Alfresco ECM

If you have regulatory or business needs that require saving email into Alfresco and you are using Outlook for Mac, you may need to perform significant customization to make it work. Additionally, if you will have users that will be members to a large numbers of sites over time, you need to thoroughly explore what functionality will be degraded or lost and how to mitigate the impact. Other than these two scenarios, I cannot think of any scenarios where Alfresco would not be well suited to an organization's needs.

Dropbox

Dropbox is very well suited for SOHO professionals and small to medium-sized teams who need solid performing, reliable collaboration tools on a trusted cloud platform provider with very robust security. Where it falls short compared to Google Drive & Google Docs is in the document editing and collaboration tools within the office suite. If you're already using GSuite then you'd likely better suited with Google Drive, but as a long-time user of Dropbox, I still rely on it as both my professional and personal cloud of choice and part of my redundancy for cloud storage. I find the integration with Mac better than any competitors offering and the PC experience is better than most other cloud providers too.

Pros

Alfresco ECM

  • Integration with other applications, namely Drupal and Moodle, was simple and works beautifully.
  • The UI is intuitive, clean, and friendly. Users have required little training for basic functionality.
  • We have been pleased with the overall system performance of Alfresco Enterprise Content Management.

Dropbox

  • Dropbox has the ability to automatically sync from other sources. When our Appraisers use their tablets to take pictures, it is set up so that the pictures automatically upload to a folder in Dropbox so that the staff back at the office will then have access to the pictures as well.
  • Dropbox is very easy to use. There is a list of folders on the left-hand side. You simply click and go to each folder to pull up files. You can rename the folders, sort by date, etc.
  • Dropbox has several different options for storage size options. An individual can choose a smaller package or a large corporation could choose bigger packages. There is also a free version that is great for saving pictures from an individual phone or another device.
  • Dropbox has a search feature that saves a lot of time. If you aren't sure where the file you need is, use the search function to quickly find it.
  • Dropbox is cloud based so there are no bulky servers taking up space!

Cons

Alfresco ECM

  • Some more APIs can be added although the existing APIs very well provide the required features.
  • Their other tools such as collaboration, etc need to be marketed well so that companies adopt Alfresco as a whole package.
  • Alfresco needs to be on the lookout for immediately introducing any new functions provided by other competitive products.

Dropbox

  • I find it very difficult to share individual folders or subfolders that are within shared folders. For instance, if I want to share just one file, it doesn't allow me to share it with someone who doesn't have access to the shared folder. I don't want to grant access each time to the entire folder, just to the file.
  • I don't love the layout--it's functional, but not inspiring, and it hasn't been updated in so long. It seems as if it's been the same since Dropbox started. I enjoy when products surprise me with functionalities I hadn't even thought of.
  • I don't find the suggestions on the home page helpful. I prefer the layout of Google Drive, where home takes you to things you accessed recently, but also to the entirety of your drive. I don't find the suggestions or the messages on the home page very helpful.

The Alfresco market is bigger and bigger and it's logic. It's really a product that provides innovation quite often. Alfresco implements the standard CMIS 1.1 (before that the standard has been published), they provides interesting tools like IPhone apps or Android apps. The latest 4.2 version provides as well a new re-branded user interface.

Dropbox is a user-friendly, easy tool which requires little to no skill and they offer a free version with a good amount of storage available. There are other file sharing tools available however at a cost. Dropbox free version I have used for years and it serves every purpose I need.

It’s extremely easy to use on any device. I can set access to whole folders or only certain files. I can print, share, and save with very few clicks. I’m able to save high-resolution photos without taking up a ton of space on my phone and can send a link to those files that are too large to email or text.

Dropbox is really useful, you can access any file from anywhere and you can upload and even edit files online, but, sometimes it can be slow. Downloading, uploading, and syncing is a bit slow, it can take several minutes. Furthermore, the search engine for large amounts of data can be slow too and it is not powerful.

Any time we reached out to support they answered us and helped us resolve things. I did not give a 10 because often the issue needed to be addressed immediately, but it would take 1-2 days to hear back from the support team. It would be better to have quicker answers or a dedicated rep to call instead of a call center or entering in a ticket.

Process was relatively smooth and overall, downtime minimal. MSI was very responsive to our needs and made the transition easier than it otherwise might have been.

Alternatives Considered

Alfresco ECM

All software has some pros and some cons. Alfresco has some good pluses, and suits our environment very well. It fit perfectly in the place that we are working on. That is why we decided to go with this software. Overall, the kind of content management that needs to be done in an organization is what would determine which software to use.

Dropbox

Compared to all the file-sharing services I've used, Dropbox is the most reliable and easiest to use. They've also done a nice job of adding features/functionality over the years.Actually, one thing I've yet to mention: Dropbox has done a great job of compatibility with different file types. For instance, I could create a design in Illustrator and share the file with a client through Dropbox. For clients that don't have Illustrator, Dropbox will still allow them to view the design.

Return on Investment

Alfresco ECM

  • Instant document lookup - No paper files to mail which saves in all areas of postage, truck delivery, physical storage warehouse space, printing, etc
  • No longer losing important documents - Previously with paper files things would go missing and those could be costly reports/assessments.
  • Ability to secure documents and provide access to only those who should be allowed to see that content

Dropbox

  • Due to the nature of the business, it has worked as a solution for file collaboration without the need for expensive hardware.
  • It has eliminated the need to purchase flash drives and the possibility of losing them.
  • It enables and boosts the efficiency of telecommuting.
