(UPDATE: Please note that my review was for the Version 5 of their apps. They have recently updated 2 of their main apps to V6 which show a lot of improvements. The sad thing however is that many of their 40+ apps never even made to V5 let alone V6. V5 to V6 has taken over a year and only the core apps are getting attention.)

As it stands Apptivo is only useful for one person or sole trader type entities. If your business wants to use all the apps and works internationally then Apptivo will create headaches and frustration rather than increasing productivity. They may solve many of the 100+ items we provided them with free of charge in an upcoming release, but we left with a bad taste in our mouth. Countless hours lost in our business while we acted as bug finders for Apptivo while paying for the product.

I think WorkZone is a great program for companies with simpler project management scenarios. It is not as well fitted for advertising agencies and how they operate internally and with clients

Pros

  • Built in support for new users.
  • Basic crm works...just dont expect it do anything well beyond the basic.
  • Price.
  • Google Apps integration is better than a lot of the competition who charge and anwful lot more.
  • They are open to and try adapt quickly based on customer feedback.

  • Unless you have the resources to create a proprietary project management software WorkZone was the best "off the shelf" software that I could find. It is also web based so it was easy to implement.
  • It is easy to use and easy to train users on how to utilize the software.
  • I was specifically looking for Project Management software for marketing purposes. Many of the software that is out there has been built for larger construction and software projects that may have a lot of dependencies. These types of software are too cumbersome for marketing projects and aren't user friendly. Although you could use WorkZone for these types of projects if you wanted too.
  • Like BaseCamp you have the ability to share documents and post messages but in addition, you have easy to use timeline capabilities. It was also important to be able to build different types of reports for campaigns, projects and resources.

Cons

  • Homescreen claims to be the center of the application however the sub sections are mostly flawed or do not function as one would expect.
  • The built in email client kinda works but depending on which section of the app you are in the default font will be different from your signature. Also you cannot add a cell phone to staff signatures. I asked about this for months. It was never fixed. When will CRM companies learn that email is STILL the center of many business. It is unacceptable to have different fonts in the same mail and signatures that change from client to client.
  • They frequently messed up our contact data.
  • Multi currency exists on invoices but not on other apps.
  • Fragmentation with their apps....some apps are still on version 3 some on 4 and some on version 5. This means you are forced to deal with 2 or more different user interfaces within the same app.
  • No consistency between the apps.
  • Often there is little or no integration between the apps inside Apptivo.

  • If you are not set up to use WorkZone with clients, exporting timelines to share with other parties is a bit basic. There are options to export to a pdf or Excel. It looks exactly like a screenshot, not anything impressive to show a client. It would be nice to have options to add text or contact information from WorkZone before exporting, so it looks a little more customized. It doesn't seem to have the same customization that each Workspace has.
  • Importing from Excel is a bit clunky. You have to use a template set up by WorkZone. My team has extensive Excel documents we've set up over several years as timelines, and finding a way to connect our existing timelines with the Excel template has been a bit difficult, adding a layer of work. I'm sure this would be improved if we set up more project templates in WorkZone, eliminating our Excel usage, but with the limited export settings, we've primarily been providing Excel timelines to our clients and implementing WorkZone for our internal tracking.
  • There are options to export the calendar, but it would be nice to be able to subscribe to the calendar in my Outlook, so updates are constant and not triggered by an export.

We have been evaluating workflows for other products that are not project management products. WZ allows for workflow maximization without limiting our ability to configure different processes to meet the needs of each functional area

Our uses kept running into bugs that stopped them from doing simple things like creating a contact or selecting an item from a custom drop list which is required to save the contact or item. This of course is after time was spent filling out all the previous data which gets lost when you cannot complete the form. This is just one example of many.

Throughout the use of the WorkZone software, we never had a issue with it being unavailable. This is important, considering we wanted to access our projects and see our progress at any moment. WorkZone was always available and made constant supervision of tasks and goals easy; no excuses for not checking in on the status of a project.

I have zero complaints about the performance of WorkZone; for our organization's needs, it was a perfect tool for keeping track of various responsibilities and tasks. We never experienced a lag or down-time when using the software, and the simple interface made things exactly that from our end...simple. WorkZone is a fantastic tool for work management that never fails to perform, in my experience.

The team at WorkZone is incredibly helpful and very willing to lend support when they can. Our team was constantly growing, and our new team members needed training every time someone cam on board. The WorkZone support staff was more than willing to ensure our new team members were completely comfortable using the software and set up for success.

The WorkZone trainers are wonderful! They offered us unlimited over-the-phone and online support, and the trainings were always informative. The WorkZone support team was willing to answer multiple questions and review sections of the training if need be. They were always accommodating, and trainings were scheduled very quickly for when our team needed them!

Implementation of WorkZone was very easy. We simply log into a portal online and begin to set up our projects. Access codes were sent very quickly to our team, so there was practically no delay once we signed the contract for our subscription. Training was scheduled quickly and was very helpful, especially as new team members joined our organization.

Alternatives Considered

Sellsy is the app that comes closest in terms of feature set. It is a lot more expensive but even with its flaws and terrible Google integration is still is a measurably better product in terms of taking care of your business. Unfortunately for Apptivo it tries to do everything with its 40+ apps but not one of those apps succeed in being great when compared to the competition. The competition in all cases are much more expensive than Apptivo but it is a case of you get what you pay for.

Solve360 is probably the best Google integrated crm product on the market today however it is not a business management platform. Work[etc] is another great platform with excellent Google integration but doesn't do stock management or multi-currency. Also way over-priced!

Workzone fills a need and so does ArchiOffice. I would like a hybrid program between the two or a link between the two programs. Workzone and ArchiOffice have a lot to offer our company, but don't currently hold the full package. What about linking to the Outlook calendar with notifications? Still, Workzone had helped me by managing the projects and the team members that work on them.

We are a small organization, so the need to expand our use of WorkZone was limited. I only rate it below a 10 simply because I do not have much experience with the scaleability of the product. From the previews and training sessions, it does seem that the software can easily be adjusted to accommodate a growing workload; something we may use in future, just not at this point in our organization's development.

Return on Investment

  • It cost us money.
  • We lost a few hundred man hours on this. We stuck with them for a while based upon the promises received and the excellent speed at which support would reply to concerns. However fixes to the big issues still have not arrived a year later.

  • It has positively affected our workflow - keeping projects moving without requiring constant back and forth of emails and other communications.
  • It has helped our team to avoid missing crucial steps in project and client management.
  • We are definitely more efficient when WorkZone is being used and updated properly!
