We use the Apttus CPQ primarily to configure complex engineered products. We are able to manage numerous technologies and install new technologies quickly. This is a key advantage as new products do not require an additional software build, but a simple data load of the validation rules. This tool has transformed our customer engagement process, and it allows us to enable customers to enter their requirements for us to review. This is much better than interviewing customers and entering data on behalf of the customers

Conga Composer

It's ideal use is to be able to create a template document in a way that reports don't. For example, we wanted to provide an executive summary when our C-level execs were going in to talk to prospects or customers. Rather than having the exec dig around in Salesforce, we identified the key fields that would provide the proper executive summary of an account, created a template, and used Conga Composer to create those summaries when we needed them.

Pros

  • Tracks contract status. It's basically a time stamping function and hard to mess up.

  • Provides a ton of flexibility on how documents are configured in terms of, which fields it pulls from Salesforce and how/where they can be displayed in a document.
  • Also very flexible in terms of document output. For example, I only wanted pdf versions for my sales reps but I wanted the option to do PDF or Word for me (as administrator) so I could make manual tweaks if appropriately approved by management.
  • The support staff at Conga is extremely helpful. Their app "language" isn't self explanatory, at least not for someone as unfamiliar as I am with coding. Therefore I relied heavily on their support team to help me configure the app to do what I needed. They always delivered!

Cons

  • I think Apttus is to heavily reliant on Salesforce and that you should have the option to create an account without a SF number
  • Considering that it's a CRM, I think the interface could stand to be a bit more reader friendly and geared towards legal users as opposed to Sales
  • Configurations and data loads are very cumbersome and I wish that you didn't need a Salesforce administrator to create customizations.
  • When creating new contract clauses for an account, many were duplicative because that function is very sensitive and would duplicate at the slightest unintentional flinch of the mouse.

  • While their support team is amazing, it's because their code language isn't easy for a novice as me. This shouldn't really be a Con, but it did prevent me from being self-sufficient when trying to build out new functionality or fix something that wasn't working as intended.

Implementation is hard no matter what software you use, so depending on the employee bandwidth at the time of renewal, I would consider transitioning if another software that was drastically better came along.

It's a big part of what we do internally, so would renew as it saves us time and is part of our process. In order to switch we'd need a good price break with same functions available

Tier1/tier 2 support can only handle native functionality. Customizations have to be escalated to developers which aren’t included in the support program.

I go ahead and copy the people I directly worked with on implementation for assistance. I would rate them an 8 for support assistance.

We attended 5 hours worth of webinars early on.

We had to understand how objects worked to figure out how to structure our data.

I would have liked more in-depth training but it would have been an additional cost

Be iterative. Take the opportunity to build a catalog based on how Apttus works well. Learn the tool yourself or use an SI. Take the time to build a configuration / pricing migration tool with X-Author for Excel or roll your own. Stick with OOTB Apttus as any customization will cost you every time a new version is released

We chose Conga due to the price point (cost for licenses). It was among the more affordable options but we did not have to sacrifice quality. In addition, the integration with Salesforce is key for us. We are able to connect student interactions and actions with our mailings. We also like how it is user friendly

  • Generated more than 12,000 quotes since we installed 3 years ago. Related to >164MM in deal bookings.
  • Training is not straight-forward as each instance is different. So, having a tools ops person to understand the deep offering is important.

  • We have been able to integrate our mailings with the activity history within Salesforce.
  • Integration has been key to allow for our internal users to track mailings and to communicate expected time lines of mailing to our students.
  • We have been able to continue the level of personalization we like to have when working with prospective students.
