FreshBooks

We used Freshbooks as an alternate source of invoicing (we use Stripe for recurring billing) and it works well in this setup. It is not meant for invoicing for Software-as-a-Service products.

Pros

  • Time tracking because you can account for almost every single minute of your day with detailed descriptions attached. The reporting of time came in very good use when clients questioned billing.
  • Robust billing portal that was pretty customizable.
  • Could track employee costs well once the correct numbers were placed into the system. Came in very handy for billing and company budgeting and projections.

  • Invoicing - FreshBooks basically ensures our accountants spend less time on invoices via its automated invoicing system, which sends invoices to our customers and clients alike and also send them regular reminders for them to pay up their bills.
  • Collecting business insights - FreshBooks enable our company analysts measure our business performances via data reports provided by FreshBooks' intuitive dashboard. Allowing us do a comparative analysis of key business metrics of a current month against past months and determine if the business is growing.
  • Expense tracker - We have recently embraced FreshBooks as an expense tracker for teams at our company branch. Thusfar, FreshBooks has performed very well, making our expense management a perfect operation; ensuring teams do not exceed their planned budget and also eliminating the need for tracking expenses on excel spreadsheets.

Cons

  • The overall layout and physical design of the portals could be simplified greatly. The program is anything but intuitive to use.
  • I found myself clicking what felt like a 1,000 times just to complete one small task. Billing was very cumbersome and the program did not integrate smoothly with Quickbooks as was previously promised.
  • Saving and making templates for billing etc. was a tedious process that also cost extra!
  • The program is as good as what you put into it, but they designed the software for a more particular one-sided way to work and manage, so it made customizing a project to your companies methods tricky.
  • Overall a very cumbersome program that looks as if it was designed at the start of the millennium and note 16 years into it.

The FreshBooks user interface is easy to learn. In terms of ongoing, every day use, FreshBooks is very simple and allows me to do all the things I need to with an accounting software, while not having to be an accountant. I can use FreshBooks on the go with the mobile app as well

I give 8, I just take out 2 points because they do not have chat support and secondly turnaround time is about 24hrs.

Alternatives Considered

I love Harvest, especially compared to Archioffice. It's very intuitive, simply designed and easy to use. Perhaps the billing isn't as robust or customizable as Archi, but I would take it over Archi any day.

I used PaySimple for some period of time. I wasn't happy with the extensive paperwork and rules it imposes. I do use it for ACH transactions for recurring payments from some clients because of the extremely low transaction fees. Otherwise, it was just another time waster. I considered Blinksale, and I believe it provides a nice set of capabilities. I know other people who are very happy with it. However, I was sold on FreshBooks to get the combination of invoicing and financial management capabilities in an easy to use package with good support.

  • The amount of time it saves me is difficult to calculate but it's immense. Once you have a client set up it's so easy to invoice them - whether it's adding expenses and having them recouped or setting up recurring invoices.
