If your business has simple pricing rules, a less full featured solution may be more appropriate.Apttus CPQ is an easy system to administer, using the same object logic as the Salesforce platform.We implemented Apttus for virtually all of our sales representative processes, and in doing so found that we virtually eliminated speculative ordering.

Zuora

Zuora is very well suited for companies that are wishing to manage subscription based products. Zuora has the capability to act as a company's primary revenue and invoicing system or it is suitable to be one of many revenue generating systems depending on the products provided. Zuora's reporting tools are solid but lack some ease and clarity. A company may find it easier to extract data into a warehouse and then manipulate separately

Cons

  • Change management: Pricing changes are difficult to deploy, no regression testing for existing configurations.
  • Administrator usability: Very easy to create problems with price list items firing unintentionally which leads to price list item sprawl. No holistic testing tools to make sure you've set up pricing / rules the way you intended.
  • X-Author has limited capabilities to include related objects - our Quote header object has several hundred fields that serve no purpose but to make form generation more stable / faster.

  • The concept of not having a credit memo is quite frustrating. Their are times when we do invoice item adjustments that relate to things such as bad debt, foreign exchange differences etc however their is no option to select these accounts. We are limited to only the revenue account which makes us perform a manual process on the back end to get the accounts correct.
  • The MRR and CV metrics are not accurate since they don't include discounts which is basically worthless in our Sales Environment. We have to derive this metric from other data sources outside of Zuora.
  • The Accounting functionality is extremely lacking. The trial balance isn't accurate which makes this worthless to us as well.

Implementation is hard no matter what software you use, so depending on the employee bandwidth at the time of renewal, I would consider transitioning if another software that was drastically better came along.

Tier1/tier 2 support can only handle native functionality. Customizations have to be escalated to developers which aren’t included in the support program.

I go ahead and copy the people I directly worked with on implementation for assistance. I would rate them an 8 for support assistance.

While responsiveness is great, sometimes it can take some time for them to tell us what's going on, even if the problem is not really a Zuora issue, but rather an issue on our side.

Be iterative. Take the opportunity to build a catalog based on how Apttus works well. Learn the tool yourself or use an SI. Take the time to build a configuration / pricing migration tool with X-Author for Excel or roll your own. Stick with OOTB Apttus as any customization will cost you every time a new version is released

I think Zuora did a great job. However, they could have provided more guidance on how to deal with out Payment Gateway and Processor provider, as well as guidance around providing a Mobile Responsive experience for sites using the Zuora HPM.

Alternatives Considered

The key determinate was level of integration with Salesforce and the ease of configuration. We needed a tool that we can evolve with. We view Apttus as a tool that will grow with us as we mature.

The UI and ease-of-use was really great in Zuora. The Salesforce integration was truly impressive. We liked the flexibility we could have within Zuora for various custom selling models, product catalog. Zuora really seemed to fill a sweet spot. Other systems were large but cumbersome and would easily require IT resources to help support the staff that would be using those systems but not so in the case of Zuora. Zuora was intuitive and easy to pick-up and provided a path for growth and integration
