Apricot by Social Solutions

Apricot is well suited to help with output reporting. However, I don't believe it offers a narrative function. Apricot is well suited for capturing client intake, especially with is secure web form feature. However, it is not like GoogleForms where it can be used to either capture RSVP information or sign-in information for events or trainings.Apricot is well-suited for comparison reporting and discovering effort. However, I don't believe it has predictive features that can be leveraged.

ETO by Social Solutions

Most appropriate for shelter bed tracking and social work case management. It is good for tracking relevant participant information, setting a process for staff to follow, providing communication for all who work with the participant.Less appropriate for tracking casual labour work placements. Although we are currently using ETO for this, it was not designed for it and is not the perfect solution. We have it rigged up so that Entities are employers and Participants are workers.Some problems with this include:
  • Cannot put an alert that pops up for an employer (Entity)
  • When a participant is cross-referenced in an entity touchpoint (such as a work order), this touchpoint does not show up on the participant's dashboard or touchpoints.
  • Long waiting times for reports.
It is also less appropriate for scheduling appointments. As mentioned previously, there is no interface between outlook and ETO that is not beyond the expected software costs of the average Non-Profit organization. This is a vital function that needs to be included.

Pros

  • The flexibility of creating report elements and form designs is extremely user-friendly. The design elements are very intuitive.
  • I love the search feature. I don't even have to create a report! I can simply do a quick search for the combination of information that I am looking for.
  • The customer service messaging feature is something that I have used quite often. The people from Social Solutions respond very quickly and they are very thorough. They seemed to really want to help me create exactly what I was looking for.
  • The communication in the form of email updates and information on what was going on with the system was always up to date and helpful.

  • ETO is customizable, even when a feature is deemed “limited” staff at Social Solution usually know a manageable work-around and keep the end user in mind.
  • ETO staff/support are honest about the systems capabilities. They know what features are “in-the-works” and are responsive to requests.

Cons

  • Sometimes I found the step-by-step instructions hard to follow. Luckily Apricot has video tutorials and that usually helped me figure things out.
  • There were just a few times early on that I thought a couple minor pieces of info disappeared after I entered them.

  • Frontline data entry folks need to be able to see and visualize their data. Color, visuals we need these things!
  • Referral system can be improved to have more response/follow-up once a referral is sent across sites.

Currently, to my knowledge, ETO only performs well when using Internet Explorer. The software should have the ability to perform on all browsers.

We love the first tier customer support folks! They're friendly, helpful, and knowledgeable within the scope of their position. The experiences we've had with their supervisors have also been mostly good and again they seem to be doing what they can within the scope of their positions. This is what prevents me from selecting 1. Unfortunately, none of these wonderful folks can offer real solutions when things are actually broken. They verify there's a problem and send it to the black hole called "the developers". After that, we don't hear anything useful and we figure out how to live with/work around the problem ourselves. (Requests for updates typically get "still with the developer" responses.) This is highly frustrating given that most of our issues are basic system issues (functionality that worked then broke after an update by Social Solutions, servers not syncing, report universes not flattening automatically, etc.). All we want is for the system to work as designed and to be fixed in a timely fashion when it doesn't. Apparently, that's too much to ask. (And no, we don't expect it to happen instantly, programming and quality control checks obviously take time.)

Alternatives Considered

We choose Apricot because of its adaptability and customization. Our work is unique and other systems did not have the ability to capture what we needed in reports or documentation. We looked at home health documentation systems but they did not have the ability to customize to our work. Apricot is good start for us in cloud based documentation.

  • The program has allowed me to generate detailed reports on the outcomes of my program which I have used to sustain funding for my program.
  • Apricot is easy to use which saves me time, and time is money!
  • I use the search feature to collect a quick snapshot on a specific issue before going to meetings. This allows me to present fresh information to my funders.
