I would not recommend this product to anyone. This product is hard to manage, requires development in house which becomes expensive. The tool itself is extremely expensive for the features it delivers. And ultimately, the sales "bait and Switch" will occur on you, which will require you to buy more licenses or add-ins that were not planned on to get the desired feature set.

To be fair QuoteWerks is not for everyone. There are less expensive and very capable quoting solutions out there. If your needs are modest it could be overkill. If you need a simple solution look at other options. However, if you have a need for tight intergration with Salesforce.com and the need for a sophisticated state of the art quoting and proposal tool check out this program. You should also consider QW if you require flexibility and capabilities that can grow with your business. This program has an incredible number of features, integrations and capabilities. The pricing model is less expensive than many lesser subscription models and the service and support is top notch. The downside is the lack of a fully cloud based solution and clunky user setup and migration to new machines. Although the set up and migration is inconvenient it is manageable. It's this set up and migration issue that knocks a point off the rating scale. Other than that I am a delighted with this program

Pros

  • Ability to manage large quantities of validation rules necessary for complex product builds.
  • No product addresses a company's requirement right out of the box, but Apttus CPQ is built on the Salesforce.com platform which is a distinct advantage for us. It allows us to build functional extensions, and customize the application to our specific usage.
  • Service and support is the key for any product, and Apttus has always made efforts to support their products with continual improvements.

  • QW produces a very "finished" looking quote to the end customer.
  • It allows everyone in the organization to have access to each others quotes for consistency.
  • Because QW integrates with our CRM (ACT! 2016), we are able to better track our opportunities and follow up on open leads.

Cons

  • The GUI design of Apttus is configurable but prescriptive. If you want a very specific look and feel, it will take some effort to do so. There have been some modern design updates recently using AngularJS. Check it out to see if it works for you.

  • The data structure that is required to set up the "price books" behind the scenes is a little cumbersome until you learn how to do it and practice.
  • The sync function for the data is sometimes a little slow in the Standard and Professional editions because of the Access back-end. The Corporate edition uses a MS SQL back-end and is better.

It is critical to our sales process. We are not satisfied with all aspects of the product and have gone through many tough experiences with their PS, support, and PD teams -- but we're not unhappy enough to re-build what we're already built

The main reason I would consider using Quotewerks again is because of how easy it is to train users to use, integration with other products, and the time it saves a company when creating quotes for current customers. I have also used Aspire's technical support several times, and thier software engineers are top notch and are always willing to listen to improvements suggested by their users.

In my experience, QuoteWerks is incredibly easy to get started with and very intuitive to putting together your first quote. It also has a depth of features that has not only allowed us to enhance our own internal quote / order / invoice production, but also implemented into other businesses has increased their quote production significantly.

Once set up and running, and particularly when running the more reliable, faster Corporate edition rehosted to SQL Server, then QuoteWerks performs very well. The only reason for the slight mark down here is that QuoteWerks is very sensetive to having a database connection. If there is an issue whereby the connection to the server is lost (network glitch for example) then whereas Outlook (or a.n.other piece of software) might just wait and poll in 30 seconds time, QuoteWerks will crash and potentially a User lose all changes to the document(s) that they were working on.

Quotewerks Support and the UK Distributor here have always been responsive to our requests and in particular helped us out when we need some new functionality which then got added in the next build...this really impressed me and showed that where case was made, they readily embraced it and the new build was completed within 60 days.

Be iterative. Take the opportunity to build a catalog based on how Apttus works well. Learn the tool yourself or use an SI. Take the time to build a configuration / pricing migration tool with X-Author for Excel or roll your own. Stick with OOTB Apttus as any customization will cost you every time a new version is released

Well, like implementing any software, I'd recommend either 1) installing it to a test PC first and either reading the manual or 'playing' with it to understand how it will work for your business before trying ti implement it, or 2) bringing in a third party (like us!) to assist in the implementation process.

Alternatives Considered

I cannot recall the names of one other CRM that we reviewed. Apttus won because Upside went to an enterprise model and we no longer met their standards. Selectica was priced high if I can recall correctly and I think they did not have the Salesforce component at the time.

At the time that we selected QuoteWerks there was not quoting software "married" to ConnectWise. We viewed both products and since the products were very similar we chose the product that more closely fit our budget. QuoteWerks fit the bill.

Return on Investment

  • You have all irons in one system. Previously, we were fragmented - we were on paper contracts, some in our ERP, others in PDFs on someone’s desktop. The importance of having all data in Salesforce.com in a standardized fashion has become blatant.
  • Avoiding more custom system maintenance burden. We try to use out of the box as much as possible. When considering what you do customize, make sure there’s a good business reason for it.
