Alfresco ECM

If you have regulatory or business needs that require saving email into Alfresco and you are using Outlook for Mac, you may need to perform significant customization to make it work. Additionally, if you will have users that will be members to a large numbers of sites over time, you need to thoroughly explore what functionality will be degraded or lost and how to mitigate the impact. Other than these two scenarios, I cannot think of any scenarios where Alfresco would not be well suited to an organization's needs.

If you need to send or receive files, Dropbox is great for that.If you have important files on your computer that you need to have backed up, versioned, and be recoverable in the event of deletion, Dropbox can help there too.Dropbox is also useful in instances where you need a collection of files accessible by a select group of people.

Pros

  • Collaboration - it is an excellent tool for collaboration and makes it very easy for several people to work on projects together.
  • Scripting - If there is something that Alfresco does not do natively, you can use their custom API to do almost anything that you want.
  • Interface - The interface of the application is nice and neat, and is very easy to use and understand.

  • It does a great job of syncing files and keeping everything up to date for you no matter where you are.
  • It boosts the ability for collaboration with the use of file sharing.
  • It is capable of working well across multiple platforms.
  • It eliminates the risk of having valuable data on a flash drive and then losing said flash drive.

Cons

  • Some more APIs can be added although the existing APIs very well provide the required features.
  • Their other tools such as collaboration, etc need to be marketed well so that companies adopt Alfresco as a whole package.
  • Alfresco needs to be on the lookout for immediately introducing any new functions provided by other competitive products.

  • When using Excel within the app on the iPhone it can be cumbersome trying to navigate different tabs. There could be possible room for improvement with office integration.
  • Sometimes I have issues with sharing files from within the folders when using the integrated computer application. Usually I can work this by logging in on the web and initializing the share from there.
  • I wish there was a way to get it to auto-sync whenever you are connected to wi-fi without having to open the app on the iPhone.

As per the current market and the line of products that are available for content and document management system, Alfresco is a very good option compared to other systems in terms of features and cost. Plus the community support is great. Also since the product is open source, it can be extended or understood in a better way.

Alternatives Considered

As already explained earlier, the cost of licensing and support comes down very much by using Alfresco compared to Stellent and Sharepoint. Plus the overall performance and feature set is much broader for Alfresco. Since it is a newly developed content management system, it combines the features and best practices from already existing systems.

We switched over to box because of some integration tools we wanted for Salesforce, and to have a platform that could be better utilized by others outside of our design and production team. We found that box has better usability for our users that aren't as fluent in computers. Box and Dropbox are pretty well matched for the sake of the single user though, and I use both in my freelance business.

  • Sometimes, to switch from a paper world to an electronic world can be painful for users. Because of its flexibility, Alfresco is always welcomed by end users. Alfresco becomes really a tool that help the user and not a constraint.

  • It saves us time by allowing a very user friendly approach for uploading, organizing, and sharing files.
  • Our board and committee members could easily access our meeting reports.
  • Great tool to share files with outside vendors. Our designer charges $60/hour and sending files via email with explanations is time consuming so by uploading files in an organized fashion allows us to get the job done faster at a lower cost.
