WORKetc

Since WORKetc encompasses so many aspects for a firm or company, it's hard to determine where it's less appropriate. It's been an amazing tool for front and back stage usage at our company. You get the client management side to keep everyone updated on all of our contacts as well as tracking all communication to them at an individual and firm/company level. You get the lead area where we are able to create our sales leads; update notes and track appropriate communication to those to again, keep everyone updated on them. You also get the project management piece that will help with the front facing pieces from the beginning through the end.

Pros

  • Time tracking because you can account for almost every single minute of your day with detailed descriptions attached. The reporting of time came in very good use when clients questioned billing.
  • Robust billing portal that was pretty customizable.
  • Could track employee costs well once the correct numbers were placed into the system. Came in very handy for billing and company budgeting and projections.

  • Time tracking - track everything to specific tasks, clients, or projects, and know exactly how much time you've spent on it. The time-tracking also allows you to budget for a similar to job, so you can quote prospects appropriately.
  • Project management - have discussions across your departments regarding projects, leave notes for Clients to see through their online portal, develop a timeline and tasks that pop up automatically during that timeline.
  • Expenses - attach receipts or invoices in the expense window and track each expense to a specific task, job, or client. This also helps tremendously when billing your clients, as well, because, if it's been entered, everything is all together under the company you're billing.

Cons

  • The overall layout and physical design of the portals could be simplified greatly. The program is anything but intuitive to use.
  • I found myself clicking what felt like a 1,000 times just to complete one small task. Billing was very cumbersome and the program did not integrate smoothly with Quickbooks as was previously promised.
  • Saving and making templates for billing etc. was a tedious process that also cost extra!
  • The program is as good as what you put into it, but they designed the software for a more particular one-sided way to work and manage, so it made customizing a project to your companies methods tricky.
  • Overall a very cumbersome program that looks as if it was designed at the start of the millennium and note 16 years into it.

  • I am hesitant to sync contacts between Gapps and WORKetc. I played with it a bit and found it confusing. I can see what the intent is but think the feature could be a bit more intuitive.

It works, the support is decent and it is not a vertical product (you will spend more using vertical products and trying to get them to interface then paying for a turn key solution like Worketc).

They load quickly. Recently I have had an issue ( I still have) where when I click on the WE logo in Google mail there is a step between. That is an error. Needs to be picked up. Will report to support.

The implementation of the system was fairly easy. Because of our previous experience with a similar system, we were ready and working on the product as soon as we announced the switch. The system also allowed us to simplify our processes by integrating timesheets and project management directly into our CMS.

Alternatives Considered

I love Harvest, especially compared to Archioffice. It's very intuitive, simply designed and easy to use. Perhaps the billing isn't as robust or customizable as Archi, but I would take it over Archi any day.
