Alfresco ECM

If you have regulatory or business needs that require saving email into Alfresco and you are using Outlook for Mac, you may need to perform significant customization to make it work. Additionally, if you will have users that will be members to a large numbers of sites over time, you need to thoroughly explore what functionality will be degraded or lost and how to mitigate the impact. Other than these two scenarios, I cannot think of any scenarios where Alfresco would not be well suited to an organization's needs.

MS SharePoint

MS SharePoint is well suited for organizations that have staff who work remotely as well as those with physical offices. It allows them the capability to access all the necessary programs in one place. The only setback is that not all programs mirror the original program which may cause some frustration.

Pros

  • Basic workflows are easy enough for casual users to set up and utilize.
  • Cloud sync capability provides a great way to share documents with third parties and to use as a backup system for critical documents.
  • Alfresco mobile app makes it easy for those on the road to access, approve and share documents.
  • Folder rules are easy to set up and make assignment of metadata easier to automate.

  • We can store documents and others can view the most updated versions.
  • We can save previous versions and assign tasks.

Cons

  • When users are members of 1000 sites or more, certain features such as sites dashlet do not work properly.
  • There isn't any integration between Alfresco and Microsoft Outlook for Mac. IMAP integration has flaws that can cause loss of email.
  • Mobile app doesn't have a site search feature. this is problematic when you have thousands of sites and you need to access one where you have not saved it as a favorite.

  • Could be more intuitive. Sometimes it takes an expert in the system to understand how to grant access and what types of access to grant
  • The built-in features are difficult to choose from - hard to identify which ones fit my needs, they can be too complicated
  • If SharePoint is not customized, such as the out-of-the-box version, it's hard to ensure it will fit my business needs.

The only drawback is the price, it's quite costly to buy and requires Microsoft professionals to run at its peak capabilities. It works very well with large quantities of employees, has powerful search capabilities and a huge community. However it might not be a good fit for smaller companies who don't handle a large number of documents and employees and who don't exert high security requirements.

A lot of users can give you many great ideas how to cleverly use SharePoint's core functionality to implement almost any process you need. It is very sturdy, never crashes. Many applications and third party solutions are built for SharePoint so even customization without Microsoft programming skills is rather easy and low cost.

Process was relatively smooth and overall, downtime minimal. MSI was very responsive to our needs and made the transition easier than it otherwise might have been.

Alternatives Considered

Alfresco provides by default a very user-friendly user interface, And it's highly configurable. Moreover, the license model is really interesting compared to both solutions

SharePoint was already selected when I got here. However, like I've mentioned before, SharePoint is a very capable platform for collaboration. It has a nice feature set but the issue at times is getting the product to do what you want it to do. Other products are cloud based (though I know MS does have a cloud option for SharePoint as well) so you're not worrying about your backend. But because it's on premise, it does give us the sense of comfort knowing that the product is in house

It is extremely simple to share, within our department and even with other departments, things we have been working on. Formatting is not an issue when we are sharing and that is a big life saver.

It’s extremely simple to merge forms from different platforms to different types of sources! There is no lag so that is a huge help when you are in a hurry and have no time to spare.

  • Instant document lookup - No paper files to mail which saves in all areas of postage, truck delivery, physical storage warehouse space, printing, etc
  • No longer losing important documents - Previously with paper files things would go missing and those could be costly reports/assessments.
  • Ability to secure documents and provide access to only those who should be allowed to see that content

  • Single Version of the Truth - By far, the most significant impact is the ability to store and retrieve multiple content types using a common interface. When an executive needs the most recent version of a proposal for the board and there's only one place to get the content, it makes life so much simpler and productive.
