I think that APS Online is scalable to any organization. It's a wonderful product and I have had so many managers that work with me that feel the same way. We haven't been with them quite a year yet but since we've started it has made a world of difference for us. Things to ask about- 1- Do they specialize in or can they accommodate states that you are working in and their various rules?2- What type of customer service? Do they have a call center or do they have a designated person like APS?3- How long do your reports stay in the system? (ADP "archived" theirs after a year so we couldn't reach them)

Kronos Workforce Ready

Administration and accounting for employees to input their hours. As long as an employee can have the training, then they can go in and input their hours. However, Kronos can be slow and it can be confusing without the training needed to input the hours. Otherwise, once you have the training it's very self-explanatory

Pros

APS

  • It's fast and intuitive. Our previous contractors were ADP and Paychex and neither were intuitive. Our payroll runs have less errors now than with previous vendors. Payroll prep time is down from 5 hours with ADP to 2 hours with APS for the HR Manager.
  • The limiters are great. I'm always afraid of that error that no one caught. Let's assume that you add a $200 limiter to overtime. Any time that a staff member is about to receive more than $200 in overtime for that pay period, a red flag goes up for the HR manager to double check.
  • We have 3 programs in public schools that block certain ports. APS has a 2nd feature using GPS so that staff can only check in for their shift while they are in the designated GPS range. Great for someone who has to report to a remote location. Just add the GPS coordinates and they can't check until they get to the project.

  • Easy synchronization with other software platforms like Nortel, NICE WFM and many more
  • User facing portal is simple to use and lets everyone keep up to date on their usage and accruals

  • Reporting - We have six different business units and the reporting is separate for all three. Most reporting I do requires information from all business units so am running six reports and then copying and pasting to get the report I need.
  • Multi-state taxes - We have a number of employees who live in New York and work in New Jersey. APS OnLine is designed to accommodate one state withholding so ability to have "worked in" state and "lived in" state taxes withheld went away. This was a shortfall.
  • The Carrier connection setup took much longer than expected. After a year, we are still having some issues with some items transferring over to the GL.
  • The CA overtime calculation does not calculate after 8 hours per day, only on the 40 per week so we override each week.
  • Reporting - when running Benefit reports, it recognizes employees who formerly carried the plan but may have dropped it. To get around this, we have to delete off the employee's record so the history is not readily available.

  • The tax piece of Kronos was the one thing that has made me slightly regret my decision to use Kronos. We have 7 EINs so we have a lot of taxes to file on a quarterly basis. The BSI system we have to use (which is a third party) is terrible. We have had nothing but problems with it. BSI has some agreement with Kronos that doesn't allow us to speak directly with BSI and it's extremely frustrating. We are on our 5th quarter of filing using the BSI system and are still having issues. This is not much of an automated process and the BSI system seems so far behind Kronos' technology. It's not user-friendly and has definitely caused a lot of issues. If there was one thing I would change about Kronos it would be the tax filing portion. Maybe if we didn't have to use BSI it would be different. The systems I have used in the past have processed our quarterly taxes for us so this was a big change for me.
  • I do not like that the system allows employees to request vacation time that they may not have available. Employees can request time off even if they don't have any vacation available and if their supervisor approves it, it populates in their timecard. I have caught several employees with negative vacation balances in the system. I think it should not allow them to request this time off if they don't have a current balance in the system.
  • When you terminate an employee, their benefits don't automatically terminate. You have to go into each active benefit and put the termination date in or your reports won't be correct. This should be something that automatically occurs once you terminate that employee.

We have begun looking for other vendors to supply this products need as Kronos WFR cannot deliver the suite of applications which it should with this product.*6/5/17 Edit - We started the new year with a new application. WFR proved to be unable to correct the errors within the application. We are much happier with the new application as we can use it effectively.

Kronos is one of the most complex systems I have used. I have not used any other payroll systems before, but it seems like there are always 10 different ways to do the same thing in Kronos. Luckily, Kronos has amazing customer support. When you are dealing with something like payroll you always want to be 100% sure you are doing it right. So things like setting up deductions, third party vendors, etc. is actually pretty easy to do but it's nice to have customer support to verify.

We were always told that Kronos was the best, but there are reports that we got out of ADP and other payroll providers that we cannot get out of Kronos. One example is a report of Productive/Non-productive hours by department. We also need the dollar amount associated with the hours. This is information that is required on our cost report and we were told that that report is unavailable. It is very frustrating when I can't get what I need.

There is one primary account representative that we contact on a regular basis. If she is unavailable, there are others on her team. It does seem that our implementation was more complex than others that have been installed, so fixes are not as easily remedied.

Kronos support is great in the ability for a representative to take our needs seriously and respond with care, however, there are times when the need for support was time sensitive (for payroll processing purposes) and the response rate caused us hiccups in our timeline. Our company also has many customized options to our package and company build and at times things were miscommunicated in regards to the builds - this was only in the beginning though and has since been great.

It would have been helpful to understand the phases of the implementation up front so I could have prepared differently for enrollments, billing, and transfer of information to payroll. At the end of the day, I'm happy with the selection and the system and anticipate I will like it better as we go along. We have done a number of other system implementations in the past few years, and this has been pretty painless, however, I've had a few surprises.

All the other payroll systems were very complicated and had a lot of capabilities that were nto needed for an organization of our size. This made it difficult to use and confusing. APS covers all our needs and does so with ease of use and great support

Kronos Workforce Ready

We selected Kronos Workforce Ready as it was priced right for what we intended on using it for. We selected them also because we have been using Kronos Workforce Central for manufacturing and it seemed like the right thing to do for consistency in processes for timekeeping. It was a bit of a long implementation but there was a lot of change management for all users, managers, and payroll as well as reporting needs and file transfer requirements from our source system. KWR is well known and we have a good relationship with them as a vendor. We are continuing to look at how to upgrade our Kronos Workforce Central application to make life easier on the manufacturing clerks and hoping to provide them with some new functionality in the process.

Kronos Workforce Ready

  • Kronos Workforce Ready has had a very positive impact on our organization. We set up notices that go to the managers to alert them if an employee shows up late for work or comes in late after lunch. It also alerts the manager if an employee is approaching overtime hours. This has helped our bottom line greatly.
  • Kronos Workforce Ready has reduced the number of payroll errors and increased productivity by having the timekeeping module flow directly into the payroll module. We used to have them hand send in paper time sheets which we had to key into the old payroll system. That took a lot of time and there was ample opportunity for mistakes.
