Aptean Intuitive ERP

If you have a programmer and are willing to let them learn the system and want software to function the way you run your business this may work well. If you do not have a programmer on staff and are willing to change your business to match the software but think in the future you may wish to modify your ERP software this may work out well. If you want something you can modify quickly this is not a good choice. If you do not wish to modify the code nor your business practices an evaluation would be required. It does allow substantial modifications, but there are areas it may not fit with your business so well. It is possible that Intuitive may happen to make the options you require available in the future.

For small and medium business in the distribution and light manufacturing space, Sage 100 is probably the best bang for your buck. As a very scaleable system, you can modify the system to meet the needs of a growing business without making gross changes to the core of the system

Pros

  • Easily allows adding fields to the database. The data manager reads all fields, so just adding a field automatically brings it over.
  • Optionally purchasing a tool called "Form Wizard" allows non-programmers to add new fields to a form and move around existing fields freeing up the developer to work on other things.
  • They have a wrapper for the DevXpress grid which allows individual users to add and remove columns pertinent to their specific job.

Cons

  • Documentation. The design of en extensible system works well once you figure it out. Some things can be tricky and time consuming.
  • They provide no support for customizations. I can understand not wanting to help write specific custom code, but they refuse to even tell anyone what a method on a base class does unless you pay them $200 an hour.
  • Their proprietary design can cause modifications to take longer. If you use one of their forms you can not load it, you must call their launch function and put you code in the "Execute" method. If they were more standardized the documentation issue would not be so bad.

  • A key missing function is to be able to track serial numbers and lots independent of item valuation method. The system will not track serial numbers for standard cost valuation items.
  • This is a killer for manufacturing operations, which often use standard cost accounting.
  • The non-work order production process, Bill of Material Production Entry, has no way to schedule a planned production order.
  • If you could create a production order like a sales order, then light manufacturing operations would not need to implement the work order module (one of the most complex modules) in order to show planned production supply in MRP.
  • Inventory Warehouse Transfers are currently instantaneous. There is no way to schedule a planned transfer with ship and arrive dates. No transfer in process documentation.
  • This makes it difficult for MRP if you need to transfer material from one warehouse to another and need to factor in transport time.
  • Reconciling Purchase Price Variance in the GL with sub system transactions is very difficult. Critical for Standard Cost Accounting PPV analysis.
  • If the sub system transactions showed the transaction line standard cost and PPV value, then it would be much simpler to reconcile with the GL transaction data.
  • While the work order module works, it is not very user friendly. Just getting a work order to the point that you can work on it is a multi step process requiring running posting reports.
  • The work order partial completion costing logic is inadequate, requiring 100% of the WIP dollars be issued to the work order before doing a partial completion.

I would put this out to bid, if I were at the same organization. There have been a lot of improvements and changes in enterprise software and my preference would be to find a good web-based or cloud-based tool. Lower overall cost of ownership and improved efficiency would be my target criteria for a rebid of this.

We had an advantage in implementing the tool in that our director of Ops had been part of the team implementing the ERP for other users so we knew what to expect and were able to avoid a lot of the challenges people sometimes face with implementations. However, the process still took far longer than desired.

  • It is difficult to measure how well business would have done without the software.

  • For what we pay for Sage it does the basics of what we need it to. We could pay more and get more, but frankly don't have the time for training on the other options we could unlock.
