It is well suited for document management system enterprise wide. Key questions to be asked during selection are - 1) Do you have a good in house IT team to extend the product if required and to check its implementation code so that maximum advantage can be taken from the product? 2) Are willing to spend less on a content management system

DocStar

For a smaller department, such as ours, docStar was efficient in the way we used it. When docStar went down, we were not heavily reliant on the database, which made it easier for us if we did not get the documents we wanted in a timely manner. For a bigger company and a bigger department, I would assume that docStar would create more problems. With the inaccurate search results, it would make it much more difficult to go to a folder on an individual basis, trying to find these specific documents

Pros

  • First of all, Alfresco is newly developed compared to old content management systems, so it has adopted some of the best practices and it has avoided the problems faced by earlier systems.
  • Alfresco is open source so it is very easy to find problems if any and to extend it. The cost of licensing Alfresco is very less compared to other systems.
  • Alfresco does very well in performance, design, API design and has lot of great features such as auto PDF conversion, auto compression, etc.
  • The customer support and community support is very good.

  • Templates - By being able to create templates for each document type, it made organizing files much easier. It also made the titles similar in format, which also allows for better organization.
  • We were able to scan documents directly into docStar, which helped us eliminate extra steps. For example, if we were missing a page from a document, and we received it at a later time, we could scan just that page into docStar as opposed to scanning the entire document again.
  • The functionalities are straight forward, so it is not hard to use the docStar system.

Cons

  • Some more APIs can be added although the existing APIs very well provide the required features.
  • Their other tools such as collaboration, etc need to be marketed well so that companies adopt Alfresco as a whole package.
  • Alfresco needs to be on the lookout for immediately introducing any new functions provided by other competitive products.

  • There are constantly errors that make it difficult to understand the problems. It made our department work with the IT support desk on a consistent basis to get docStar to work.
  • When creating templates, it is better to have more settings to limit the entry of the person scanning the document. For example, I had a hard time, when trying to limit people to two letters and five numbers. More functionalities on the back end would be great.
  • The search functionality is sometimes not accurate. We would search for a document, and the search result would not show anything. Once we went into a specific folder, we were able to find the document.

We have too much invested into it now to choose a different product. We have been using them from almost the beginning, and have seen decent improvements in documentation, functionality and customer support

Process was relatively smooth and overall, downtime minimal. MSI was very responsive to our needs and made the transition easier than it otherwise might have been.

Alternatives Considered

Ultimately a cost decision - Alfresco community is free and has a decent community and various forums, books, etc available. The enterprise version is far less expensive than other options (although costs can add up depending on the the hardware it's running on). It is built upon alot of other mainstream products such as lucene/solr, spring, java and fits into our environment nicely.

A former employee of our company chose DocStar after much research and Q&A with the DocStar seller. I believe she truly put a lot of time/effort into choosing this system, but the end result is that it is not a good match for our company. After reviewing her notes, I believe she chose the system due to its ability to be customized through the template system

  • Instant document lookup - No paper files to mail which saves in all areas of postage, truck delivery, physical storage warehouse space, printing, etc
  • No longer losing important documents - Previously with paper files things would go missing and those could be costly reports/assessments.
  • Ability to secure documents and provide access to only those who should be allowed to see that content

  • We have saved almost 10,000 dollars a year just in toner cost. We had to implement some up front cost for tablets and other computer aspects but the initial cost of this was about 3,000 to 4,000 dollars. docStar has saved us an instrumental amount of money and will so in the future as well.
