Appian

Appian is very well suited for complex business processes. If implementing using traditional methods is daunting, then Appian would be a good alternative. It follows that simpler business processes would be a breeze. Also, it's well suited for situations where sharing data across processes/applications is likely. There's no need to "integrate" from Appian app to Appian app, so sharing data within the platform is trivial from a technical implementation perspective. Appian may not be as well suited for dealing with very large datasets (tens of thousands of records), it seems too much data may start taxing the system.

Not well suited for:
- automation of knowledge work (Adaptive/Dynamic Case Management);
- use cases requiring application of very advanced business rules. There is a third party business rules engine that works well with K2 though;
- Java engineers- wanna-be-BPM consultants - K2 is best suited for Business Technologists aka Citizen Developers;
- outsourcing based delivery model - you need to train your onshore people;
- teams and companies that don't want to learn on their own. if you want to outsource your DPA program to a foreign based IT services provider, pick a different vendor;

Well suited for:
- 60-70% of all digital process automation uses cases you will find in your organization;
- department and enterprise-grade process automation applications;
- Citizen Developer adoption;
- integration intensive use cases;
- software teams not afraid to extend K2 with their own code through well-documented APIs;

Pros

  • Repeatable process. Once implemented in Appian, you have an automated process that will always work in the same way. No more dependencies on people remembering what needs to be done or how to do it.
  • Great integration with other applications. Appian allows you to integrate with many other applications to provide a seamless process flow.
  • Reporting capability. Appian has the ability to report on information from any connected system to provide real-time data. Very nice graphical and textual reports can be created.
  • Sites. The ability to create a place for a user to be able to perform their required job without having to see all of the other applications, reports and records. This allows a very focused approach for a user to interact with the system.

  • Incredible flexibility: K2 blackpearl has so-called "smart objects" that serve to encapsulate properties of data from a wide variety of sources and platforms, and to re-use those objects in various processes.
  • Good tools for representing processes visually and developing the K2 blackpearl assets needed to represent real-world process flows.
  • Support for delivery of data to process approvers and other stakeholders that includes the information they need to perform their role in the process in a friendly format. Ability to show them the data they need to make a decision on a variety of devices, and to record their decisions.
  • Good tools for monitoring and reporting process performance and identify delays.
  • Ability to handle role delegation, parallel and serial approvals, and other non-standard process scenarios.

Cons

  • Appian is continually improving the product but having to learn new features every 3 months (upgrade schedule) can be a challenge.
  • Graphical user interface could use some additional improvements but it has come a long way already.
  • Sites could use some additional modifications. Currently, the News Feed is not available on a site.

  • It is very difficult to find/hire K2 talent to build up a development team. Without Resources, it is hard for K2 to succeed in an organization.
  • The learning curve to digest all that K2 has to offer and development methodology is very steep. This steep learning curve makes getting a development team using K2 a slow process.
  • K2 can be buggy which causes issues which are harder to resolve then when using a standard development environment such as .Net or Java.
  • It is arguable whether hiring some really good object oriented .Net developers would be more productive than investing in K2 considering the money saved could pay for some really top of the line developers. Especially considering .Net developers are much easier to find than K2 developers.

K2 Blackpearl implementation requires heavy investments. The initial learning curve is steep, but once the resources/developers/power users are comfortable with it, it provides lot of amazing features/options for business.

K2 platform has multiple designers (Web based designer ,k2 studio, visual studio) each targeted at business analysts,power users, and developers. The platform provides consistent web experience in workspace navigation for users and admins and provides excellent reports out of box.

The ticketing system works quite well and they improved a lot adding some help-desk centers in Europe (more comfortable with the timezone you are working in). For incidents, the answers from support are satisfying too.

As analyst I participated in a developer boot camp. At times it was hard to keep up but most of the time it made sense. Trainer took the time to explain and slowed pace down to answer questions etc.

It was a complete online training with virual machine provided by K2. All the infrastructure was set up before hand. The training material was pretty thorough. The instructor was knowledgeable.
Overall the training program was well designed and planned.

Alternatives Considered

We went through a light-touch Request for Proposal process, explaining the problem we were trying to fix and giving lots of examples of the current process and pain points. Appian was one of 10 respondents but stood out as having all of the components that would make putting the customer first, sharing information across multiple government agencies, workflow, low code and speed to build a working prototype that would work on multiple devices (pc, mobile, table) out of the box.Appian understood the problem we were trying to fix, and their response answered the majority of our concerns about how to solve the problems for the business customer by using and re-using information. Other providers could do some parts of the functionality needed, or offered to build the prototype from scratch, or couldn't meet our timeframes (due to length of delivery or lack of resources). Some of the respondents missed the point entirely and simply did not meet the requirements we set.Another factor was the cost estimate presented by the respondents - Appian was not the cheapest, but they were definitely not wildly expensive (unlike a couple of other respondents)!

K2 delivers much more efficient enterprise level solutions to our organization. The K2 workflow engine and forms tools are superior to Nintex in what they can deliver. Nintex however, was much easier to learn and the team got up and running much more quickly using Nintex. Heave use of Nintex eventually slowed down out SharePoint farm due to resiging and running on the web front end servers. This caused us to migrate to K2 where we could develop more robust workflows that did not have a negative impact on our SharePoint farm.
