Likelihood to Recommend

Apttus

I would not recommend this product to anyone. This product is hard to manage, requires development in house which becomes expensive. The tool itself is extremely expensive for the features it delivers. And ultimately, the sales "bait and Switch" will occur on you, which will require you to buy more licenses or add-ins that were not planned on to get the desired feature set.

Generation of documentation based on Salesforce data is a great use case for Conga. A Salesforce administrator can learn Conga easily and start building documents. If you have developers available who know Salesorce well and you have Enterprise edition of higher of Salesforce then Visualforce can do almost anything that Conga can do. A developer can create documents without using Conga.

Pros

  • Fully integrated with Salesforce.com. Allows for the seamless update of all objects on the SFDC platform. As primary quotes are updated, so to are the opportunities.
  • Supports integration with Avalara for Sales Tax and Docusign for E-Signature.
  • Supports the quoting of product that requires customization that results in a dynamic cost, MSRP and customer price.
  • Significant amount of R&D is being invested in to the platform. Many of the items on our wish list have already been incorporated as a standard feature or on the near term roadmap.

  • Provides a ton of flexibility on how documents are configured in terms of, which fields it pulls from Salesforce and how/where they can be displayed in a document.
  • Also very flexible in terms of document output. For example, I only wanted pdf versions for my sales reps but I wanted the option to do PDF or Word for me (as administrator) so I could make manual tweaks if appropriately approved by management.
  • The support staff at Conga is extremely helpful. Their app "language" isn't self explanatory, at least not for someone as unfamiliar as I am with coding. Therefore I relied heavily on their support team to help me configure the app to do what I needed. They always delivered!

Cons

  • The administration burden is very high. There are a lot of objects included and they link to each other.
  • If all you are looking for is quoting, then it’s I feel that it’s overkill today.
  • In hindsight, I would have hired a developer to customize Salesforce.com. A step up from the basic Salesforce.com functionality is what we really need.
  • There were a couple of solution options in between customizing Salesforce.com and Apttus, but they weren’t able to do configurable bundles and handle our pricing.
  • Frankly, our needs have simplified from our original search.

  • It has improved over the years but there are times when the reports run slowly.
  • I would like to see more of an email functionality.
  • Online tutorials.

Likelihood to Renew

The business is not seeing the value and we are not ready to use the features.

We will likely switch back to native Salesforce.com and customize it to meet our needs or find a smaller vendor

It's a big part of what we do internally, so would renew as it saves us time and is part of our process. In order to switch we'd need a good price break with same functions available

Support

Tier1/tier 2 support can only handle native functionality. Customizations have to be escalated to developers which aren’t included in the support program.

I go ahead and copy the people I directly worked with on implementation for assistance. I would rate them an 8 for support assistance.

Online Training

Apttus7.0
Based on 1 answer
We attended 5 hours worth of webinars early on.

We had to understand how objects worked to figure out how to structure our data.

I would have liked more in-depth training but it would have been an additional cost

Be iterative. Take the opportunity to build a catalog based on how Apttus works well. Learn the tool yourself or use an SI. Take the time to build a configuration / pricing migration tool with X-Author for Excel or roll your own. Stick with OOTB Apttus as any customization will cost you every time a new version is released

Alternatives Considered

I cannot recall the names of one other CRM that we reviewed. Apttus won because Upside went to an enterprise model and we no longer met their standards. Selectica was priced high if I can recall correctly and I think they did not have the Salesforce component at the time.

In my mind, Conga blows away all the competition. The templates are extremely versatile and don't require any additional software (other than MS Office) in order to design. The support that Conga provides is world class and I never had a negative experience with them; all cases were resolved within a day or two of being opened. There is also an incredible amount of e-learning information available to help you get up and running.

Return on Investment

  • Generated more than 12,000 quotes since we installed 3 years ago. Related to >164MM in deal bookings.
  • Training is not straight-forward as each instance is different. So, having a tools ops person to understand the deep offering is important.

  • Has made staff more productive by allowing them to take less time on document generation.
  • Has given us easy insight into what documents we have generated and when.
