Basecamp

Basecamp is well developed, lets you manage project easily without any problems. It has multiple categorizations so that team members can work on an individual category without any clashes with other members. Easily manages tasks, you can move one task from one category to another if you have placed it in the wrong category. It is the easiest conversation saver in order to stay on track and maintain the flow of project sharing messages back and forth. It also helped us by saving our documents and client files on a central location so that we can get any file whenever we require. It is easy to use and compatible with many devices. It has great features like :

Pros

  • Time tracking because you can account for almost every single minute of your day with detailed descriptions attached. The reporting of time came in very good use when clients questioned billing.
  • Robust billing portal that was pretty customizable.
  • Could track employee costs well once the correct numbers were placed into the system. Came in very handy for billing and company budgeting and projections.

  • The Activity Feed allows for a great overview of what's happening to be able to quickly see where things are
  • Anyone can create a to do and assign it to anyone, so people are empowered to take ownership over projects.
  • Is pretty easy and straightforward to get started and creating To Do's and Projects

Cons

  • The overall layout and physical design of the portals could be simplified greatly. The program is anything but intuitive to use.
  • I found myself clicking what felt like a 1,000 times just to complete one small task. Billing was very cumbersome and the program did not integrate smoothly with Quickbooks as was previously promised.
  • Saving and making templates for billing etc. was a tedious process that also cost extra!
  • The program is as good as what you put into it, but they designed the software for a more particular one-sided way to work and manage, so it made customizing a project to your companies methods tricky.
  • Overall a very cumbersome program that looks as if it was designed at the start of the millennium and note 16 years into it.

  • No dependencies! I wish so much that dependencies were an option. So often we have to remember to manually assign the next To Do to someone after something has been completed and it's easy to forget this. So that this human error can be avoided, dependencies would help with this greatly.
  • It took a long time for us to figure out how best to fit Basecamp into our work flow, who was responsible for what and how our processes would best work. It's great now but it probably took us a solid year before we got to the point where we had smoothed out the rough edges and felt like our processes worked perfectly within Basecamp.
  • You sometimes have to be careful about where you are placing information: in the comment v. the note v. commenting on the list v. commenting on the To Do. Depending on who has been checked to received a notification, not everyone will receive the information. This isn't necessarily an issue; it just means you have to be very careful about where you are placing information and double-checking that the people you want to be notified will receive it.

I find it extremely easy to use, though as a tech-savvy person, it takes some fairly obnoxious software for me to have difficulty. However, I have found that occasionally some clients don't understand how the subject line and discussion body work when creating a new post, and sometimes have difficulty understanding where to respond and will create new threads with feedback, rather than replying on the old one. I don't think Basecamp can help this, however, without severely annoying those of us who find it highly intuitive.

Decide the process before implementation - i.e. when it's due 8/9 does that mean 8am, noon, 5pm, 11:59pm? Check your to-do list frequentlySet-up templates - just not with the dates (they can be funky)

Alternatives Considered

I love Harvest, especially compared to Archioffice. It's very intuitive, simply designed and easy to use. Perhaps the billing isn't as robust or customizable as Archi, but I would take it over Archi any day.

I've used Evernote in similarly collaborative projects, but it always comes up short in collaborating in more creative and innovate ways. For example, Basecamp provides access to more robust things (like Gantt charts) and more advanced project management tools, but Evernote didn't have anything of the sort. Simply to-do lists, that could be assigned. But you're never notified when changes are made like you are with Basecamp

Return on Investment

  • It positively organized our time tracking and the reporting was robust enough to use for client meetings.
  • It negatively took up more time to do certain tasks that shouldn't be so time consuming.

  • Basecamp has allowed us to work better with third party vendors or suppliers on projects by providing more transparency and in return have seen quicker response times when tasks are relying on one team or the other.
  • The costs are low but they do not outweigh the benefit to use Basecamp as an internal system for project management.
  • The time saved on avoiding wasted meetings for simple updates has been more than beneficial on a time management perspective.
