(UPDATE: Please note that my review was for the Version 5 of their apps. They have recently updated 2 of their main apps to V6 which show a lot of improvements. The sad thing however is that many of their 40+ apps never even made to V5 let alone V6. V5 to V6 has taken over a year and only the core apps are getting attention.)

As it stands Apptivo is only useful for one person or sole trader type entities. If your business wants to use all the apps and works internationally then Apptivo will create headaches and frustration rather than increasing productivity. They may solve many of the 100+ items we provided them with free of charge in an upcoming release, but we left with a bad taste in our mouth. Countless hours lost in our business while we acted as bug finders for Apptivo while paying for the product.

Sage CRM

Only having one primary contact can cause issues for companies who are more specialized and custom. We deal with many people throughout the company so this can cause issues on trying to figure out who to contact. Creating advanced custom screens are also rather complicated and many times would require outside work to complete.For retail it is much more simplistic and easy to use. Storing all customer information along with communication info is simple.

Pros

  • Built in support for new users.
  • Basic crm works...just dont expect it do anything well beyond the basic.
  • Price.
  • Google Apps integration is better than a lot of the competition who charge and anwful lot more.
  • They are open to and try adapt quickly based on customer feedback.

  • SAGE CRM is a very clean and easy to use interface and easy to navigate around. Users seem to instantly understand with very little training where they are in the system, which is not always true of other system we have used in the past. The Key sometimes is removing 'clutter' for that user.
  • Sales and Sales Manager tend to find it is very intuitive and since it is flexibly with its design, we have created various extra option to improve sales peoples management of Contracts, Events and even Samples, saving and eliminating multiple spreadsheets.
  • Case Management and workflow capabilities together with the ability to offer Self Service and embed into your website has been very powerful and a number of client have found this can save them tremendous time. Adding in automatic notifications through a powerful workflow capability can save hours of time for the Users
  • Flexible Reporting using a wizard approach means that the system is easy to train on and for users we find that they embrace this even more since they feel an ownership for the CRM system, something that all CRM User aspire too.
  • Flexible licencing and Editions. Not always well known, but SAGE CRM has two editions (somewhat confusing) the Cloud or SAGE CRM.com doest use the same naming convention, but these are Standard And Advanced Editions. However, in particular, there is a Concurrent Licence option, albeit at a premium, but we once saved a client over £14000 on a 50 user system when they migrated to SAGE CRM Concurrent from their existing Named Licence CRM system, paying for the complete migration in year One

Cons

  • Homescreen claims to be the center of the application however the sub sections are mostly flawed or do not function as one would expect.
  • The built in email client kinda works but depending on which section of the app you are in the default font will be different from your signature. Also you cannot add a cell phone to staff signatures. I asked about this for months. It was never fixed. When will CRM companies learn that email is STILL the center of many business. It is unacceptable to have different fonts in the same mail and signatures that change from client to client.
  • They frequently messed up our contact data.
  • Multi currency exists on invoices but not on other apps.
  • Fragmentation with their apps....some apps are still on version 3 some on 4 and some on version 5. This means you are forced to deal with 2 or more different user interfaces within the same app.
  • No consistency between the apps.
  • Often there is little or no integration between the apps inside Apptivo.

  • In my view, there is no such thing as perfect software, it is always evolving and one area which I think would have been useful is the addition of a Contract Entity. Having said that, when needed it is actually once scoped quite a straight forward addition.
  • More third party integration focus is needed, although there is now email marketing integration with Swiftpage, at long last, MailChimp integration is now going to be available in the next release (SAGE CRM 7.3) and this will open up more opportunities. Continuing on this theme, further integration options are needed still in my view
  • The Look and Feel of SAGE CRM could do with a refresh, although this is coming, this is double edged sword, since the look hasn't changed since 2004, this has meant it is easy to train on (you can do themes) and users don't get confused with upgrades. Like all software, you need to have a contemporary design feel to help users, for example pencil icons used now for edit and gear icons for changes

Our uses kept running into bugs that stopped them from doing simple things like creating a contact or selecting an item from a custom drop list which is required to save the contact or item. This of course is after time was spent filling out all the previous data which gets lost when you cannot complete the form. This is just one example of many.

Sage works very quickly based on the network you are using it on. It is internet based so if your network is slow, it will perform slowly. Reports seem to run reasonably fast, if there is too much information it is trying to populate that could slow it down a little. When Sage CRM is integrated with a Sage ERP product it doesn't tend to slow down either system at all

If you are starting a business and want a free app or nearly free app that can grow with you....then apptivo could be for you. However if you grow faster than them then you will be quickly seeking alternatives

The implementation and upgrades were rather quick and straight forward.Attempting to link Sage CRM with Sage 100 ERP however was a nightmare and will be avoided by us in the future due to numerous issues.

Alternatives Considered

Sellsy is the app that comes closest in terms of feature set. It is a lot more expensive but even with its flaws and terrible Google integration is still is a measurably better product in terms of taking care of your business. Unfortunately for Apptivo it tries to do everything with its 40+ apps but not one of those apps succeed in being great when compared to the competition. The competition in all cases are much more expensive than Apptivo but it is a case of you get what you pay for.

Solve360 is probably the best Google integrated crm product on the market today however it is not a business management platform. Work[etc] is another great platform with excellent Google integration but doesn't do stock management or multi-currency. Also way over-priced!

I have looked at and used both Salesforce and Maximizer in the past. Salesforce offer similar functionality to Sage CRM at much higher price typically. Maximer has less funtionality and because of its on premise background lacks the advanced web interface of Sage CRM.

Return on Investment

  • It cost us money.
  • We lost a few hundred man hours on this. We stuck with them for a while based upon the promises received and the excellent speed at which support would reply to concerns. However fixes to the big issues still have not arrived a year later.

  • Allowed managers to have visibility into salesperson pipelines with far less communication and time spent by all.
  • Allowed more predicative information on where the business is from a pipeline perspective so we can predict future business and resource requirements.
  • Allowed us to manage our customer support more effectively with less staff and allows cases and information to be passed from one staff member to another easily.
