I think that APS Online is scalable to any organization. It's a wonderful product and I have had so many managers that work with me that feel the same way. We haven't been with them quite a year yet but since we've started it has made a world of difference for us. Things to ask about- 1- Do they specialize in or can they accommodate states that you are working in and their various rules?2- What type of customer service? Do they have a call center or do they have a designated person like APS?3- How long do your reports stay in the system? (ADP "archived" theirs after a year so we couldn't reach them)

Paymo

Well suited: tracking time, making notes to share with clients, live reporting. Less so: tracking and bookkeeping - they don't market it as a bookkeeping app, though they do allow for invoicing through it. Still, my needs are such that I use a separate app for tracking receipts against a project and then invoicing clients.

  • Paymo has a great (and customizable) at-a-glance dashboard. From there I can see upcoming milestones, how my employee billable and non-billable hours stack up, how accounts receivable is doing, etc.
  • My whole team loves the Paymo desktop widget. It makes timekeeping really simple and intuitive, and it helps us stay profitable. Timekeeping is always tough, and Paymo makes it as easy as possible!
  • Paymo customer support is fantastic! They really listen to the requests that their clients make. They even have an online community set up where you can submit suggestions, discuss suggestions with other clients and Paymo employees, and see the Paymo development path.

Cons

  • I have been disappointed in the communication between the programming department and its clients. I'm very impressed with the representatives such as Georgia, April and team, but not pleased with the turnaround time on solving issues. There was very little communication and only when I started the communication was there a reply.

  • The main area for improvement is exportability of data. It's tough to get full data out of Paymo. You can export most things in CSV format, but if you were to start with Paymo and want to switch to another project management and accounting platform, there would be substantial manual effort involved.
  • There also aren't as many integrations for Paymo as some of the more mainstream project management suites. This isn't necessarily Paymo's fault. It's just a function of them still being one of the "little guys." Something to be aware of before you select this platform though.

In general, it's a great system to use. We were looking for simplicity and ease of use and have received raves from our employees in their ability to access and make use of the system. There is still so much more that we have yet to gain as we continue working through each of the modules.

There is one primary account representative that we contact on a regular basis. If she is unavailable, there are others on her team. It does seem that our implementation was more complex than others that have been installed, so fixes are not as easily remedied.

Paymo lets me track to the minute - even going back to add in time that I wasn't able to track via the app. This has been wonderful as clients might call with something quick but when I'm not able to turn on the tracker, yet I'm still able to appear to them as if I was sitting by the computer eager waiting to help. Further, the amount of notes that I'm able to put into the tracker has allowed me to include more details on live reports and invoices that I was able to do with other apps. This meant that I didn't have to track those tasks in too many spots, easing potential confusion and saving time.

Return on Investment

  • Cost wise, APS is a great price. It has been very helpful in our Cost Center Development plan.
  • The cost has stayed the same over the past few years. Each year we add a new product.

  • Paymo has resulted in a positive ROI for my company. It should be noted that we're grandfathered in on their old billing rate, which means our subscription costs are substantially lower than a new client's would be.
