If you are looking for a way to organize customer data and projects across regions, then WORK[etc] will get the job done. For our company, the country is divided into 3 regions and each region has a team of workers in charge of providing ongoing support services to that region. WORK[etc] has organized our company exponentially and given us a solid database to pull from to ensure we're meeting contractual requirements, providing timely deliverables and staying ahead of the game. Because I only work in a service industry, I don't know if WORK[etc] would be appropriate for product based companies, However, if you were offering anything [product or service] that required online support, the system will function well.

Pros

  • Time tracking because you can account for almost every single minute of your day with detailed descriptions attached. The reporting of time came in very good use when clients questioned billing.
  • Robust billing portal that was pretty customizable.
  • Could track employee costs well once the correct numbers were placed into the system. Came in very handy for billing and company budgeting and projections.

  • The project management functionality is done extremely well. They have a high level of integration with other platforms (e.g. Google Drive) that allows our company to seamlessly connect everything we do for a client from inception throughout contract term.
  • Support ticket functionality easily allows for ticket tracking, monitoring and assigning to specific customer service associates who are in charge of accounts. It has also created a detailed support history that we can use during our annual business reviews to showcase ROI of our online support.
  • The system also has the ability for pretty sophisticated tagging and, once you master this feature, you can pull very targeted user lists to assist with upselling and marketing campaigns as needed.

Cons

  • The overall layout and physical design of the portals could be simplified greatly. The program is anything but intuitive to use.
  • I found myself clicking what felt like a 1,000 times just to complete one small task. Billing was very cumbersome and the program did not integrate smoothly with Quickbooks as was previously promised.
  • Saving and making templates for billing etc. was a tedious process that also cost extra!
  • The program is as good as what you put into it, but they designed the software for a more particular one-sided way to work and manage, so it made customizing a project to your companies methods tricky.
  • Overall a very cumbersome program that looks as if it was designed at the start of the millennium and note 16 years into it.

  • The one key issue that it doesn't solve is resource utilisation. You are able to add the number of hours that each "to do" will take but you can't allocate that to an employee and then aggregate all that up to show how much capacity you are using or have left.
  • One if its great benefits is its flexibility but that is also a drawback because there are multiple ways to do the same thing. This means that to ensure consistency across all employees having your own business procedures on how to use WORKetc is vital.
  • Some of the financial processes don't fully reflect UK practice currently. For instance it doesn't deal with VAT on expenditure well. However we have been assured that this is being resolved.

We, as a company, have put a lot of time and energy into building the system to where it is for us today. With its constant improvements and our continually learning and developing, I couldn't imagine moving away from WORKetc to try a different system out. This really does give us everything that we've wanted/needed in a system without having to utilize 2-3 different products. The part that makes this so unique compared to other systems that we've used in the past is the fact that it has a project management piece built in, and that in itself is a huge driving point in why we will continue to use this.

My staff hates it, our clients require transparency and you manual have to enter notes, billing is horrific, as it does not subtotal by type - so as a T&M shop there is no way to easily see how much was spent to each matter or service type.

They load quickly. Recently I have had an issue ( I still have) where when I click on the WE logo in Google mail there is a step between. That is an error. Needs to be picked up. Will report to support.

The implementation of the system was fairly easy. Because of our previous experience with a similar system, we were ready and working on the product as soon as we announced the switch. The system also allowed us to simplify our processes by integrating timesheets and project management directly into our CMS.

Alternatives Considered

I love Harvest, especially compared to Archioffice. It's very intuitive, simply designed and easy to use. Perhaps the billing isn't as robust or customizable as Archi, but I would take it over Archi any day.

After the Great Recession, I wanted to reduce the complex system of non-interoperable programs we were using. The idea of one simple, comprehensive system (coupled with Google Apps, that is) appealed to me a great deal. The accountability and documentation features are a very pleasant, very large PLUS. We have yet to tap into anywhere near the complete functionality WORK[etc] offers! We used NetSuite for a while, but it was far more complex, less user-friendly, and cost a bloody fortune.
