in the place that we are working on. That is why we decided to go with this software. Overall, the kind of content management that needs to be done in an organization is what would determine which software to use.

Workshare's predecessor program only handled document comparisons and did not remove meta data from documents. Workshare 9has take comparisons to the next level and its meta data removal provides a very necessary level of security that is a must in the legal industry.
