Aralco Inventory Management

Aralco Inventory Management is well suited for a retail operation with one or two locations that is expanding to 5+. At that point, there is small enough start-up costs and significant benefits available for this software to assist a company with the inventory and POS challenges associated with rapid growth. Aralco Inventory Management is also particularly helpful for retail companies that have complicated sales orders or a sales fulfillment time that is longer than a day or a week.

NetSuite

NetSuite is fantastic for accounting purposes. Our accountants are able to map new accounts in NetSuite and have that information pull in automatically. They can also drill into any numbers that don't make sense and understand what bills or accruals drove those numbers and have the ability to pull up the PDF of the bill/invoice in question to identify if it was booked to the correct GL account. All of this can be done in just a few clicks and makes the accountant's job significantly easier. However, it is not best suited for forecasting and modeling. If you are trying to forecast next month or rest of year's numbers, NetSuite is not the ideal tool.

Pros

  • Retail focus
  • Single source for all inventory control requirements
  • Power-to-cost ratio
  • Training package
Jeff Looby, CPA profile photo
  • Financials - A/P, A/R, GL. Netsuite started as a financial package so I feel it is still the software's core strength.
  • Integration of information - all modules work seamlessly and there are no module updates that need to be made for accurate reporting.
  • Kitting & manufacturing - most of our products are combinations and assortments of other items that we carry and Netsuite handles inventory tracking through all phases very well, utilizes multiple unit types and updates from sales or work order builds. Inventory allocation for these items is very accurate.

Cons

  • Lengthy set-up process that requires strong management
  • High base hardware requirements (can't be used with just a phone, for instance)
  • Inventory forecasting is not linked to any external or macro forces
Jeff Looby, CPA profile photo
  • Customization requires significant time investment. The learning curve is steep. You either need a dedicated resource to have the skill set to build these customizations for every department and every user or have money to invest in additional customization from NetSuite developers.
  • Compared to some other systems NetSuite is very intensive to build business intelligence from. It does not do three dimensions of data very well so you have to export into a BI tool, or even Excel. So you have to build multiple one or two dimensional saved searches and do the combining of them in a more user friendly platform.
  • The CRM functionality also falls victim to the complexity to customize. If your sales process is well defined so upon roll out, there is little change then there is no issue. However, if you are a startup or building out and revising your sales processes then you will experience frustration as either you need to spend the time and energy to make adjustments yourself or pay for NetSuite consultants to customize which isn't always in the budget for younger companies.

Year over year cost increases are high. There is also limited ability to go onto another system. We reduce the YoY increase, and with the new versions, the full scope of features available, the ease of customization, it is highly likely we will renew. With the ease of adding features/modules this makes it higher a probability. But the YoY increase, brings it down. The inability to switch platforms is a push (which for some is a bad thing). All things added up, I am all in

Through creation of various dashboards and KPIs the user does not really need to get very technically involved. They simply need to understand how to fill out a form, and through proper workflow creations they can be alerted when it is time to provide the necessary information or perform a necessary action to complete the next phase of the business process.

Most of the time the performance is very good. Pages load in a few seconds; financial reports take less than 5 seconds; basic searches take a few seconds. But performance can be sporadic throughout the day and cause the run time to triple.

In my opinion, the best place to go to answer your NetSuite functionality questions is their Online Help. It is excellent. For true support questions, NetSuite offers a Knowledgebase to its customers. Also, for ERP, NetSuite has licensed accountants that provide support. With any support organization, you must be thorough in describing your issue though.

NetSuite has several different support levels - http://www.netsuite.com/portal/services/support_main.shtml

I wasn't here for the implementation, but from what I've seen, I would rate it a 5-6.

I would recommend contracting with a NetSuite partner.

Data migration can be a big driver of implementation complexity.

Alternatives Considered

No answers on this topic
Netsuite lacks in customization when compared to a lot of the alternatives. The communication and tasking is weaker when compared to other tools. The advantage for NetSuite is they are a complete platform so the best, total package, alternative is Zoho and Zoho books. They are not as robust as NetSuite which, since finance owns the system, we are going to pick a system that makes our lives easier vs. sales or project management. While Netsuite may not be as strong at CRM and project management as other stand alone products, holistically this tool does provide an adequate ability to do all things within one platform

We have been able to scale our business 25X without any major overhaul with Netsuite. Its dashboard setup makes onboarding new employees very easy and allows data to be shared across multiple offices. Its cloud setup does not put any pressure on IT to scale servers or other infrastructure. We have been able to become much more efficient in all aspects of the business.

Return on Investment

  • Short training time reduced costs and increased sales which increased ROI
  • Less downtime which reduced costs and increased ROI
  • Good customer support which boosts employee morale which leads to efficiencies and higher sales which increased ROI
Jeff Looby, CPA profile photo
  • The biggest benefit is time saving on billing and deferred revenue. We switched from Quick Books which didn’t have deferred revenue sub-ledger. We had to build manually in Excel and generate manual invoices. In NetSuite, once you set-up a sales order, they have a billing and revenue recognitions schedule . You can batch bill everything in that month which saves a heck of a lot of time. You just need to review entries made for reasonableness. We reduced workload about 20 hours per month. We always had 2-3 people working on billing, invoicing, revenue side.
  • We also took 2 days out of close process.
  • There is a lot of value to having things in an actual database that you can query and run reports. This leads to reduced risks of manual error; enables security and version control of spreadsheets; and allows multiple people to work at the same time without version control issues. We ran into issues before. Often times you were in read only then couldn’t save changes. I always had 2-3 people working in parallel, so this was problematic – waiting your turn. This is how we took time out of close - by not having to wait for others and enabling work in parallel.
