Amazon Cloud Drive

Amazon Cloud Drive is a fantastic backup solution for storing your digital files on the web, but if you want to manage, tweak, organize or otherwise maintain those files after they have reached the cloud, the experience immediately begins to suffer. This is especially noted when major competitor products like Microsoft and Dropbox offer similar services at similar prices, but offer far better interfaces for file management.

Citrix ShareFile

It is well-suited for most organizations that require approvals from multiple points of contact inside (and outside) an organization, for companies who need a cloud-based solution where they can store files and collaborate amongst teams to get that file to its optimal form.I don't think it would be well-suited for organizations that don't have an extensive approval process. There are other cloud-based file systems that can do this function for a lower price. The collaboration/approval aspect is a large component of it, so a small team that can quickly jump into a meeting to discuss something may not greatly benefit from this tool.

Pros

  • Fast synced data across all of your devices – Desktops, Tablets and Phones.
  • Unlimited Cloud Storage space for all of your important media, files and documents from a reputable company.
  • Extremely helpful and friendly technical support staff who goes above and beyond when you need their help – even if the issue was a user's fault.
  • Seamless integration for your digital files. Plays very well with other popular services.

  • I love that I can annotate directly on a file. For example, I can mark the area where I find some weird imagery or mark some content that I'd like to change. I can make annotations on the side for the designer to review.
  • It's so easy to upload content, add recipients, create a workflow, review annotations, reply to annotations, upload new versions, and so on.
  • The file system is like any other you'd expect so there is no learning curve. You can create folders and sub-folders (both personal and public), star items, share/request files, and more. It's so quick and easy to get started.

Cons

  • Over simplistic at times - could have some more features
  • Possibly have the ability to lock documents to prevent further editing if using collaboratively/sharing

  • Annotations, annotations, annotations. I love them, BUT there is this very annoying problem where, if I begin typing an annotation, someone else starting to type in an annotation will stop me (even though I started before them) from writing. It actually removes anything I wrote. You'd think this would have been caught early on, but it has been an issue for over a year and is very frustrating for me. Our workflows typically involve 4-5 people, but sometimes up to 10. When a workflow gets initiated and we get the notification email, many of us pop in there at the same time and fight over who is annotating what. When we have a doc that is 8+ pages long, it becomes highly time-consuming for this reason alone.
  • Back to the annotations again, if there are many markups on a page, it is nearly impossible to figure out where the annotation belongs. For example, if there are 3 on one page, it's very easy to follow the line to the area the annotation belongs. But when you get conversations in the annotations (e.g., 'Change this to XXXX' and someone replies 'Would you prefer if YYYY were moved to replace XXXX?') which naturally happens, and when those annotations stack up (such as in our product mailers that display 6 product images, titles, prices, SKUs, sub SKUs, content blurb), that takes up space FAST. You can't click an annotation and follow its track. You're left to figure it out on your own.
  • There is no animation support for .gifs. I don't know if this is intentional, impossible, or what. But we are moving more into .gif graphics and it's impossible to see the animation within ShareFile. We also cannot annotate .gifs, so there's that.

The cost is fair and the program does what it has promised to do. Customer service is attentive. I'm not aware of any better-sounding file sharing systems out there that would tempt us to discontinue ShareFile.

The system is very easy to use and it's use of apps for almost all devices and hardware makes it even easier to manage and store photos and documents. I highly recommend this as an easy to use solution for novices!

I give it a 10 for an overall rating for several reasons.1. Technical Support is one of the best around. I get immediate help and resolution to any issue I have faced.2. The product is simple to use and provides businesses with amazing features to streamline the sharing of large files.3. The product is easy to deploy and manage. As an IT Manager, it is important to have control over your data.

Alternatives Considered

Amazon Cloud drive stacks up poorly against the other products with less number of options and features while having costlier plans. I would not substitute any of the other products with Amazon Cloud drive as it still has a long way to go when it comes to better features and pricing.

Alternative #1: 7-Zip or WinZipWe were using this technology prior to ShareFile. If you are busy and need to exchange secure files with many individuals "zipping" is a cumbersome (IMHO) way to perform this task. Can be pricey and will have overhead in managing the applications from an IT perspective. This method created issues with securely distributing the decryption passwords to the recipient in a timely fashion. The ShareFile method is a far better solution to the problem as you can deploy as a web-based cloud product without ever installing any software on the end users workstation. Additionally, you can control access to the shared folders and if needed remove access if necessary. With the other products, you cannot tell what files were transferred and who transmitted and received them.

Return on Investment

  • It's another place to store the documentation, we are using this as safety blanket. Even though it has [not] returned any monetary benefit, it gives us a good night sleep as all our important documents are safe in cloud.

  • It has allowed me to share and request files that on other apps in the past didn't quite work.
  • It has been much more user friendly for my clients.
  • It allows larger files to be sent by e-mail as an attachment link to the Citrix ShareFile
