Concur Travel and Expense

The audit log is one the important features that we looked for in travel/purchase request system. However, if you're a smaller company and doesn't need this audit history for financial audit, you can do fine with a less expensive travel and expense software.

  • Only have to process one check request for multiple jurisdiction payments
  • they take care of the delivery of payment part

  • You can implement a lot of controls for travel/expense reimbursement (setting reimbursement limits, setting limits for flagging review, you can set a 2-person approval if the expense reaches a certain limit)
  • There is an audit log for every action (great doing financial audits)
  • You can easily track the status of each expense report along with e-mail notifications on the status of each report.

  • Implementation is one of the weaknesses for Concur, I have implemented it for two separate companies. The first time was relatively smooth and we were operational in a few weeks. However, the second time around it took several months to even go live and several more for me to shake down problems to make sure the system works correctly. I am very experienced managing Concur as an admin and I was able to get by but it was a big weakness.
  • Customer support is not great if you call them on the phone, Concur funnels all their requests through their online ticketing portal. They are great if you utilize the ticket system. I actually prefer this system but I have talked to many people who wish their problems could be addressed immediately with a real person on the phone versus having to put in a ticket and wait 24-72 hours or sometimes longer to get things resolved. I am busy and my problems are very technical and complicated and I do not want to devote half my afternoon to fixing a small problem.
  • Integration with accounting packages not under Concur's "ecosystem of partners" can be a challenge. If you use QuickBooks for example it is a five minute process to set up your system to securely send data to and from Concur after the approval steps with no errors. However, my company uses Procas and it is a nightmare to set up the accounting extraction from Concur which is a large data dump of all the info on secure encrypted FTP server. It takes a while to organize the data into an acceptable and error free import file to upload into the accounting software.

Now that we are fully on Concur, switching is not an option. Concur has become ingrained in our expense reporting process. Furthermore, Concur continues to improve its offering. Each month, they release updates and changes, many of which were client requested. Concur's constant evolution means it is adapting with my business

In prior years I would have given them a 9.5 for availability. Unfortunately in 2015 so far this rating has dropped to a 7 overall.
We have experienced far too many interruptions - from admins to employees who rely on it for day to day booking of travel and submission of expense reports. Server errors, slow system response time and spinning wheels are too common place. Those things should be a rare occurrence, not a daily interruption.

While Conur still has great product offerings overall, they are currently not offering world class or best in class product (and customer service) availability. Remaining hopeful they step up and get their A game going again soon.

It's live (you can ask questions), it's free, it's good. What's not to like. Only reason it's not getting a "10" is breadth and depth, more would be better.

There are different implementation teams for each module of the product you purchase, so implementation is not a 'one size fits all' environment. Also, the different implementation teams have different ways of doing things, so Concur could stand some standardization and streamlining in this area.A Project Manager can make or break an implementation so don't be scared to ask for a new one if things are rocky.

I have not used other products. We use to create multiple check requests every month to process different payments in house.

Uptime has been generally excellent, with the glaring exception of 3 weeks (yes, weeks) during 2014 in which Concur had repeated site-wide service disruptions affecting all users.
