Apricot by Social Solutions

Apricot is well suited to help with output reporting. However, I don't believe it offers a narrative function. Apricot is well suited for capturing client intake, especially with is secure web form feature. However, it is not like GoogleForms where it can be used to either capture RSVP information or sign-in information for events or trainings.Apricot is well-suited for comparison reporting and discovering effort. However, I don't believe it has predictive features that can be leveraged.

ETO is well suited for case management, casenotes, confidentiality, and usability.

ETO wouldn’t be helpful as a financial management tool. We have had workforce and housing programs that needed administrative support, and in this way that have found ETO to be limited.

Pros

  • Apricot by Social Solutions is very user-friendly. Staff training and use has been a breeze. Staff and volunteers very quickly pick up on the navigation which creates confidence and user empowerment.
  • Apricot by Social Solutions is flexible. Organizations can adjust the software to match their structure during the implementation phase and easily make adjustments on their own after implementation.
  • Apricot by Social Solutions is affordable. It is still a significant investment for an organization that has not previously purchased case management software, but in comparing twelve different software solution options, Apricot by far offered the greatest value.

  • Web-based data entry allows for real-time data entry from staff in off-site offices and in the field.
  • Highly customizable data entry options and security rules make it well suited to comprehensive service providers where goals and service delivery approach may vary greatly by service type.
  • ETO Results, the built-in reporting tool, is very flexible and powerful, automating and replacing much of what we previously did in MS Excel.

Cons

  • Customer support could be a bit more personal. As an organization, we do not pay for any extra support packages, which means that all of our support tickets are resolved over email. This can get frustrating when troubleshooting could happen more efficiently by phone - but again, we have not purchased additional support packages.

  • ETO is not user friendly for the novice user and visually it is not pleasing to the eye. This hinders the 'buy in' process.
  • There needs to be an online registration feature so that online accounts can be created and people can apply for certain programs and services. Also, to increase communication between providers and their clients.
  • ETO has a lot of bugs that cause it to stop working during the middle of using it. A lot of error messages. Most of the people using ETO are not researchers or data analysts. They are people that like to implement services with other people. Because their weakness is already data and systems anytime the system isn't working or has an issue (which is quite often) it really discourages them from using the system.

Currently, to my knowledge, ETO only performs well when using Internet Explorer. The software should have the ability to perform on all browsers.

We love the first tier customer support folks! They're friendly, helpful, and knowledgeable within the scope of their position. The experiences we've had with their supervisors have also been mostly good and again they seem to be doing what they can within the scope of their positions. This is what prevents me from selecting 1. Unfortunately, none of these wonderful folks can offer real solutions when things are actually broken. They verify there's a problem and send it to the black hole called "the developers". After that, we don't hear anything useful and we figure out how to live with/work around the problem ourselves. (Requests for updates typically get "still with the developer" responses.) This is highly frustrating given that most of our issues are basic system issues (functionality that worked then broke after an update by Social Solutions, servers not syncing, report universes not flattening automatically, etc.). All we want is for the system to work as designed and to be fixed in a timely fashion when it doesn't. Apparently, that's too much to ask. (And no, we don't expect it to happen instantly, programming and quality control checks obviously take time.)

Went I came to work at this positon, they were using CTK, then they changed over to Apricot. Not my decision.

Return on Investment

  • Apricot by Social Solutions has streamlined communication within our organization. Within the system you can set up emails to be sent when certain conditions are met. We use these email alerts to tell our case managers when they have been assigned a client, to tell supervisors when documents need to be signed, to let our finance department know when clients under specific grants have entered or left a program, etc. In 9 months of partial implementation, over 6,000 emails have been sent through Apricot.
  • Apricot by Social Solutions has given us a real picture of how clients interact with our programs. For example, we thought that our Clothing & Household Goods program primarily served the same clients who come for breakfast or lunch. We've discovered that is not the case, and we meet unique clients through that program.
  • Apricot by Social Solutions has improved our follow up with clients. For example, in our Employment Program, we should be following up with clients 30, 60, and 90 days after they are placed in a job. We have set up a report through Apricot that tells staff which clients have hit the 30, 60, and 90 days with their contact information right in the report.
