Alfresco ECM

If you have regulatory or business needs that require saving email into Alfresco and you are using Outlook for Mac, you may need to perform significant customization to make it work. Additionally, if you will have users that will be members to a large numbers of sites over time, you need to thoroughly explore what functionality will be degraded or lost and how to mitigate the impact. Other than these two scenarios, I cannot think of any scenarios where Alfresco would not be well suited to an organization's needs.

iManage Work

iManage Work is a great solution for a smaller business. It provides a quick, easy way to store and share documents. It works with Outlook, which almost everyone utilizes, so it's a good way to get into document management. iManage Work is capable of scaling, but it is not necessarily the best solution for it. There are many other solutions that scale very nicely for enterprise size.

Pros

  • Document Management - The ability to store documents, manage custom aspects and metadata. Plus full control over versioning of documents with the ability to check in and out.
  • Custom API's - Alfresco supports multiple API's both internal and external and pretty much allows you to customize and integrate with any application
  • Searching - Lucene and SOLR which are integreated into Alfresco offer a multitude of ways to find documents/folders.
  • Auditing - They have a fairly powerful (although somewhat confusing) auditing system that lets you audit almost any action or service.

  • Very reliable, once setup it is usually pretty flawless outside of Outlook-related issues.
  • Simple and easy to use organization of files and groups.
  • Customizable for different departments or sections to divide up access and partition document system.
  • Allows collaboration with outside parties and makes sharing documents quick and easy.

Cons

  • This enterprise CMS does not provide backup capabilities and it is lacking several support resources including FAQs and live chat.
  • Alfresco Share platform is good but to create pages , using dashlets is a tedious task in Surf platform. Some automation similar to Liferay Studio is required.
  • Alfresco Backup/Restore strategies needs improvement.
  • Alfresco Customization/Extension process needs improvement.

  • Complicated setup. On initial installation it is cumbersome to configure on each workstation just to connect to service.
  • Does not enforce structure. Once setting up structure, users can save outside of iManage Work and make their own files and folders under pre-configured system.
  • Outlook is a finicky software, access to iManage Work depends on Outlook, nothing against iManage Work, but it sometimes has issues caused by the application it relies on.

Process was relatively smooth and overall, downtime minimal. MSI was very responsive to our needs and made the transition easier than it otherwise might have been.

Alternatives Considered

Java based open source wide community and popular ECM which is used by fortune 500 companies.

Worldox and Worldox Enterprise do a superb job for document management. iManage Work has the edge in that it's cloud hosted, but so is Worldox Enterprise. Worldox forces assimilation by integrating with Office applications and controlling where items are saved to. iManage Work does not enforce this habit or policy. NetDocuments is very similar to iManage Work but relies much more heavily on browser based access. This may be preferable to iManage Work as one can simply use a browser to access data versus a complicated Outlook configuration.

  • From a price standpoint, iManage Work is very reasonably and competitively priced product.
  • You get what you work for out of it. If you setup iManage Work properly and enforce structure, it is a great solution.
