Pros

  • As far as we know, it's the best value. Our current plan is for something like 4-5 terabytes.
  • Good interface both on the website and on the app.

  • Keeping the whole company updated on the latest app versions. Cuts down on upgrading time and version control.
  • Teams is a great way to share info and documents with fluctuating working groups, both internally and externally.
  • Allowing access to current applications on any device with the same login.

Cons

  • They recently did some kind of update that changed it from Amazon Cloud Drive to Amazon Photos, which made things a bit confusing. Still unsure sometimes where to go or what app to open.
  • I wouldn't mind more robust functionality in terms of pausing uploads or seeing which individual files are uploaded and potentially duplicates of files that have already been uploaded.

  • I think it was more of a setting on our side as we could not get to our files from any personal devices.
  • When you shared files with others it sent an email that was external to the county and many people thought it was spam or a phishing attempt.

It is incredibly easy to set up and deploy. It is also very easy to use, perhaps the most user-friendly software I have ever used. There are also a ton of online resources if you want to learn more and get more out of it. Their support is excellent and replies in a timely manner.

Doesn't load very quickly, doesn't save very quickly. And as mentioned - glitches around connectivity aren't very rare.

Alternatives Considered

Actually I think both Box and Dropbox are easier to use and have better features for sharing files, especially if you need password security on those files, but Amazon is better for storing tons of data. Box and Dropbox are much more expensive to store a lot of files.

From the business perspective we didn't evaluate any other applications or products similar to 365. At the county we are Microsoft first on all applications.

Return on Investment

  • Positive - has done exactly what we need it to do: back up massive amounts of files with relatively easy retrieval.

  • We have never had "downtime" due to Microsoft 365.
  • Folks that used to have to commute to the office now have more time to get things done when they work remotely.
  • The time saved with MS Exchange has been wonderful for email management.
