[Appian is well suited for] Cross application business processes and management of those. Exception management/decision making through ongoing monitoring of data is a big benefit especially if looking or comparing data between business applications.Least suited to replacing enterprise commercial applications.

Workfront

I work on a team where each of us is separated individually from the United States. Workfront enables us to collectively collaborate on a common project setting individual goals. Project managers can invite users, send out updates and set goals to be marked as complete by individual users. Definitely an AAA+ option for global team project collaborations. Smaller projects with fewer working participants would most likely not benefit from the ROI for this product, however, if these smaller tasks are building to a larger project or your teams have multiple small projects running simultaneously then Workfront is for you as well.

  • Using a basket of tasks for user. It's clear for work day to day, just choosing task to complete, one after one.
  • Follow-up on tasks. Every user says that it's a revolution to have detail about our tasks and they can know where there are tasks.

  • Process Modeling - Appian is currently moving away from their desktop portal model and into web-based access. This requires some significant reworking of their underlying structures. That being said, their new technology and modeling options are extremely exciting and should provide significant enhancements and flexibility over the plain portal environment option.
  • Form Design - I would like to see greater flexibility in form design and form preview.
  • Training - Appian offers a plethora of training but the ability to tailor training to meet specific needs of an audience would be a welcomed addition.
  • Reports - There needs to be greater flexibility in configuring and printing of reports.

If given the chance I would use Appian again. It was a good tool and they are constantly improving it. It was fairly easy to use and any developer who knows JavaScript can customize it to their hearts desire. Once I got used to how it operated my creativity increased and I began thinking of many different types of workflows I could create both for the company and for myself.

We ended up not renewing based on the sole factor that AtTask could not be a general ledger/invoicing system. All other aspects of the system were great to work with.

I think anyone should be able to use the product. It doesn't take a programmer to use it even though I am a programmer and it did help me to understand things quickly, it isn't a requirement and most people who are able to understand basic workflow concepts can pick up the product easily.

I have witnessed users with a PMP background pickup the tool and use it to its full capacity within a week with very little training. Users without basic project management skills, however, have taken much longer with extensive one-on-one training. The tool is highly intuitive if you have a PM background.

After each training course, you are tested on what you have learned. If you need a refresher course, they provide Course Catalogs as well as instructor-led courses & workshops.

I would recommend all user's using Workfront to go through the training material provided. Have all user's practice in the Sandbox environment and have your workflow documented for the consultant before he arrives on site.

Alternatives Considered

As a BPM team we evaluated several other products and narrowed the search down to IBM and Appian. We had the respective companies do a head to head demo and we were impressed with both but found that the cloud based nature of Appian was more appealing so we didn't have to support an infrastructure locally. There are pluses and minuses. As a developer it would have been more desirable to have a local installation so I had more direct access to our other local databases but the maintenance with keeping a local system up with a team of 3 IT people who were already stretched to the limits in bandwidth made the Cloud option more practical.

The limitations of Advantage revolve around project management. While its financial package is strong and agency focused it is unable to mange complex projects in any fashion. The selection process for Workfront was not in my hands but the impact of the selection is my bread and butter and I can see the synergies quite clearly.

We have been using Workfront for about 3 years. During this time they continue to be a very stable project management system. Workfront's overall scalability is able to handle increased loads of work. When using Workfront for a project management tool for the web team, we store documents, images & video's without any issues. They work with their customer's to provide the best project management system in the market today! I highly recommend Workfront for all project management needs. Workfront strives to deliver unique technology solutions to growing companies!
