(UPDATE: Please note that my review was for the Version 5 of their apps. They have recently updated 2 of their main apps to V6 which show a lot of improvements. The sad thing however is that many of their 40+ apps never even made to V5 let alone V6. V5 to V6 has taken over a year and only the core apps are getting attention.)

As it stands Apptivo is only useful for one person or sole trader type entities. If your business wants to use all the apps and works internationally then Apptivo will create headaches and frustration rather than increasing productivity. They may solve many of the 100+ items we provided them with free of charge in an upcoming release, but we left with a bad taste in our mouth. Countless hours lost in our business while we acted as bug finders for Apptivo while paying for the product.

Smartsheet

Smartsheets is very well suited for building and managing project plans, no matter how simple or complex they are. Budgets are easily managed and maintained, as are scheduling dates and assigning users 'action items' and permissions, with cell-level security features available out of the box. Smartsheets is well suited for collaboration. Multiple users, if given admin or editor privileges have the ability to make changes at once, avoiding issues that often can materialize regarding versioning errors typical, as a result of multiple authors or editors.For project managers, smartsheets has multiple 'views' available, which can come in handy depending on your specific purpose. For those interested in seeing all of the details, the standard view is a table/spreadsheet type of view. For a more agile approach, or a simplified user view, their 'task-list' type view can help to easily view in a card-type of format and classify those tasks that have been 'completed' versus 'in-progress' , 'in qa' or other relevant category / classification. Other views include the Gannt chart view, which is helpful for seeing things in a calendar-like view, helpful in showcasing things like dependencies.

Pros

  • Built in support for new users.
  • Basic crm works...just dont expect it do anything well beyond the basic.
  • Price.
  • Google Apps integration is better than a lot of the competition who charge and anwful lot more.
  • They are open to and try adapt quickly based on customer feedback.

  • Smartsheet is very good at tracking tasks and generating dependencies. The user interface for accomplishing these functions is very intuitive, especially for anyone who has familiarity with Microsoft Excel. It basically takes some of the functionality of Microsoft Excel and Microsoft Project and merges them into an application that is more user friendly.
  • Smartsheet is also very good at offering connectivity and collaboration. Because of the way in which non-project management users can log in, receive notifications, and interact with the Smartsheet, it doesn't feel like it is the project manager's domain but rather something that is a tool for everyone to make use of and share.
  • Smartsheet is very accessible. As a someone who used Microsoft Project in the past, it has been much more convenient to access Smartsheet through the web rather than having to ensure I have access to the latest file or ensure that multiple people aren't trying to work on the file at the same time.

Cons

  • Homescreen claims to be the center of the application however the sub sections are mostly flawed or do not function as one would expect.
  • The built in email client kinda works but depending on which section of the app you are in the default font will be different from your signature. Also you cannot add a cell phone to staff signatures. I asked about this for months. It was never fixed. When will CRM companies learn that email is STILL the center of many business. It is unacceptable to have different fonts in the same mail and signatures that change from client to client.
  • They frequently messed up our contact data.
  • Multi currency exists on invoices but not on other apps.
  • Fragmentation with their apps....some apps are still on version 3 some on 4 and some on version 5. This means you are forced to deal with 2 or more different user interfaces within the same app.
  • No consistency between the apps.
  • Often there is little or no integration between the apps inside Apptivo.

  • We have found that Excel and Google Docs "super users" get frustrated with some of the nuances of Smartsheet compared to their regular programs. Making sure that Smartsheet is not "just another tool" that our staff has to use, discussing the differences between Smartsheet and those programs, and explaining why we chose to use Smartsheet for a particular program, makes a huge difference in staff perception.
  • A lot of front end planning and organization is needed for some of the larger projects in Smartsheet. It is best to start small and play in the software so you can learn how everything works, before developing a robust program Gantt and reporting system.
  • Our organization has looked at expanding the use of Smartsheet to report consistently across our seven divisions. However, the dashboard functionality is not quite where we need it.

Smartsheet has made my work life easier. Reduced my email significantly. Smartsheet and SaneBox have got me leaving the office with 0... Yes 0 emails in my inbox. My inbox would reach 150-250 email per day. Smartsheet brought that number down significantly and SaneBox took it the rest of the way. Do yourself a favor and check out SaneBox, too.

Our uses kept running into bugs that stopped them from doing simple things like creating a contact or selecting an item from a custom drop list which is required to save the contact or item. This of course is after time was spent filling out all the previous data which gets lost when you cannot complete the form. This is just one example of many.

Smartsheet is a spreadsheet. Everyone is familiar with spreadsheets.
That being said, comparing Smartsheet to a spreadsheet is like comparing a Golf Cart to a Tesla.

If you are starting a business and want a free app or nearly free app that can grow with you....then apptivo could be for you. However if you grow faster than them then you will be quickly seeking alternatives

Involve as many people as possible in the process, so they are not surprised by it. Get an executive sponsor to send out an email expressing their support of Smartsheet to minimize resistance.

Alternatives Considered

Sellsy is the app that comes closest in terms of feature set. It is a lot more expensive but even with its flaws and terrible Google integration is still is a measurably better product in terms of taking care of your business. Unfortunately for Apptivo it tries to do everything with its 40+ apps but not one of those apps succeed in being great when compared to the competition. The competition in all cases are much more expensive than Apptivo but it is a case of you get what you pay for.

Solve360 is probably the best Google integrated crm product on the market today however it is not a business management platform. Work[etc] is another great platform with excellent Google integration but doesn't do stock management or multi-currency. Also way over-priced!

We do use Google Drive and Google Docs for various projects, but this is a better tool for any spreadsheets we create and long-term projects that we want to track. It's also easier to keep track of changes with email notifications and the sheets don't get lost in a giant collection of documents, photos and files.

Return on Investment

  • It cost us money.
  • We lost a few hundred man hours on this. We stuck with them for a while based upon the promises received and the excellent speed at which support would reply to concerns. However fixes to the big issues still have not arrived a year later.

  • Our marketing strategies for the web and social media are much more organized.
  • It's easier for our manager to see what we're working on and the statuses of projects.
  • It was very easy for our department to implement a color coded system to track the design implementation of our advertisements.
