Alfresco ECM

If you have regulatory or business needs that require saving email into Alfresco and you are using Outlook for Mac, you may need to perform significant customization to make it work. Additionally, if you will have users that will be members to a large numbers of sites over time, you need to thoroughly explore what functionality will be degraded or lost and how to mitigate the impact. Other than these two scenarios, I cannot think of any scenarios where Alfresco would not be well suited to an organization's needs.

Trello

Trello is well suited for quickly keeping track of and organizing ideas. Due to the functionality that is more robust than a simple note-taking application, I find myself gravitating towards Trello rather than an alternative for a quick note and task tracking. Trello is NOT well suited as a note-taking application. Where it is great for capturing ideas and tasks, it is not meant for writing paragraphs of text.

Pros

  • Document management i.e. it promotes a paperless office
  • Cloud solution i.e. ability to access content outside your work zone
  • Collaborative web content
  • It also brings content and process together

  • Trello has an intuitive interface for organizing boards and tasks. The kanban-style layout of the boards is simple and logical - categories are arranged left to right, tasks are arranged from top to bottom. It only takes seconds to understand the goals of the interface with minimal experience needed.
  • The interactions within Trello feel natural and are consistent with what you would expect - double clicking to edit, drag and drop to move, etc. The interactions aid, rather than inhibit, my usage of Trello.
  • Theming - Trello allows users to theme their accounts/boards. When using multiple boards, it is awesome to not only customize the board to look and feel they way you want it to, but it also allows me to know exactly which board I am viewing at a glance.

Cons

  • Alfresco is a bundle of technology packaged together, so this solution requires a lot of expertise if you want to customize a lot your solution.

  • Trello works by boards, which sometimes makes it difficult to work when we needed, for example, global labels. On each board, you must define and/or repeat your labels specifically.
  • We use it for small projects because its boards are limited when it comes to the management of many people or very large projects.

The Alfresco market is bigger and bigger and it's logic. It's really a product that provides innovation quite often. Alfresco implements the standard CMIS 1.1 (before that the standard has been published), they provides interesting tools like IPhone apps or Android apps. The latest 4.2 version provides as well a new re-branded user interface.

It does everything we need it to do to manage users and content as it progresses, but could do with more improvements too such as notifications or remote notifications. We have no reason to move for now!

When you dont feel like you need a support team; when things are intuitive; when you start relying on it for numerous projects - thats when you know it has great 'usability'

Process was relatively smooth and overall, downtime minimal. MSI was very responsive to our needs and made the transition easier than it otherwise might have been.

For our small business, getting a few of us started well on Trello was the key, I think. As long as a couple of us were really comfortable with the interface, we could lead others and help them with any questions. From now on, anyone who works with us just naturally uses Trello for information sharing - it's just part of what we do.

Alternatives Considered

Java based open source wide community and popular ECM which is used by fortune 500 companies.

They are both task managers, but Asana seemed less friendly to me than Trello. Your minimalist design is aesthetically more attractive, besides giving rise to a simpler and simpler interface to use. It is possible to add widgets to the home screen. These allow more flexibility to view information at once, without the need to open the application. There is an application available for tablets. This will provide a better user experience than using an application designed exclusively to be used on a phone

Return on Investment

  • Popular and open source Enterprise content Management system.
  • It can fit easily on any variety of client/customer for small/large buissness
  • Provides many out of box features.
  • Community version is free/open to use so small business owners can use all features without investing.

  • Trello has a positive impact on our work because help us to organize and check all the jobs of our team.
  • All the workers learning to use fast, streamlining all processes
  • We reduce a lot of time in our process, which we lost before trying to know where our efficiency problems are
