Likelihood to Recommend

Alfresco ECM

If you have regulatory or business needs that require saving email into Alfresco and you are using Outlook for Mac, you may need to perform significant customization to make it work. Additionally, if you will have users that will be members to a large numbers of sites over time, you need to thoroughly explore what functionality will be degraded or lost and how to mitigate the impact. Other than these two scenarios, I cannot think of any scenarios where Alfresco would not be well suited to an organization's needs.

MS SharePoint

SharePoint is a very flexible platform and is what you make it. While it does have its limitations, the way that it integrates into the Microsoft toolkit is critical to the successful use of Microsoft as a whole. Getting the right license agreement is significant (you don't want to feature-limit your deployment because it hurts user adoption over the long haul). Because Microsoft has invested so much in this platform, it is relatively stable and here to stay for quite a while, so the long-story of SharePoint is much more promising than the short story of some of its competitors.

  • Cloud sync capability provides a great way to share documents with third parties and to use as a backup system for critical documents.

  • SharePoint allows information to self-organize well. One version of the truth visible in multiple contexts (views).
  • SharePoint allows for a really good relationship between Microsoft Office products and allows for collaboration in those tools to happen a bit more seamlessly.
  • SharePoint allows for permissions to govern access to information very well from any level in the site.
  • SharePoint in Office 365 allows for information to be accessed in a mobile environment without the need for VPN or server access that has traditionally been somewhat difficult to navigate on a phone.

  • Workflows - I believe that creating workflows from the API is a little cumbersome. I think that they could package a few more generic workflows or it could be a little easier to create one.

  • SharePoint to OneDrive sync mechanism is hidden or difficult to understand for users coming from Dropbox, Box, or other cloud storage apps.
  • UI isn't really that great. SPO is a huge improvement, but is still very Microsoft-ish.
  • Uploading a new version of a file with a different name is not possible.

The Alfresco market is bigger and bigger and it's logic. It's really a product that provides innovation quite often. Alfresco implements the standard CMIS 1.1 (before that the standard has been published), they provides interesting tools like IPhone apps or Android apps. The latest 4.2 version provides as well a new re-branded user interface.

We have too much invested at this point to do anything different and there are too many reasons as a company our size to keep it. We are heavily licensed out for Microsoft and have 12 years of SharePoint development baked into who we are. Extracting that as a tool at this point would be dumb and devastating. There are no like-kind competitors to it at an enterprise level that scale and integrate as well.

Support varies by tech and by vendor. I've used Microsoft's support channel and for the most part have been successful to get my questions answered. I've also used third party vendors and have gotten some answers resolved as well, though sometimes getting them on the phone is difficult. It all depends!

DropBox is a nice application for document sharing but does not have many of the features such as workflows. With SharePoint you can send approval workflows for individuals files that are uploaded by the users.Both Blogger and WordPress are nice quick out of the box solutions, but is not as scalable as SharePoint is. With SharePoint for example you can create webparts, workflows, document level security where with the previous other solutions would be harder and more expensive to implement.In summary SharePoint provides a company with the ability to better adapt to ever changing business needs than the other ones.

  • I was on the user end, as a lower level employee. I would imagine it had a pretty great ROI. When working in a large company it is important to give people the same information across the board. It makes you look better and more streamlined as a company.
