I would advise him/her to meet with an Aprimo consultant to understand all of the capabilities of the software. I have a feeling that Aprimo does have the planning capability we urgently desire, but the training platforms Aprimo offers are very limited. Perhaps a valuable proposition would be for certain employees to become power users who are constantly seeking out improvements within our company's use of Aprimo.

I work on a team where each of us is separated individually from the United States. Workfront enables us to collectively collaborate on a common project setting individual goals. Project managers can invite users, send out updates and set goals to be marked as complete by individual users. Definitely an AAA+ option for global team project collaborations. Smaller projects with fewer working participants would most likely not benefit from the ROI for this product, however, if these smaller tasks are building to a larger project or your teams have multiple small projects running simultaneously then Workfront is for you as well.

Pros

  • If you want a program that lays out step by step processes this is the program for you. Of course you have to list all these before entering them, and hopefully the program lays things out exactly right.
  • It can allow you to see what projects you are working on, if you have the opportunity to get them into the system.

  • Workfront contains al the necessary details and documents in one location for easy reference.
  • Workfront allows anyone within the company to review a project and know exactly what has happened through the work on the project and also the current status so anyone can pick up the project and work on it if need be.
  • The organization of types of billing is a great tool to be sure we charge appropriate rates for our time. Example: Wed hours are more expensive than studio/design work, so we are able to manage billing quicker and easier.

Cons

  • Compatibility - I had some problems with my corporate firewall, internet browser configuration and the fact that Aprimo runs only on Microsoft Internet Explorer.
  • The online performance has a lot to improve. The user interface response time sometimes is bigger than we'd like.
  • Aprimo does not have native integration interface, so we had to buy another tool to integrate it with our CRM and ERP systems.

  • It would be nice if Workfront allowed a 'middle' category between a project and a task, so we can have subtitles to projects.
  • It would be great if Workfront could link to Outlook - our project orders come in through email, our project revisions come in through email, so we are always duplicating time in cutting and pasting each and every order or revision into Workfront system and then taking the update out of Workfront and pasting it in to an email, it would be great if that process could be streamlined.
  • Managing the end date for the project is difficult, the project status can't be in "complete-pending approval" if we want to push the finish date out further, so we have to adjust the status for the project, change the date and put the status of the project back to it's original status - sometimes we forget to do that after changing the date and the project goes into a place where the proper staff doesn't see it to manage it.
  • The rejection process is clunky. If the task is updated and then requires a rejection, it should carry forward the details from the update rather than requiring us to cut and paste the same information 2 times into both the update and the rejection.

Aprimo does not have a full support team in Brazil and does not have account manager to help us develop and improve our processes.
An important factor is that Aprimo is more expensive than other players in the market, so the ROI has to be very clear in order to renew the contract.
Besides these problems, Aprimo is a very powerful tool and allow us to do a lot of tracking and analysis in our contact database at the same time is a complete email manager.

Relatively easy to learn the basics, but there are a significant number of nuances. The system does not have user-friendly ways of allowing mass data manipulation in order to track large budgets over time. The only solution seems to be exporting into an Excel data dump and then performing analysis from there.

We are struggling with it though I think it’s our firewall i.e. an internal issue. Accessing the software outside or on mobile is faster.

They have a multi-tenant and single tenant option (more expensive) . We bought the single tenant option in anticipation of using Campaign Management and based upon our scale. You get more capabilities with single tenant

Customer service has been responsive and attentive in line with the service we have bought. However, any organization that wants to make investments in Aprimo should plan to make an investment in internal support headcount to serve as the first line of defense for user issues and inquiries otherwise it could become too expensive.

We are on a standard service plan. You get 8 hours/month of whatever you want to ask them. This has been good enough. Will be buying more when we implement campaign management

The training is very easy to use and you can simply choose the topics included in the course(s) that are most important to your training needs. After each training course, you are tested on what you have learned. If you need a refresher course, they provide Course Catalogs as well as instructor-led courses & workshops.

We were very well supported. TopRight who performed the process/requirements definition as well as project management functions came with ample experience with various marketing automation platforms. They also came with very good multi-channel marketing experience that allowed them to tackle this implementation as a marketing deployment and not a technology deployment. TopRight bring expertise in multi-channels strategy.

Aprimo performed the configuration and training functions. Their personnel were very well versed in their platform and brought much empathy to a deployment that required a great deal of change management.

I am stunned by how many people (from for-profit sector who work here) have not been exposed to these types of platforms. I want to make sure that folks are so accustomed to user interface. When I roll-out campaign management, teaching them the art and science of campaign management versus just learning the tool. TopRight are marketers. They are familiar with all these technologies. Their job has been to define processes, best practices and turn into training. Similar to training from Salesforce.com about funnel mgmt etc, vs. just the product. We will create training modules that are agnostic to the platform

I would recommend all user's using Workfront to go through the training material provided. Have all user's practice in the Sandbox environment and have your workflow documented for the consultant before he arrives on site.

Alternatives Considered

Unica - Both platforms (i.e. Unica and Aprimo) delivered comparable capabilities. However, due to internal limitations around technical support and technical maturity of the organization we selected Aprimo as it delivered the more user friendly user interface. Unica requires more technical saviness. With Aprimo you can be completely non-technical.

We evaluated Epsilon, but they were too expensive and don’t compete on price.

We evaluated Axciom. They offered an outsourced full service and were very powerful, but we wanted to bring capabilities more in-house. The capabilities were more advanced that we needed today. We felt Aprimo or Unica could both carry us a long way.

We did not look at marketing automation vendors like Eloqua, Marketo. From a scale standpoint, we were looking for campaign management and not just marketing automation. Also wanted MRM (Marketing Resource Management) or internal workflow management capabilities. We did not take a deep dive as they didn’t have the full suite solution

We used a homegrown project management tool for several years that had reached its limitations as far as capabilities and functionality. So, it needed to be replaced with something that was more robust as far as reporting, project management and search capabilities, to name a few. Workfront seemed like the right choice after careful review for our team and department, and we made the decision to move forward with it

We have been using Workfront for about 3 years. During this time they continue to be a very stable project management system. Workfront's overall scalability is able to handle increased loads of work. When using Workfront for a project management tool for the web team, we store documents, images & video's without any issues. They work with their customer's to provide the best project management system in the market today! I highly recommend Workfront for all project management needs. Workfront strives to deliver unique technology solutions to growing companies!

  • Workfront is an expensive tool, but it has brought a significant amount of cross-departmental collaboration into our business processes. We want everyone in the organization to use this tool--it just seems unlikely with the current pricing structure.
